1 Volunteer Recruitment Fair and Volunteering Philip Young & Chris Sparks plc Board and Heads of Department Meeting 31 st January 2015

2 Fair Objectives  To find the new volunteers we need across the Railway  To let potential volunteers see as much of the Railway as we can safely let them  To meet our volunteers and to learn from them what volunteering on the Railway is all about.

3 How is it going to work on the Day  Registration of attendance at Fair Reception (Toddington) Can be done on line in advance  Fair Guide as part of a Numbered “Welcome Pack”  Presentation about the Railway In the Board Room  Departments located around Toddington and Winchcombe  Travel between the two sites only  How did we do Forms & Volunteer Applications handed in at Reception

4 Department Stands  How are you going to promote your Stand ?  I will provide: - 6ft table at your location 2 chairs Table Cloth (?) 20 Copies of Role Profile Visitor Record

5 Department Stands You will need to Provide:-  Volunteers to run the Stand  Additional support Information & items to bring volunteering alive Photos of volunteers at work Training manuals for the visitors to look at Samples of what you do Uniform Equipment you use Please do not assume our visitors are Railway Enthusiasts

6 What you need to think about  Welcome and mentoring and support for new volunteers  Training have course dates pencilled in  Think about how many volunteers you need?  Selection process  Waiting List  Could you increase productivity with new volunteers?

7 What Else?  Record Names & Welcome Pack Number of who you have spoken to  Log will be provided  Fair Open 09:30 17:00 Saturday and 16:00 Sunday  Visitors advised to arrive before 14:00  Health and Safety including Fire / Emergency Evacuation  First Aid  Briefing Note will circulated and Fair Guide

8 What Happens after the Fair?  Visitor Follow Up  Induction Programme Basic Induction Course run by Recruitment Team Combined with Departmental / Induction or Training ? Over to you to get them involved  TWPs for 3 months (some variation on this is possible)  Temporary Trust Membership New volunteers can get to know us by starting their volunteering without joining the Trust but they have to be paid up members to continue after three months.  Final Induction and Full Permit subject to: - Your recommendation as Head of Department 6 volunteering sessions in the 3 months Qualification where necessary Full Trust Membership

9  Introductions  Presentation - Introduction to the Railway and Volunteering  A Tour of Toddington and Winchcombe  Return to the Board Room for some Volunteer Information including Health and Safety Today's Programme This slide and those that follow have been lifted from the presentation given to new Volunteers at the start of their time with us

10 Travelling Ticket Inspector Your main duties will be to : -  help the Guard with train safety  clip tickets,  talk to passengers  help them with questions that they ask  be an ambassador for the GWR. This is an example of how we talk about Volunteering Roles

11 New Volunteer Day Welcome Back Part 2  Path to a Full Work Permit  Legal issues  Health and Safety  Rights and Responsibilities  Close This is the agenda for the final Presentation on the New Volunteer Day. It is compulsory for all new volunteers as it covers those topic we all have to know!

12 The Path to a Full Work Permit  Issue of a Temporary Work Permit - Valid for 3 months from today  You must do at least 6 Volunteer days (Booking Office and TTI excepted)  Return here in 3 months for final Presentation and Issue of Full Work Permit subject to.... Booking Office Clerks and TTIs will be eligible for a work permit once they have completed their training.

13 Full Work Permit For a Full Work Permit you will need :-  A completed Attendance Sheet  A Gloucestershire Warwickshire Railway Trust Membership Card  Your Department Head’s recommendation made separately to the Recruitment Director  Reference if you have been involved with another Railway  DBS check may be if involved with Educational Visits Any Questions about the Volunteer Programme?

14 Trackside Do NOT go near the track unless you have been trained and are in possession of our Personal Track Safety Book

15 Objectives for Today  How are you getting on  How the railway is structured  Who is who on the Railway  Crossing Monitors  Some Reminders This is the agenda for the presentation after three months when new volunteers will receive their Full Work Permits

16 Special Event Volunteering  Reviewed by Cross Board working party  Car Parking Duties may well be ATC cadets at major events at Toddington  Event Only Work Permits special permits for anyone who wants to volunteer but who does hold any other work permit.  Non Member Involvement Membership of Trust not a requirement for one event but must register interest before the day.  Signing On/Off All volunteers at events must do this  Health and Safety Statement Event Permit Holders will need to read and sign a statement.  Crossing Monitoring This could be run by a department taking responsibility for it at an event.  Non Public areas Only volunteers who have a PTS book should go into these unless accompanied by a PTS holder.
