4 PROBLEMS IDENTIFIED (PAST) CAPP--internal use only, lack of resources to customize, shortcomings in actual product Need for consistency and uniformity in applying curriculum & catalog rules Some departments developed individual audit systems; created and used individual curriculum guides that didn’t align with catalog  About half of the graduation apps submitted had errors Need for better method of class forecasting Degree audit identified as goal for AQIP advising action project Student dissatisfaction with current advising methods

5 TIMELINE October 2012 - Signed contract for DW and Web Trecker January 2013 – IT installed hardware/worked with Ellucian for software installation; 2 environments set up (preproduction/test & production) January 2013 March 2013 – Curriculum documentation sent to scriber Catalogue Scribe document notes, Scribe document notes Curriculum Guides Gen. Ed. & Majors/MinorsGen. Ed. Majors/Minors May 2013 – Functional kickoff June 2013 – Team training July 2013 – Team training August 2013 – Advisor training November – Pilot with focus groups March 2014 – Rollout

6 TEST TEST TEST—PLAN PLAN PLAN Team met weekly Assigned majors to team to review scribe (divide and conquer)divide and conquer Developed method to track issues and resolutionsresolutions Confirmed audit information displays Recruited pilot group – advisors and students Communicated progress – faculty and administration

7 CHALLENGES Responsibilities and duties didn’t stop – DW project on top of already full load Substitutions and exceptions needed to be added to degree audits Data cleanup – At every turn, things were discovered that needed to be addressed, verified, confirmed (data and processes)

8 HOUSEKEEPING (PRESENT) Data cleanup – course maintenance, attribute codes, etc. Curriculum cleanup – necessity for clear, understandable program requirements; changes need to be addressed as they are approved so the scribe can be updated (stay ahead) Graduation apps – now require degree audit with submission to ensure both students and faculty use the tool Degree audit included in freshman orientation packetsorientation packets Central location to track substitutions and exceptions

9 KEYS TO SUCCESS Project Manager – must have both technical and functional skill sets Team members – representation for policies, curriculum, administrative decision makers Set quantifiable and achievable team goals Maintain timeline Strong relationship with IT
