Standard Grade Computing Electronic Mail Is the transmission of messages over communication networks. Electronic mail is usually shortened to e-mail. To be able to receive or send an email message you need certain hardware, software and an unique email address. E-mail Software In order to send an e-mail the computer must have specialist software. This is often supplied along with browser software or it can be purchased separately. Eg) First Class Microsoft Outlook

Standard Grade Computing E-mail Hardware This depends on whether the electronic mail service is operating on a LAN or on a WAN. LAN You need a computer system connected to the network and suitable communications software. WAN You need a computer system connected to the network, suitable communications software, a modem and a subscription to the service.

Standard Grade Computing If you are using a LAN for email Eg) First Class then this is administered by a mail server on the LAN. If you are using a WAN for email Eg) Hotmail on the internet then this would be administered by the hotmail website.

Standard Grade Computing Email Address Like real mail, sending email requires that you know the address of the individual or company you wish to send email to. Unlike real mail, an email address is fairly simple, composed of only three parts. myname@aserver.com identifies a user this symbol separates the user name from the location of the server of the computer identifies the location of the server computer

Standard Grade Computing Addresses use lower case letters without any spaces. The identity of the user could be made up with a combination of letters, numbers and certain punctuation marks. (A space is not allowed.) Eg) The identity for David Beckham may be dbeckham dbeckham75 david_beckham david_robert_joseph_beckham dabeckham beckhamd david001 becks23 Email Address – identity of a user

Standard Grade Computing The server contains a name and typically includes a 3 letter suffix, set apart by a dot. This 3 letter suffix identifies the kind of organisation operating the server. This can be followed by a 2 letter geographical suffix. Standard Grade Computing Advantages of Email 1.Can be sent/received at any time of day or night, i.e. at a time and place that suits you. 2.One email can be sent to as many recipients as required. 3.May be exchanged within a very short time. 4.Can be short and to the point. 5.Can include the text from a previous email message as part of a reply to a message. 6.Can be sent and retrieved from any computer anywhere in the world. 7.Files, pictures, sounds and video clips can be sent as attachments to emails. 8.Reduces communication costs. 9.Verification of delivery.

Standard Grade Computing Disadvantages of Email 1.Receiving junk mail. 2.Multiple copies of mail being sent to you. 3.Lengthy download time for mail and attachments. 4.Attachment formats may be inappropriate. 5.Email can replace human contact. 6.Emails can be easily sent to the wrong address.

Standard Grade Computing Netiquette You should be aware that there is a code of conduct relating to the composition and sending of email messages. Most of it is common sense however it is useful to be aware of the basic “rules” known as “netiquette.” For Example 1) DON’T TYPE EVERYTHING IN CAPS. This is perceived as shouting. 2) Consider carefully what you write. It’s a permanent record and can easily be forwarded to others. 3) Write clearly and briefly.

Standard Grade Computing 4) Don’t send chain emails or pass them on. 5) When sending a web site address, always type it in the form of http://… as some email programs will permit the user to click on a web address to go right there. Without the http:// these programs will not recognise it as such. 6) Do not promote your business by sending unsolicited advertising to others. This is called “spamming.” 7) Always type an informative header in the subject box. 8) When forwarding a message, put your comments at the top of the message. 9) Don’t overuse acronyms. Standard Grade Computing File Transfer – Attachments (Credit) An attachment is a file that is sent along with an email message. Your e-mail software allows you to add attachments to email messages you send, and also lets you save attachments from messages that you receive. Attachments can be any type of file. Eg) Word Processed document Spreadsheet document MP3 file Video clips Pictures Software

Standard Grade Computing Text Messaging Text messaging is a simple and fun way of sending information to a device such as a mobile phone or pager. It is usually used for messages that are no longer than a few hundred characters. The term is usually applied to messaging that takes place between two or more mobile devices.
