1 Session 4 Review and Improve Performance TopicTiming 1End of shift closeout10 minutes 2Review performance each day10 minutes 3Plan to improve10 minutes With a well thought out plan in supervisors’ hands and a clear view of how crews are performing, Fewzion helps create engaged, productive workforces that plan their work and work their plan to safely deliver results each and every shift.

2 Accountability and leadership drive performance Holding your team accountable for their performance, finding improvement opportunities and providing leadership are critical elements of a Leader’s role Regular process review meetings at the end of each shift will ensure that safety is reviewed, targets are being met, the plan is being managed and opportunities to improve are identified and escalated where necessary. This should be a brief, focussed meeting using Fewzion touch screens to review KPIs and tasks and to identify variances from plan and opportunities for improvement. Undermanagers should ask questions that get their deputies thinking about the performance of their area and ways that they can plan and improve next shift. Leader Behaviour Holding people accountable What does a good Shift Review meeting look like? Starts at the end of shift with each deputy Follows Agenda. Uses Fewzion touch screens, shift report and 5 whys. Identifies variances from plan and reasons why. Considers continuous improvements and issues to escalate. Records actions for coordinators and superintendents. SHIFTLY REVIEW Users: Undermanager and Deputies Timing: At the end of each shift 2

3 Record Actual Performance Deputies enter their actuals into the “Actuals” touch screens at the end of each shift 3. Slide to adjust the completion % of each task in your process. 2. Tap on KPI area and enter KPIs into this popup Shift KPIs and actuals for shifts are displayed here Run charts automatically update based on KPIs entered Previous shift My shift (just completed) Next shift 3. Simple checklist questionnaire The “Actuals Boards” display the screen below. The screen is ideally positioned close to the under manager. Leaders complete the “Actuals” touch screen with their KPI results and the tasks they have completed by tapping on the screen. Shift Managers should discuss results with the leader while they are completing this screen to close the “leadership loop” at the end of shift.

4 Visible plan vs actual (run sheets) Review daily performance reports to see whether the crews hit their KPIs for each shift. The reporting dashboard can be found in the tab that looks like a bar graph. These reports should be reviewed each shift and discussed by all people on site.

This should be a brief, focussed meeting using Fewzion daily reports and production reports to help the team understand what happened in the previous 24 hours and to identify variances from plan and opportunities for improvement. Superintendents should ask questions that get coordinators thinking about the performance of their area and ways that they can plan and improve for the next 24 hours. Leader Behaviour Setting Clear Direction What does a good Process Review meeting look like? Starts on time at 7.30 am with relevant process coordinators and superintendent present. Follows Area Review Meeting Agenda. Uses shift reports, Fewzion daily report, 5 whys, MSO debrief reports. Identifies variances from plan and reasons why. Considers continuous improvements and issues to escalate. Records actions for coordinators and superintendents. DAILY PROCESS REVIEW Users: Production superintendents and coordinators Timing: 7.30 am week days 5

6 REVIEW PERFORMANCE AGAINST PLAN AND IDENTIFY VARIANCES AUTOMATIC PERFORMANCE REPORTS FEED DAILY REVIEW MEETINGS AND HELP YOU ACT TO IMPROVE We gather up the data and provide management with daily and weekly operating reports about production and KPI performance for use in review meetings. Management can also receive reports on system usage to help identify and address issues with the behaviours they expect with the system.

Consider Variances to plan Were appropriate actions taken by deputies, MSO, trades to recover. Are there any issues and/or actions that need escalation.
