2 Benefits of Manager Desktop Manager Desktop and having organizational hierarchy information is an important strategic element for HR information systems. Current Uses: t View only information on direct reports t Automate the creation of organization charts Future Uses: t Business Intelligence tool to “push” information to hiring managers (e.g. I9’s expiring, probationary period ending, communication to supervisors), workflow and approvals. t Provide span of control metrics t Initiate transactions

3 Manager Desktop Will provide line managers access to employee data for employees which report to them. Drill-down capabilities for managers to see a complete picture of people which report to them but may not be direct reports. Supervisor ID setup is required to use Manager Desktop and is available now to setup your organizational structure. A units organizational hierarchy will be based on the "supervisor id" field. Manager Desktop will be available March 5, 2007.

4 Supervisor ID Attach File Feature Units have access to a new Supervisor ID Attach File feature which provides the capability to load Excel files with supervisor ID’s into HEPROD. This process updates the supervisor ID field on the Job Data table which drives the Manager Desktop functionality. This is a real-time process and units will run to maintain their organization hierarchy. Supervisor ID is on the job data table in HEPROD/HEODS and in the data warehouse for reporting purposes. Instructions for using this are in MAIS LINC and titled Uploading Employee Supervisor Information.

5 Manager Desktop Security The line manager security role will be automatically assigned to individuals who are identified as line managers via the Supervisor ID field. M1’s are not required. Line managers will complete an on-line access and compliance form. Two-factor authentication tokens are required.

6 Methods to Update Supervisor ID Supervisor ID is updated in three ways: Supervisor ID File Attach Submittal Form eMploy interface to PeopleSoft (Reports To field) Temporary Appointment and Appointment Request Forms were updated to include the supervisor ID field.

8 Unit Checklist Initial Implementation: Determine a communication plan for your unit. If units are planning on using the manager desktop functionality or not, you should communicate that emails will be going out to individuals in the supervisor ID field. Estimate the number of managers and contact the MAIS Help Desk with the number of two factor authentication tokens needed. MAIS will work with your organization so that you can distribute these tokens versus asking managers to go to distribution centers. Keep in mind some managers already have two factor tokens due to other system roles. Setup your organizational structure Use the Supervisor ID Attach File functionality to load your organizational structure. Use the MAIS LINC document “Uploading Employee Supervisor Information” to assist you with this task. The evening after you complete your supervisor ID load, a new nightly process emails supervisors and informs them of this new capability. On-going maintenance: Review your organizational information on a frequency which you decide on (e.g. monthly, quarterly, annually) for accuracy.

9 eMploy Reports To Field Issue The eMploy Reports To field populates the Supervisor ID field. The supervisor will get an email notifying them of this new capability. We are putting language in the email to say “if your unit is participating in the manager desktop….”. There are various scenarios: For units that do not want to participate in Manager Desktop they need to consider who they enter in this field. This could be the same person for all job requisitions or several administrators. For units that want to participate in Manager Desktop but do not put the true hiring manager in the eMploy reports to field, they will need to consider who they enter in this field. This could be the same person for all job requisitions or several administrators. For units that want to participate in Manager Desktop and do put the true hiring manager in the eMploy reports to field there are no issues for consideration.
