1 Fundraising The joys and pains of raising money

2  Who are you appealing to?  What kind of event are you doing?  When are you holding this fundraiser?  Where is it going to be?  Why are you doing this fundraiser? The 5 W’s

3  Create a reasonable timeline  Plan your event up at least 3 months in advance  Have a calendar and mark your deadlines for certain duties and responsibilities to be completed by committee members  Circulate this time line to your committee Timeline

4  How much do you want to raise?  Be practical (Can a Rotaractor afford a USD$100 banquet)  Try not to incur much expenses  Offer value for money  Collect money up front – no credit! Financial Goals

5  * Will persons pay money to attend?  How many other activities are happening around that time?  Can they afford to support this event?  What value for money are we providing?  What makes our event stand out?  Is it worthwhile? Questions to Ask

6  Your signature fundraiser should be held every year.  Keep your poster/flyer/tickets with the same look every year.  Add a catchy phrase or theme for each year Branding

7  Bake Sale (end of Month)  Car Wash (not during rainy season)  Cookbook publication  Casino night  Domino Tournament  Bikeathon  Cook Off  Walk aThon (everybody is health conscious)  Fish Fry (during Lenten season) Successful Fundraisers

8  Keep thing consistent  If the format works then keep it – every year  If it doesn’t work, don’t do it annually Consistency

9  Use the press to get the message out there.  Send it out in the gossip circles  Facebook it!  Email  Make sure you get coverage before and after. Public Relations

10  Write to as many people as you know  Network – if you don’t know someone find someone else who does  You can never have too much  Ask for ‘in-kind’ donations instead of cash Sponsorship

11  Make it brief – people are busy  People have short attention spans  The first thing they think of is “so what” and “now what”  State who is benefitting from this event and why it is important Letter writing

12  Try not to clash with other clubs or other fundraisers.  Pick a date and lock it in with a “save the date” email  Pay attention to other “save the date” emails to avoid clashes Pick the date carefully

13 Appoint a person for each of the following categories:  Ticket sales  PR  Auction/fundraiser at event  Treasurer  Entertainment  Decorations  F& B Establish a clear goal

14  Use email, Facebook, BBM’s  Try to relate what’s going on in your head  Make things very clear  Be diplomatic  Make sure you say “thank you” in a special way Communicate with your team

15  Reconcile the financials of your event  Submit all receipts, prepare income & expense statement, do all collections, close off event  Get feedback of event from attendees  Make notes for future events Post Mortem

16  Committee members  Sponsors  Press  Participants Don’t forget to thank everyone
