Simon Edwards E4libraries Consultant simon.edwards@dial.pipex.com E4libraries systems workshop Setting the scene - what we hope to achieve from the workshop Simon Edwards, e4libraries consultant

Simon Edwards E4libraries Consultant simon.edwards@dial.pipex.com Setting the scene E4libraries Project –Objectives –Phasing –Scope –Findings –Recommendations

Simon Edwards E4libraries Consultant simon.edwards@dial.pipex.com Setting the scene E4libraries Systems Workshop –Objectives –Workshop Programme –Ground rules –Outcomes

Simon Edwards E4libraries Consultant simon.edwards@dial.pipex.com E4libraries Project Objectives –Encourage take up of beneficial technologies: EDI, RFID –Encourage Standards and Interoperability –Exploit the benefits of EDI and RFID cost reductions, efficiency, catalysts for change –Promote the role of BIC

Simon Edwards E4libraries Consultant simon.edwards@dial.pipex.com E4libraries Project Where are we with the project –Research => Scoping Report (Sept to Oct) –Scoping Report => Steering Group (Nov) –Systems Workshop (Now) –Publish Scoping Report (Jan 08) –Quick wins/recommendations Detailed research e.g. library/LS/LMS capability Questionnaire Parallel phase for academic library supply chain

Simon Edwards E4libraries Consultant simon.edwards@dial.pipex.com E4libraries Project - Phases ResearchScoping Phase Scoping Report Recommendations/Quick Wins Development PhaseDetailed Research Standards Development Systems Development Promotional PhasePromotional effort Information Consultancy/Advice

Simon Edwards E4libraries Consultant simon.edwards@dial.pipex.com E4libraries Project Scope Public Libraries and Academic Libraries Bibliographic information supply EDI RFID Focus on standards and systems interoperability Maintain a watching brief on: e-books, serials, e-readers, other new technologies

Simon Edwards E4libraries Consultant simon.edwards@dial.pipex.com E4libraries Project Library Library Supplier Orders Quotes Order Response Order Fulfilment Invoice EDI messages:

Simon Edwards E4libraries Consultant simon.edwards@dial.pipex.com E4libraries Findings EDI: preliminary data on usage –Quotes >30% –Orders >70% –Order acks/responses <30% –Order Fulfilment/Cat Services/Item Load: <15% –Invoices: <15%

Simon Edwards E4libraries Consultant simon.edwards@dial.pipex.com E4libraries Findings Different ways to specify classification in an order Additional text fields for individual implementations On-going data management workload for LS Even MARC record containing invoice info...so benefits less easy to obtain

Simon Edwards E4libraries Consultant simon.edwards@dial.pipex.com E4libraries Findings Who benefits from which message? –Libraries: Quotes, Orders, Order Responses, Order Fulfilment, Invoice –Library Suppliers: Orders (data manipulation is a cost) –LMS supplier Charging for each implementation?

Simon Edwards E4libraries Consultant simon.edwards@dial.pipex.com E4libraries Findings Tendering –Libraries ask for something (outside the standard) –Library suppliers say “Yes” so as not to lose the business –Surely more of a dialogue needed –Could a 3rd party get involved and ask/answer the important questions: Is that what you want? Is that the best way to achieve this?

Simon Edwards E4libraries Consultant simon.edwards@dial.pipex.com E4libraries Findings RFID: 6 versions on the market –low interoperability –BIC/EDItEUR working on the ISO standard –2 models both may end up in standard –Still won’t know what data will actually be put on the RFID tags –What about all RFID tags already implemented - Are you ISO standard compliant?

Simon Edwards E4libraries Consultant simon.edwards@dial.pipex.com E4libraries Recommendations Detailed research into: –Current EDI Capability, Gap Analysis, Information about EDI –Website containing: How-to guides, top tips, standards info, guidelines, case studies etc. Set up Accreditation Scheme –for Libraries, Library suppliers and LMS suppliers

Simon Edwards E4libraries Consultant simon.edwards@dial.pipex.com EDI Capability What would your chart look like? All to standard?

Simon Edwards E4libraries Consultant simon.edwards@dial.pipex.com E4libraries Accreditation If you are doing EDI to standard with all the EDI messages relevant to your organisation... Then we’ll accredit you! This accreditation will show that your organisation is efficient and technology competent 2008

Simon Edwards E4libraries Consultant simon.edwards@dial.pipex.com E4libraries Systems Workshop Objectives –To discuss the issues around implementing EDI and RFID in the library sector –To get all delegates to understand: the situation, the progress made and the problems –To work out how to move forward so that: libraries can exploit the available technology and obtain the efficiency and cost reduction benefits

Simon Edwards E4libraries Consultant simon.edwards@dial.pipex.com E4libraries Systems Workshop The Workshop Programme –Input sessions on RFID, Library Supply –EDI Case study, LMS integration issues, –and viewpoints from Bibs, Financial, Academic, Breakouts –5 groups of 10 delegates –4 tricky questions to be answered –Feedback, Outcomes and an Action Plan

Simon Edwards E4libraries Consultant simon.edwards@dial.pipex.com ILL Consortium OPAC E4libraries Systems Workshop LMSLS EDI Authority Financial Systems Library Data Monitoring ??? Bibliographic Supplier MARC OPAC ??? RFID SIP2 e.g. BookScan Bridgeall etc. E-books? ???

Simon Edwards E4libraries Consultant simon.edwards@dial.pipex.com E4libraries systems workshop So, the ground rules... –Let’s be open and honest –Let’s work together to solve common problems –Say if you disagree - let’s discuss –Let’s focus on our objectives:

Simon Edwards E4libraries Consultant simon.edwards@dial.pipex.com E4libraries systems workshop To exploit available (and future) technology... –to improve the library supply chain –to reduce costs and administrative overhead –to enable libraries to survive, compete for resources and deliver better services

Simon Edwards E4libraries Consultant simon.edwards@dial.pipex.com E4libraries systems workshop One more thing... –Technology, systems, standards and interoperability are not ends in themselves –A customer pays for these things and should only pay if they will get benefit from them –This workshop is about helping the library supply chain to work better and provide a better service at lower cost

Simon Edwards E4libraries Consultant simon.edwards@dial.pipex.com E4libraries systems workshop Workshop Outcomes –Write up findings from breakout groups –Produce action plan to go with quick wins –Check with steering group –Publish findings
