Reviewing New Applications A User Guide for Department Heads

Right-click on the Name of the application you would like to review and open in a new window

Right-click and open the Application (Review/Print) in a new window Study Homepage

The Review/Print format allows you to print the application as well as view the entire body of the application in one window Clicking on the “View Form” link located next to each page heading will take you into that particular page of the full application form as you would see if you clicked on “Application – Full” in the Study Homepage

Activities that you may perform Approve the application and forward to Research Ethics Board Administrator (REBA) for screening Send a Request for Changes to the Principal Investigator Send the Application back to the Principal Investigator as it should be approved by a different department Suppose you would like the PI to make changes to the application - Click “Changes Required by Department

Please complete Section 4.2, 4.3 and 4.5. Enter Comments and Instructions in this text box for the Principal Investigator and his/her Study Team. Click “Ok” to send the application back to the PI

This application has now been forwarded back to the Principal Investigator and his/her Study Team for revision as per your requests

Review Changes Submitted by the PI as per your Requests

Click to view lengthy comments/responses from the PI & Staff in detail Click to review changes made to the application as per your request

Click to view changes made in the body of the application

Select the lowest version number (show all changes) to see changes made to the application as per your requests Amended Sections: Changes/additions are highlighted in yellow Previous entries are highlighted in pink Deletions are shown as being crossed out Click to close & return to the Study Homepage when you are finished reviewing all the changes

Click to Approve the application and forward it to the REBA for screening

Enter your comments in this text box Click “Ok” when complete Study looks good to me. I have no issues with it.

Your comments will be filed under the Correspondence tab and viewed by the Principal Investigator, the Study Team and the Research Ethics Board

RISe will notify, via email, you and any individual you list as your administrative assistant when an application arrives in your “My Inbox” for review/approval. As a Department Head (Primary Department Reviewer), RISe will also allow you to delegate signing authority to a maximum of 4 department approvers. To do so, you must provide the UBC Office of Research Serivces (ors@ors.ubc.ca) with the names of additional approvers and verify that you have delegated approval authority to these individuals.ors@ors.ubc.ca
