1 Exploring Microsoft Excel
Chapter 3 Graphs and Charts: Delivering a Message

2 Objectives (1 of 2) Know advantages and disadvantages of different chart types Distinguish between an embedded chart and one in a separate chart sheet Use the ChartWizard Use arrows and text to enhance a chart Exploring Excel Chapter 3

3 Objectives (2 of 2) Differentiate between data series specified in rows versus ones in columns Understand how charts can be accurate statistically yet misleading conceptually Create a compound document consisting of word processing, worksheet and a chart Exploring Excel Chapter 3

4 Overview Business graphics one of most exciting Windows applications
Determine message of chart Create charts using Chart Wizard Plot multiple data sets on a single chart Dynamically link a chart to a memo This is a overview of why we use word processing software and the tasks to perform. Do you remember typing your term papers in high school? Recount to your students how much easier creating term papers are with the advantages of word processing. Exploring Excel Chapter 3

5 Chart Types Always remember to keep it simple
Pie and Exploded pie charts, effective for displaying proportional relationships Column chart used for number display Bar charts show numbers horizontally Word Wrap - text automatically wraps text from one line to the next without pressing the enter key Hard Return - created by the user when the enter key is pressed Soft Return - created by the word processor as it wraps text from one line to the next Insertion Point - Flashing vertical line that marks the place where text will be entered Toggle Switch - A switch that causes the computer to alternate between two modes. For example, Caps Lock alternates between uppercase and lower case. Insert Mode - Moves existing text to the right as new characters are being added. Insert key toggles between insert and overtype mode., Overtype Mode - Types over existing characters as new characters are added. Used for correcting typos. Normal View - this view shows the only the body of the current page; faster and preferable when entering text and editing (See Figure 1.6 page 15 in textbook) Page Layout View - this view shows the complete page with headers, footers and all formatting applied (See Figure 1.7 page 16 in textbook) AutoCorrect Feature - corrects predefined spelling errors and/or mistakes in capitalization, automatically as the words are entered. Exploring Excel Chapter 3

6 Creating a Chart Embedding in a worksheet or separate chart sheet
Use the Chart Wizard a four step process Step one choosing a chart Step two review data series Step three final touches Step four where to store Enhance with Drawing toolbar or Chart toolbar Word Wrap - text automatically wraps text from one line to the next without pressing the enter key Hard Return - created by the user when the enter key is pressed Soft Return - created by the word processor as it wraps text from one line to the next Insertion Point - Flashing vertical line that marks the place where text will be entered Toggle Switch - A switch that causes the computer to alternate between two modes. 7 The Chart Wizard Hands-On Exercise 1
Start the ChartWizard Move and Size the Chart Change the Worksheet Change the Chart Type Create the Second Chart Enhance the Chart Format the Data Series Print the Workbook The students should complete the Hands-On Exercise 1 (pages ) to understand how to create, save and print a simple document. This transparency lists the steps of the exercise. Trouble Shooting tips for this exercise are on page of the textbook. Exploring Excel Chapter 3

8 Multiple Data Series What message do you want chart to display
Rows versus columns If data series are in rows the Chart Wizard will use first row for X axis and use first column for legend text If data series are in columns the Chart Wizard will use first column for X axis and use first row for legend text Exploring Excel Chapter 3

9 Multiple Data Series Hands-On Exercise 2
Rename the Worksheets The Office Assistant View the Data Series Complete the Chart Copy the Chart Sheet Change the Source Data The Stacked Column Chart The students should complete the Hands-On Exercise 2 (pages ) to understand how to modify a document, save and print their changes. This transparency lists the steps of the exercise. This exercise also highlights the TipWizard, ToolTips, the Answer Wizard, and Summary Statistics. Exploring Excel Chapter 3

10 Object Linking and Embedding
Primary advantage of Windows is to create a compound document Embedded object is stored in the compound document Linked object is stored in its own file and used with a compound document OLE pronounced “Oh-lay” Exploring Excel Chapter 3

11 Object Linking and Embedding Hands-On Exercise 3
Open the Software Memo Copy the Worksheet Create the Link Copy the Chart Add the Chart Modify the Worksheet Update the Links The Finishing Touches The students should complete the Hands-On Exercise 3 (pages ) to understand how to spell check a document and save it under a different filename. This transparency lists the steps of the exercise. This exercise also highlights the importance of backups, changing folders, and creating shorthand abbreviations. Exploring Excel Chapter 3

12 Additional Chart Information
Excel has 14 standard chart types on the Chart Wizard Line used to display time-related information Combination uses two or more charts Use Accurate Labels Don’t add Dissimilar Quantities Exploring Excel Chapter 3

13 Chapter 3 Summary (1 of 2) Charts are an easy to understand way to show data Easiest way to create charts is with the Chart Wizard Charts can be embedded or stored in a separate file Multiple data series may be stored in rows & columns A chapter summary is given on pages of the textbook. Key words and concepts are listed on page 36 of the textbook. Students should master the concepts and vocabulary of this chapter before progressing to the next. Exploring Excel Chapter 3

14 Chapter 3 Summary (2 of 2) OLE enables creation of compound documents
Embedding means storing an object within the compound document Linking means storing the object in its own file, and the compound document uses this file Exploring Excel Chapter 3

15 Practice with Excel 2.Unique Boutiques
1.Michael Moldof Men’s Boutique 2.Unique Boutiques 3.Hotel Capacities and Room Rates 4.Steven Stocks Memo This transparency lists the additional practice exercises on pages of the textbook. At least one additional practice exercise or case study should be assigned because students can follow the “recipes” of the Hands-On Exercises without having a clue as to what they are doing or why. The additional exercises give a problem and the student must figure out how to do the solution. Exploring Excel Chapter 3

16 Case Studies University Enrollments The Federal Budget
The Annual Report Computer Mapping This transparency lists the Case Studies on page 45 of the textbook. At least one additional practice exercise or case study should be assigned because students can follow the “recipes” of the Hands-On Exercises without having a clue as to what they are doing or why. The additional exercises give a problem and the student must figure out how to do the solution. Exploring Excel Chapter 3
