John Cooney Research Systems Project, Training and Web Manager Monash Research Office Research Information Systems How to obtain your DIISR points via ROPES

Click on my.monash portal

Login… wambaru ●●●●●●●●

Click on Research

Now click on Services

Click on the link to ROPES

Click on My Publications

Click on My Publications (again) This is ROPES’ snapshot screen

Click on DIISR point listing Your publications display, below…

Author Contribution is the column of interest… Now, scroll to the bottom of the page…

Here we are at the bottom of the page. Click the Download to Excel link Download the entire table to your pc:

Click OK to save the file on your pc

Note filename: diisr_points.csv Save the file somewhere where you can easily access it…

We will now open up the file in MS Excel and I’ll step you through what’s left to do… Go to where you stored the file on your hard drive and open it (in this example, it was stored in My Documents).

Double-click the file to get started…

Here’s the file, open in MS Excel …and the Author Contribution column

Select the row containing the column headers, like this….

…and now click on Sort & Filter (users of older versions of MS Excel: click on Data menu > Filter > Autofilter)

…and click Filter

Dropdown boxes appear next to each column header We can use them to filter the table to show only what we are interested in Let’s say we only want to see publications (and their points) published from 2007 to 2010 AND only those that fall in DIISR (formerly DEST, DEEWR) categories. No problem…

Let’s do the years of interest first… Click on the YearPublished column’s dropdown box…

Remove the tick from (Select All) and re-select only the years of interest

…now select the years of interest and click OK

Now only records from the years of interest display

We are only interested in publications in the following four categories: A1, B1, C1 and E1… Any record belonging to a category with “hyphen-something” at the end, must be filtered out e.g. C1-EXT, C1-LATE, etc. AND - any record belonging to a category with a number other than 1 in it, must also be filtered out e.g. A2, B2, C2, E4, etc. To hide records in non-DIISR categories (there is only one in the example above) it is a similar operation as for year… This time, however, we’ll filter on the DIISRCat column, like this..

Now we are looking at just DIISR publications across the years required. While you could manually add up the figures in the Author Contribution column, there is another way...

Select all the visible cells in the table, including the column headings (Ctrl+A)

Copy all the visible cells in the table (Ctrl+C). Only the filtered cells are selected. Now we will create a new worksheet and copy just the relevant records to it. Click the create new worksheet button below…

We just created a new worksheet. Now paste in the records (Ctrl+V)…

Now only those records we are interested in appear above Select the cell at the foot of the AuthorCntbtn column.

The final step is to tally up the DIISR Author Contribution points. Click the AutoSum button (Σ):

Lastly, hit the Enter key on your keyboard:

Done! If your version of MS Excel doesn’t have an AutoSum button, click the f x button…

Enter “SUM” into Search for a function: (no quotes) then click the Go button SUM

SUM

Under Select a function: ensure SUM is selected. Now click OK SUM

…and click OK one more time

Done!

You will want to save your work in a format that supports filters and formulae… So save your file in.xlsx or.xls format
