2. Graduate Student Payment Process Verify The Graduate Student Payment form is completed by the department electronically and saved in the original EXCEL format. It is then emailed to snanji@ucalgary.ca and gseproj@ucalgary.ca for verification. Initiate Once the accounting on the form has been verified by Samira in Research Accounting, the form is emailed to the Awards & Project Appointment Office. The Awards & Project Appointment Administrator, Stephanie Acosta-King "initiates" the payment in the new Peoplesoft system. Approve Once the payment has been "initiated", the entry is available for approval by the Project Holder in the system. A Job Aid for project holders approving scholarship/stipend payments is available on the Awards & Project Appointments Website Once the payment entry has been 'approved' by the Trustholder, a payment is generated.

3. Regular Graduate Student Stipend  A Master’s or Doctorate/PhD Student in the Faculty of Medicine is guaranteed funding that is directly related to the student’s education and training. Please refer to the Program Website or contact the Graduate Program Administrator for your department to obtain information related to minimum funding requirements.  This payment can be made as a stipend (monies paid from a supervisor’s grant) or paid directly from a scholarship (or award) won by the individual student or both.  The typical and preferred Job Code is PRJ002 and is considered T4A Income.  To find out what account codes are available under your project, contact Samira Nanji in Research Accounting, at: snanji@ucalgary.ca or call 210-6796.  Occasionally, the Granting Agency stipulates that only Employment/Salary (T4) Income may be paid from the project. Please verify that the Stipend/Scholarship codes can/have been loaded under the project prior to choosing the Job Code.

Graduate Student Salary Employment Income Graduate assistantship (PRJ001) Graduate employment salary (PRJ004) 1/3 scholarship (T4A), 2/3 Employment (T4) Income This Job Code is not typical to the Faculty of Medicine and should be used with discretion. Please ensure that it is being used appropriately and verify that Stipend/Scholarship Account Codes have been loaded on your project prior to its use. 2/3 Employment portion is eligible for statutory deductions (CPP & Employment Insurance) as well as automatic Income Tax Deduction. 100% Employment (T4) Income Unrelated to Studies This Job Code is not typical to the Faculty of Medicine and should be used with discretion.
