Database Functions & Filtering

 Excel has two special functions for analyzing lots of data with more than one set of criteria DCOUNT: counts the number of times an event occurs meeting a criteria DAVERAGE: finds the average of events meeting a criteria

Database Functions & Filtering  DCOUNT This is the range of data to be counted. Must include column headings Leave this blank Specify the criteria to be counted. Need the same column headings as database

Database Functions & Filtering  Ex: (from text) Use Cars.xls file to determine how many Toyotas were repaired in Arizona. Open Cars.xls and copy the headings. Paste the headings on an empty sheet. Type the criteria you want to count.

Database Functions & Filtering  Sol:

Database Functions & Filtering  Sol (cont): To find how many Toyotas were repaired in Arizona, use DCOUNT Enter range of data with headings Leave Blank Enter your search criteria. This will be the cells from the previous slide

Database Functions & Filtering  Sol (cont):

Database Functions & Filtering  Ex: Use Cars.xls file to determine how many Toyotas were repaired in Arizona or Utah.  Sol: Same directions as previous example. Exception: need two lines, one for Arizona & one for Utah Both lines should contain Toyota

Database Functions & Filtering  Sol (cont):

Database Functions & Filtering  DAVERAGE: still need correct column headings will find the average of criteria you specify

Database Functions & Filtering  Ex: Use Cars.xls file to determine the average repair cost of Fords that were repaired in New Mexico.  Soln: Same directions as previous example except use DAVERAGE. Select the heading that you want to average and put in “Field.”

Database Functions & Filtering  Sol: Specify database including column headings Type the name of the heading that you want to average in quotation marks Enter search criteria according to the column headings you copied and pasted

Database Functions & Filtering  Sol (cont):

Database Functions & Filtering  Ex: Use Cars.xls file to determine the average repair cost of Chevrolets that were repaired in Utah at speeds that were at least 8 mph.  Sol:

Database Functions & Filtering  Finding probability using two DCOUNT functions  Ex: What percentage of Chevrolet’s were repaired in Arizona?

Database Functions & Filtering  Sol: First, find the number of Chevrolets.

Database Functions & Filtering  Sol (cont): Next, find the # of Chevrolet’s repaired in Arizona.  So, there were repaired in Arizona.

Database Functions & Filtering  Filtering Allows you to list all the items of data meeting a certain criteria Use DCOUNT to get data Click on any empty cell Select Data/Filter/Advanced Filter

Database Functions & Filtering  Filtering Click here Specify range of data Specify the criteria you want listed Tell Excel where you want the data items to be displayed

Database Functions and Filtering  Focus on the Project:  Variables: Y: borrower with 7 years of experience T: borrower with Bachelor’s Degree C: borrower with loan during Normal economy  Use DCOUNT to find number of records with Y, then T, then C

Database Functions and Filtering  Focus on the Project:  Number of Y records: 239  Number of successful Y records: 105  Number of failed Y records: 134

Database Functions and Filtering  Focus on the Project:  Number of T records: 1,154  Number of successful T records: 510  Number of failed T records: 644

Database Functions and Filtering  Focus on the Project:  Number of C records: 1,547  Number of successful C records: 807  Number of failed C records: 740
