9.1 Creating Reports in Medisoft
9-5 Reports are an important tool in managing a medical office. Information contained in reports is key to the administrative and financial areas of a practice. Common types of reports include: Standard reports Medisoft Reports Custom Reports Learning Outcome: 9.1 List the three types of reports available in Medisoft. Pages: Teaching Notes: Standard reports include many of the basic reports used by a medical office, such as day sheets, practice analysis reports, and patient ledgers. Medisoft Reports includes over a hundred reports not included in the Standard reports. Custom Reports are created and modified using the Medisoft Report Designer program.

9-6 Once a selection is made in the Print Report Where? dialog box and the Start button is clicked, the Search dialog box is displayed. 9-7 Selection boxes determine what data is included in the report. Selection boxes highlighted In yellow Learning Outcome: 9.1 List the three types of reports available in Medisoft. Pages: Teaching Notes: The exact contents of the Search box vary from report to report, but the way selections are made does not change. Some selection boxes use a drop-down list for entering data; others use a button with three dots. Beneath each selection box or set of boxes in the Search box, there is an option labeled “Show all values of the field.” If you are printing a report and want all values for the field included, make sure the box is checked.

9.2 The Importance Of Accounts Receivable Reports
9-8 Accounts Receivable (AR) – monies that are coming into the practice Day Sheet – a report that provides information on practice activities for a 24-hour period Aging Report – a report that lists the amount of money owed to the practice, organized by the amount of time the money has been owed Patient Aging Report – a report that lists a patient’s balance by age, date, and amount of the last payment Learning Outcome: 9.2 Explain why accounts receivable reports are critical to a practice’s financial success. Pages: Teaching Notes: Explain how Medisoft offers a practice a variety of reports and tracking mechanisms that enable the practice to minimize the time between the date of the service and when the practice receives payment in order to keep money flowing through the practice.

9-9 Insurance Aging Report – a report that lists how long a payer has taken a respond to insurance claims Other Monthly reports include: Outstanding copayments Appointments without charges Unbilled charges (not placed on an insurance claim or billed to the patient) Learning Outcome: 9.2 Explain why accounts receivable reports are critical to a practice’s financial success. Pages: Teaching Notes: Explain that an aging report lists the amount of money owed to the practice, organized by the amount of time the money has been owed. Medical practices use aging reports to determine which accounts require follow-up to collect past-due balances.

9-11 A patient day sheet is a summary of the patient activity on a given day. Learning Outcome: 9.3 Distinguish between patient, procedure, and payment day sheets. Pages: Teaching Notes: Patient Day Sheets include: Procedures performed for a particular patient or group of patients. • Charges, receipts, adjustments, and balances for a particular patient or group of patients. • A summary of a practice’s charges, payments, and adjustments.

9-12 A procedure day sheet lists all procedures performed on a particular day in numerical order. Learning Outcome: 9.3 Distinguish between patient, procedure, and payment day sheets. Pages: Teaching Note: Have the students complete Exercise 9-1.

9-13 A payment day sheet lists all payments received on a particular day, organized by provider. Learning Outcome: 9.3 Distinguish between patient, procedure, and payment day sheets. Pages: Teaching Notes: Explain that a payment day sheet will be generated only for data that meet the selection criteria. If any box is left blank, all values for that box are included in the report.

9.4 Creating Analysis Reports
9-14 Medisoft provides several analysis reports, including: Billing/Payment Status Report Practice Analysis Report Medisoft's practice analysis report analyzes the revenue of a practice for a specified period of time, usually a month or a year. Created from the Analysis Reports list of the Reports menu Learning Outcome: 9.4 Demonstrate how to create a practice analysis report. Pages: Teaching Notes: Not all reports can be created in student exercises because data have not been sent to insurance carriers and patients. The billing/payment status report lists the status of all transactions that have responsible insurance carriers, showing who has paid and who has not been billed.

9-15 Practice Analysis Report Learning Outcome: 9.4 Demonstrate how to create a practice analysis report. Pages: Teaching Notes: The report can be used to generate medical practice financial statements. It can also be used for profit analysis. The summary at the end of the report breaks down the information into total charges, total payments and copayments, and total adjustments. Have the students complete Exercise 9-2.

9.5 Creating Patient Account Ledger Reports
9-16 A patient ledger lists the financial activity in each patient’s account, including charges, payments, and adjustments. To create: Click Patient Ledger on the Reports menu. Make a selection from the Print Report Where? dialog box. Learning Outcome: 9.5 Demonstrate how to create a patient ledger report. Pages: Teaching Notes: A patient ledger report is a standard report. The information it provides is especially useful when there is a question about a patient’s account.

9.6 Creating Standard Patient List Reports
9-18 Medisoft offers reports for identifying patients by diagnosis or insurance carrier, including: Patient by Diagnosis report Patient by Insurance Carrier report These are accessed via the Standard Patient Lists submenu on the Reports menu. Learning Outcome: 9.6 Demonstrate how to create a standard patient list report. Pages: Teaching Notes: The Patient by Diagnosis report lists diagnosis code, chart number, patient name, age, attending provider, facility, and date of last visit. The Patient by Insurance Carrier report lists patients sorted by provider or facility, and then by their insurance carrier. Have the students complete Exercise 9-4.

9.7 Navigating in Medisoft Reports
9-19 To start the Medisoft Reports feature, select Medisoft Reports on the Reports menu. Or you can click the shortcut button on the toolbar. Pages: Teaching Notes: The File menu contains commands for creating a new folder, deleting a report, renaming a report, printing a report, previewing a report, importing a report from a file, exporting a report to a file, and closing the Medisoft Reports feature. Commands on the View menu include options for displaying the toolbar and status bar, and whether to display the Contents of All Folders list of reports in List view or in Detail view. The Help menu contains entries for viewing help contents, navigating to Medisoft’s website, viewing Medisoft Reports file location and path, and displaying the version of Medisoft Reports you are using.

9.9 Creating Custom Reports
9-23 Medisoft has a number of additional built-in custom reports, including: Lists of addresses, billing codes, EDI receivers, patients, patient recalls, procedure codes, providers, and referring providers. The CMS-1500 and Medicare CMS-1500 forms. Patient statements and walkout receipts. Superbills (encounter forms). Learning Outcome: 9.9 Explain how to access Medisoft’s built-in custom reports. Pages: Teaching Notes: Review some of the built-in custom reports in Medisoft and explain to the students how they assist the practice.

9-24 Custom reports are accessed via the Custom Report List option on the Reports menu. The Open Report dialog box is displayed and used to create the report. When a new custom report is created, it is added to the list of custom reports displayed on the screen. Learning Outcome: 9.9 Explain how to access Medisoft’s built-in custom reports. 9.10 Using Report Designer 9-25 The Report Designer is accessed by clicking Design Custom Reports and Bills on the Reports menu. Learning Outcome: 9.10 Demonstrate how to open a report for editing in Medisoft’s Report Designer. Pages: Teaching Notes: Allows users to modify existing reports or create new reports to add to the custom report list. A report can be created from scratch, or an existing report can be used as a starting point. Have the students complete Exercise 9-8.
