7 Campus Accounts Campus Account is necessary for funding Cannot have external account for deposits; should be deposited in State Fund Contact Jeff Kahler (Budget Analyst, Main 202) Online: Budget Office – Business Office – Forms (on the left navigation tab)

8 Cash Handling Starting Cash, Travel Advance, Petty Cash or any cash request Don’t forget to deposit the money back into your account! Submit Department Deposit Form along with the money to cashiers. Contact Suzie Bednar-Munsell (Old Main 206)

10 Emergency Funding New Student Organization Eligible for max. $500 and 2 requests/year, whichever comes first Existing Student Organization Must have submitted budget last year. SUFAC precedent 3 yrs ago. Cannot find in constitution. Eligible for max. $2500 and 2 requests/year, whichever comes first. 12 Hot Button #1 – Travel Tips DO Be an upright representative of the University Know and follow all policies and procedures Collect emergency contact info prior to all trips DON’T Forget to fill out all proper paper work

13 Hot Button #2 – Event Planning DO Keep participants as safe as possible Utilize the headline test DON’T Forget that you can purchase extra insurance if needed

14 Hot Button #3 - Signature Authority/Contracts DO Fill out university entertainment contracts for outside performers (have Tammy Fanning sign) Utilize payment to individual form for honorariums for speakers DON’T Forget that you cannot sign any agreements, contracts, memos of understanding…

15 Hot Button #4 - Funds/Fundraising/Food DO Complete proper paperwork for fundraising Know and understand our cash handling policies Use non-food items or prepackaged/bakery items for fundraising Use foods that are catered or on the “approved foods” list for events DON’T Use hot foods (such as soup or taco sales) for fundraising Use foods from the deli or foods that might spoil for event or gatherings

16 Hot Button #5 - Copyright – Movies, Music… DO Order movies from Swank when possible OR get written permission from producer of film to have a public showing Get a discount for movies – work with Allison Gerland DON’T Show movies without copyright permissions Be fooled: student organizations are not for “educational purposes” – only if the film is used in curriculum and shown in a shortened format
