Click Start from a blank rule. To create a rule for incoming messages, click Check messages when they arrive. Click Next. Click the condition(s) that you would like to apply to incoming e- mail messages. Edit the condition(s) in the Edit the rule description list. Click Next. Click the action(s) that you would like to apply to incoming e- mail messages. Edit the action(s) in the Edit the Rule description list. Click Next. Click the exception(s) that you would like to apply to incoming e- mail messages. Edit the exception(s) in the Edit the Rule description list. Click Next. Click Mail in Outlook. On the Tools menu, click Rules and Alerts. In Rules and Alerts, click New Rule. 1 2 Managing the e-mail messages you receive can take a great deal of time. Inbox rules will help you to minimize the time you spend organizing your e-mail. You can easily create rules that automatically perform customized actions on your e-mail messages. Click Start creating a rule from a template. Select a template from the template list. "Edit the template rules in the Edit the Rule description list. Click Next. Click the condition(s) that you would like to apply to e-mail messages. Edit the condition(s) in the Edit the rule description list. Click Next. Click the action(s) that you would like to apply to e-mail messages. Edit the action(s) in the Edit the Rule description list. Click Next. Type the rule name in the Specify a name for this rule box. Inbox Rules Scenarios Scenario: You do not want regular messages to be lost among messages from a high-traffic distribution list. Inbox Rule: Create a rule that moves messages from that distribution list from your Inbox and into a folder named for that list. Scenario: When you schedule a meeting, you want the responses collected to be placed in a folder. Inbox Rule: Create a rule that moves messages using the Accepted Meeting Response form from your Inbox into a Meeting Responses folder. Scenario: When your team sends requests to you in e-mail, you want them added to your task list. Inbox Rule: Create a rule that flags such requests for Follow up and moves them into the Tasks list. Scenario: When you receive a voice mail in your Inbox via Unified Messaging, you want the voice mail stored in a separate folder. Inbox Rule: Create a rule that moves messages with “Voice Mail Message” in the subject into a Voice Mail folder. Click the exception(s) that you would like to apply to e-mail messages. Edit the exception(s) in the Edit the Rule description list. Click Next. Type the rule name in the Specify a name for this rule box. To run this rule on messages already in your inbox, click Run this rule now on messages already in "Inbox”. Click Finish. 8 9 10 11
