11 For individuals years School information will be required to be completed. For all others, only the Highest Grade Completed will be required. Overall appearance of this page will remain the same. Highest Grade Completed will now be a mandatory field for all individuals.   This information will removed from the WP Case page and will appear on the Plan page.

13 User will not be able to authorize CW case without adding the Highest Grade Completed for individuals 6 years of age and older. This is in regard to CW pending only. If the user wants to authorize other programs on the case, they will need to remove the case complete check, then authorize the other programs.

14 User Take Aways School verification is required for individuals who are between the ages of 16 and 18 years. Highest grade level should be completed for individuals 6 and over. This is a mandatory field in the Student Detail Page and will now appear in the Plan Page. A pop-up message will occur during on-line authorization (changes, exceptions and RRR’s). If CW case is in a denied or failed status, the pop-up will not occur and the user will be able to authorize the case.

18 User Take Aways County Address will be set as a default in the Adverse Action page of WP. Worker will have access to update if needed. County Users will not be able to initiate Inter-County Transfers (ICT) if Yes or No is not completed in the Adverse Action page (user will see a pop-up, “please complete cause determination”). ICT cannot be completed while there is a CN period.

34 User Take Aways Plan “type” will be associated with the county’s program and will show on the Road Map. Customer’s name will appear. Character amount has been increased to 1000 for long-term and short-term goals. Appointment date and time will be placed on the Roadmap. A free text box with up to 250 additional characters will be available.

Barrier button has been added to the bottom of the Maintain Participant Activities page. End date to CN activities that are past their date. Example: Conciliation period ended 01/31/15, date will show 02/01/15. This will be run on all CN activities in this status.

45 The Basics Eligibility workers are selecting “Withdraw” or “Cancel” on the Program Action page incorrectly, leading to incorrect or missing Notices of Action (NOAs) and increasing error rates. This functionality will now be limited to county supervisors to decrease misuse. This change will apply to Food Assistance, Colorado Works, and Adult Financial.

46 Program Action Important Note: Cancellation of expedite will not be impacted by this change. The new user type is not tied to Expedited Food Assistance cancellations. The “Withdraw” and “Cancel” functionality on this page will only be available to those who have a new user type of “FA Program Action.” State security admins. must add this user type. Existing “Supervisor” users will receive this addition automatically unless they are not county supervisors (e.g., MA or PE Site supervisors).

51 Application Initiation (AI)
As with any new case, a thorough inquiry should be done to ensure that the applicants are not household members in existing cases. The Clear/Inquire Individual page should be used. If one or more of the applicants is found on another case during this process, a new AI can be created with that applicant(s)’ existing information.

Clicking this button will open the new Create New Application page.

The button will take workers to the Application Information page, which will no longer be locked down. The corrections will impact all HLPGs on the application. The worker may change, add, or delete data as needed. The original application number will remain.

62 Case Summary Application data will be populated in the grid. If an application was “disassociated” from a case number and re-assigned to a different case, the old case number will display as Cancelled with “Application Correction” as the reason.

RRRs will not be reset more than 12 or 24 months. The Diary Date on the Disability Determination page will no longer be read. ARG dates must be entered into the Med Re-exam Date on the Medical conditions page. Clients now have days to return the Med 9 at Initial application. AND- SO, AND-HCA, AND-HCA and AND-PNA RRR dates will be aligned with the Med Re-Exam date. Values have been re-ordered on the Medical Conditions page to display alphabetically. The RFCSM is no longer a mandatory field when the case is pending for a Med 9. The IM-14 and the Med 9 have been automated and will be included in RRR packets beginning with the September RRR.

67 Overview of Changes The FS 14 has been automated for claims.
A claim determination form was created for CW/AF and the claims process automated. Speed letters will be generated for claims when the status changes from open or active to terminated, suspended, cancelled or closed. Notices for Food Assistance have been improved to better explain: When verification is still needed even though expedited benefits were issued. Language added to Approval NOAs explaining benefit issuance for application dates after the 15th of the month. Colorado Works noticing and a speed letter have been created to: Inform households that they may continue to receive Child Support services after their case closes. Print benefit end dates on both case and individual levels when benefits are approved and terminated on the same day. Rule citations updated for AF/CW notices. Logic added to suppress identical NOA’s. Leap questions updated for RRR/PRs. A new AF NOA for clients who not meet the condition for sponsor deeming resource calculations.

Clients with SSA Survivor Adult income and BIC codes that begin with a D will no longer be considered disabled. Clients with SSA Dependent income and BIC codes that begin with a C will now be considered disabled.

103 Project 7840 QDW will now additionally check SSI Details history page in CBMS. The client must have been eligible for SSI in the past to qualify for QDW. The client must additionally be disabled and have SSA Survivor income with a BIC code that begins with ‘D’ or ‘W’.
