3 6/27/2015 3 University of Utah Health Sciences Center Cactus System  We link to the Medical Staff Office Cactus System data for credentialed faculty who have hospital privileges Education HistoryBoard Certifications Licenses & CertificatesSpecialties System IDs  Data changes are reviewed through the monitoring process  Changes do not appear right away  Some changes can be made by the MBM Office  Certain changes need to be verified by the MSO  Changes are usually made within one business day  You will be notified of any delay

5 6/27/2015 5 University of Utah Health Sciences Center Uploads for OSP and SCH  We receive monthly feed from Office of Sponsored Projects  Proposals  Awards  We receive two feeds of SCH data per semester from Main Campus  Week 3  Semester End  If data is incorrect, we want to correct it in the source system, but we have opened up more areas to allow flexibility in display for faculty

6 6/27/2015 6 University of Utah Health Sciences Center Publications  Large downloads can be deleted by the MBM office  By selecting to add a journal to the master list, a message will be sent to the MBM office for verification  If the journal already exists we will update the faculty member’s CV  If the journal requested can not be located the MBM Office will contact you

7 6/27/2015 7 University of Utah Health Sciences Center New Hire Faculty/ Early Entry Process  MBM runs a monthly report of all of the new hire full-time track faculty members  We request the new hire faculty CV’s and enter in the historical data  Once CV entry is complete, we will meet with the faculty member to show them the CV system and transition responsibility  Early Entry Process: MBM can enter a CV into the system (and get it in the correct format) prior to the appointment  Located on the MBM homepage is the form necessary to start the early entry process https://securembm.uuhsc.utah.edu/MBM/Index.cfm?DLI=MDT0000122 https://securembm.uuhsc.utah.edu/MBM/Index.cfm?DLI=MDT0000122

8 6/27/2015 8 University of Utah Health Sciences Center CV Training  Monthly CV training for users who are new to the MBM system  One-on-one CV refresher trainings  Department refresher trainings  The MBM office can set up and change CV access as requested by faculty and staff with verification

9 6/27/2015 9 University of Utah Health Sciences Center MBM Does Not Release CV’s Without Prior Authorization  Authorization is always needed before MBM will distribute a CV or set up new user access  If a staff member requests a CV from MBM we will ask you to have the faculty member contact us to grant permission  The MBM policy is meant to protect faculty members. The faculty member should be aware of where their CV is being sent in order to guarantee it is up-to-date and appropriately used.

10 6/27/2015 10 University of Utah Health Sciences Center MBM is Unable to do Updates for all HSC Faculty  MBM enters historical information for new hire faculty members  MBM is not able to make updates or changes for all faculty members (1,400 faculty!)  We are available to meet with staff and/or faculty for additional training or review of specific areas  How can we help you help your faculty?

11 6/27/2015 11 University of Utah Health Sciences Center Quarterly Reminders  Reminders emailed quarterly from MBM to all full- time faculty to prompt frequent review  Reminder to review existing information and consider recent activities that need to be added. Major categories are listed with basic instructions for entry  MBM includes updates on changes and additions that have been made to the system since the last reminder  All staff that have been trained through MBM are copied on the email
