Chemical Management System Overview cms@lbl.gov September 2014

CMS Description 2 Environment / Health / Safety / Security DIVISION Chemical Hazard Management: Hazard Categories Properties Fire Code Limits Container Management: Input Updates Disposal System Management Access Support Program The Chemical Management System (CMS) is the chemical inventory and tracking system for all hazardous chemicals at the lab Web-based database w/ Java Server Page (JSP) interface, resides in Oracle Forms.

The Purpose of CMS is to: 3 Environment / Health / Safety Division Allow laboratories to efficiently manage, locate and share chemicals Provide hazard information to chemical users, safety staff and emergency responders. Provide data for regulatory and DOE compliance reporting

Access Levels 4 Environment / Health / Safety Division Read-Only All employees, all inventories Owner Read-write capabilities on containers registered under owner Proxy to an Owner Read-write capabilities for designated owners’ containers SuperUser/Admin CMS Support staff – (including Division Safety Coordinators and ESH program administrators) - universal read-write Email cms@lbl.gov to be registered as proxy or ownercms@lbl.gov

Containers brought in Containers taken out Used or Non-Haz disposal Enter containers into CMS they are brought in to your work area Dispose containers out of CMS as they are used or disposed Edit container locations when they change rooms Containers in an SAA are removed by Waste Management, but also need to be removed from CMS via “Dispose Container” function. Tracking Chemical Containers SAA 1 1 2 2 3 3 4 4 -Attach barcodes -Input in CMS

What not to inventory 6 Environment / Health / Safety Division Biochemicals, which are non- hazardous (e.g., amino acids, lipids, etc.) Consumer Products such as white-out, household bleaching powders, salt, window cleaners Oils and lubricants in equipment mounted reservoirs or present in consumer quantities Office products except aerosols Fuel in underground storage tanks or equipment Researcher produced mixtures Waste chemicals Radiological materials Chemicals or chemical products transferred to secondary containers Paint, Latex and water-based Consumer adhesives and sealants in containers 16 ounces or smaller except aerosol adhesives

Barcodes 7 Environment / Health / Safety / Security DIVISION Identical numbered pairs – one for container, one for datasheet Place on containers lengthwise to facilitate scanning Obtain replacement from your Division Safety Coordinators or EH&S

Container Data Sheet 8 Environment / Health / Safety / Security DIVISION Optional tool to transcribe the container information for later input into CMS One barcode on Container, one on data sheet

Option to Consolidate Identical Chemicals w/ One Record LBL CH621800 Ideal for containers with high turnover Estimate maximum quantity Frequently used for gas cylinders Multi-Container Data Sheets

Option to Consolidate Identical Gases w/ One Record 10 Environment / Health / Safety / Security DIVISION Transfer tag to each current cylinder Multi-container data sheets can alsobe used to attach bar code labels
