2  To provide procedures for ACT WorkKeys Paper-and-Pencil testing  To help schools securely and efficiently administer the ACT WorkKeys Assessments using Paper-and-Pencil testing  To stress crucial information from the 2013- 2014 ACT WorkKeys Supervisor’s Manual for Paper-and-Pencil testing You will receive an email in mid-December/early January with a link to the Supervisor’s Manual for Paper-and-Pencil testing 2

3  All staff who administer, proctor or work with ACT WorkKeys testing in any capacity must view:  ACT WorkKeys PowerPoint trainings, located at: http://education.ky.gov/CTE/Pages/ACT-WorkKeys.aspx  Overview  Facility Preparation and Administering the Tests (Part II, for Paper-and-Pencil testing)  After the Tests (Part III, posted at a later date closer to testing window) ACT WorkKeys Supervisor’s Manual for Paper-and-Pencil Testing You will receive an email in mid-December/early January with a link to the Supervisor’s Manual for Paper-and-Pencil testing A signature page shall be signed by each employee after reviewing the ACT WorkKeys Supervisor’s Manual. The verification form is located in the ACT WorkKeys Supervisor’s Manual. 3

5  KDE testing window, February 1, 2014 – March 31, 2014  You must order printed material tests at least 3 weeks before testing date ◦ Use ACT WorkKeys form with KDE pre-billing information already completed ◦ Use the same ACT WorkKeys form for special accommodations.  ACT WorkKeys form with KDE pre-billing information already completed will be emailed to the contact person in mid/late December 5

6  KDE testing window, February 1, 2014 – March 31, 2014  You must order printed material tests at least 3 weeks before testing date ◦ For testing students other than preparatory seniors, use ACT WorkKeys National Form and complete your school information ◦ For retesting students, use ACT WorkKeys National Form and complete your school information  ACT WorkKeys National Form for ordering paper-and- pencil tests for students other than preparatory seniors or retesting will be emailed to the contact person in mid/late December 6

7  Schools may test students other than preparatory seniors in CTE programs. Your school will be invoiced for these additional assessments. Each assessment is $6.00. ◦ You will need to use the ACT WorkKeys National Order Form without the KDE billing information. This form will be emailed to the contact person at your school for ACT WorkKeys.  Schools are responsible for the costs of retesting students. Each assessment is $6.00. ◦ Retesting can occur at any time and does not have to occur within the testing window.  You will need to use the ACT WorkKeys National Order Form without the KDE billing information. This form will be emailed to the contact person at your school for ACT WorkKeys. 7

8 ◦ It is important to have the testing materials shipped to the location you are testing at. ◦ Transporting testing materials is a testing security concern. 8

9  ACT WorkKeys is a standardized test.  Testing security and confidentiality is extremely important.  Stress to students they are not allowed to talk about the test at all (especially since other students may not have tested yet) 9

10  Students from different schools can be tested at the same time and at the same site.  For example, Area Technology Center students can be tested at the local High School.  Each testing site code will need to be entered on the header sheet when mailing testing materials back to ACT WorkKeys (more information will be given in PowerPoint 3 – After the Tests).  Students may be tested at different times in smaller groups. For example, you can test 10 students at a time instead of testing the whole class together. 10

11  For the three assessments (Applied Mathematics, Locating Information, and Reading for Information) : ◦ Students can take all three assessments back-to-back with a break in-between ◦ Students can take assessments different times/days.  For example, students can take Applied Mathematics on a Monday morning, Locating Information on a Tuesday afternoon, and Reading for Information on a Wednesday morning. 11

12  You will need to indicate on the ACT WorkKeys order form the tests needed for students with special accommodations, such as extended time, braille, large print, etc. ◦ A list of special accommodations is provided in the ACT WorkKeys Supervisor’s Manual for Paper-and- Pencil Testing  You will receive an email in mid-December/early January with a link to the Supervisor’s Manual for Paper-and-Pencil testing 12

13  When you receive materials from ACT WorkKeys, it is extremely important that test security requirements and safe storage are implemented. ◦ Test security requirements and safe storage are described in detail in the ACT WorkKeys Supervisor’s Manual for Paper-and-Pencil Testing  You will receive an email in mid-December/early January with a link to the Supervisor’s Manual for Paper-and-Pencil testing ◦ Complete the ACT WorkKeys Test Materials Tracking Log (Sections 1 and 2) when you receive the testing materials from ACT WorkKeys. 13

14  There must be a: ◦ Site Administrator ◦ Room Supervisor (may also be Site Administrator, if only one testing room) ◦ Proctor(s), (see chart below), in addition to the Site Administrator and/or Room Supervisor 14 Number of Students TestingMinimum Number of Proctor(s) Required 0 – 250 26 – 501 51 – 752 76 – 1003

15  High school students shall not serve as proctors.  You may not administer or proctor, if a student testing in the same room is a relative. 15

16  The location of testing rooms must be free of interruptions and distractions.  Students must be continuously monitored during testing. Sufficient space in-between students is critical.  All related content on the walls, bulletin boards, etc. must be removed or completely covered up. 16

17  Each test booklet number and student seating chart must be recorded on the ACT WorkKeys Seating Diagram, located in the ACT WorkKeys Supervisor’s Manual for Paper-and-Pencil Testing.  Assign students where to sit, preferably not by their friends. ◦ You will need to record this on the ACT WorkKeys Seating Diagram form, located in the ACT WorkKeys Supervisor’s Manual for Paper-and-Pencil Testing.  Room setup and Seating Arrangements are detailed in the ACT WorkKeys Supervisor’s Manual for Paper- and-Pencil Testing. ◦ You will receive a link to the ACT WorkKeys Supervisor’s Manual for Paper-and-Pencil Testing in mid/late December. 17

18  The standard testing times are: ◦ Applied Mathematics – 45 minutes ◦ Reading for Information – 45 minutes ◦ Locating Information – 45 minutes  Tests for extended time varies  An additional 20 – 30 minutes is needed for students to complete the demographic information. ◦ Remember to instruct students to use only the last 9 digits of their SSID  This is necessary for an automated import to TEDS, so you won’t have to manually enter ACT WorkKeys into TEDS. 18

19  For the Applied Mathematics test only, each student will need to be provided: ◦ A No. 2 pencil, with an eraser ◦ Two reliable timepieces ◦ Permissible calculator  Permissible calculator usage may be found at:  http://www.actstudent.org/faq/calculator.html http://www.actstudent.org/faq/calculator.html  Students can use the test booklet as scratch paper. There will also be a formula sheet at the front of the test booklet for students to use.  No additional supplies are needed for Locating Information or Reading for Information assessments (calculators are not allowed for these assessments).  Prohibited Items: ◦ No food, drinks, cellphones, or other electronic devices are allowed in the test room. 19

20  The 5 match criteria is very important to identify and match student records: ◦ First Name ◦ Last Name ◦ Examinee ID – Extremely Important and Required  Required to use the last 9 digits of student’s SSID # ◦ Birth Month ◦ Birth Day  First Name must be student’s legal name and not a nickname. ◦ For example, it must be listed as Susan and not Suzie 20

21 Very Important and Required:  For the examinee ID, you will delete the first number of the student’s SSID number and use the last 9 digits. ◦ For example, if Susan’s ssid number is 1234567892 ◦ For ACT WorkKeys testing, you will use 234567892 as the Examinee ID.  This is extremely important for data matching and for results to be imported automatically into TEDS. 21

22  A test materials tracking log must be completed. It should include: ◦ Serial range printed on the test booklet (when received in material shipment from ACT WorkKeys) ◦ Serial range printed on test booklet (when distributed to Room Supervisor on testing day) ◦ Serial range printed on test booklet (when test materials are given back from Room Supervisor after testing) ◦ Signature and dates are required. 22

23  A student roster form must be completed. It should include: ◦ Name of each student ◦ Type of identification used (staff recognition, current official photo id, etc.)  Students must be checked in, one by one, outside the testing room 23

24  A seating diagram form must be completed. It should include: ◦ Where the student is seated in relation to each other in the room (using the diagram on the form) ◦ The student’s test booklet serial number that corresponds to the student’s seat in the room  Students must be checked in, one by one, outside the testing room 24

25  Complete an ACT WorkKeys Irregularity Report if: ◦ A student is dismissed due to disturbances or distractions; ◦ Emergencies, such as fire alarm evacuation, etc.; ◦ Student illness; ◦ Any other irregularities that may occur.  If not sure whether to complete an ACT WorkKeys Irregularity Report, ◦ Contact ACT WorkKeys at 1-800-967-5539 25

26  Complete an ACT WorkKeys Report of Accommodated Tests for each accommodated assessment. ◦ List the Admin. Code and Accommodation(s) ◦ Signatures and dates are required 26

27  After testing and make-up tests, immediately ship all materials back to ACT WorkKeys. ◦ Instructions for mailing all materials back to ACT WorkKeys will be covered in PowerPoint 3 – After the Tests.  It is important to follow the instructions in the Supervisor’s Manual on how to package the testing materials (used and non-used testing materials).  It is important to mail all materials back to ACT WorkKeys immediately after testing/make-up tests. 27

28  Scores will be available electronically, usually within 10 days of ACT WorkKeys receiving the testing materials from your school. ◦ Schools will not receive printed scores from ACT WorkKeys.  The school contact person will receive an email in mid- January from ACT WorkKeys with a username and password to retrieve the scores. ◦ An email from ACT WorkKeys will be sent when scores have been posted. ◦ Scores must be accessed within 10 days after the date of the email sent. 28
