6 E-mail netiquette In groups discuss what you think are the important rules we need to use when sending e-mail? Come up with a list

7 Redirecting e-mail Your university e-mail account allows you to receive email that you can read from any centrally-managed computer that you have access to, if you wish you can divert all your incoming email to another email address. 1.Open the Internet and visit www.york.ac.ukwww.york.ac.uk 2.From the University home page click on Departments. 3.Click on Administrative and service departments and offices 4.Locate the Computing Service link then click on Electronic Infodesk. 5.Click on E-mail Management. Enter your Computing Service username and password when prompted. Click on OK. 6.Click on the Delivery Options button. 7.Enter the e-mail address you want to re-direct your University e-mail to. 8.Tick the keep a copy for myself box. 9.Click the Set Diversion button, this may take up to 6 hours to activate.

8 E-mail netiquette 1.Use Email the Way You Want Everybody to Use It Think first - Would You Say the Same Face to Face? 2.Take Another Look Before You Send a Message Can your message be misunderstood Don't send anything that your not sure about. 3.Quote Original Messages Properly in Replies Make your email replies easy to read and understand by quoting in a smart and useful manner. 4.Clean Up Emails Before Forwarding Them Forwarding emails is a great way of sharing ideas, but make sure the original idea is not hidden. 5.Don’t forward chain e-mails Check these types of e-mails on sites such as hoaxbuster or hoax slayer –http://hoaxbusters.ciac.org/http://hoaxbusters.ciac.org/ –http://www.hoax-slayer.com/http://www.hoax-slayer.com/

9 E-mail netiquette 6) When in Doubt, Send Plain Text Email, Not HTML Not everybody can receive your fancily formatted emails. When in doubt send plain text emails only 7) WRITING IN ALL CAPITALS IS LIKE SHOUTING Don't shout in your emails (and caps is difficult to read). 8) Ask Before You Send Huge Attachments Don't clog email systems without permission. A 500kb attachment might take a long time to download on a dial-up connection 9) Don’t send messages that might offend Or the person might get F*****G angry. 10) Know the e-mail etiquette rules You will find them at http://www.emailreplies.com/http://www.emailreplies.com/

11 Creating your ATHENS account An ATHENS account is an additional username and password, which allows you to access many of the electronic resources subscribed to by the University. You need to register for ATHENS via the Electronic Library: 1.From the University home page click on Current Students 2.Next click on the Study Resources link. 3.Now click on ATHENS Registration under the Information resources heading. 4.Click on the ATHENS registration link (its under the How to get an ATHENS account heading)ATHENS registration 5.Enter your University username and password when prompted click on OK. 6.More information about ATHENS and its’ regulations are then displayed. When you are ready, click on I accept these regulations. Register me now. Your ATHENS username and password are then displayed. You will be able to use the account 24 hours after registration. 7.Make a note of your account username and password. If you forget them, you can follow the steps above to redisplay them.
