Asbestos-containing material (ACM) Any material, object, product or debris that contains asbestos. Messages Asbestos is a naturally occurring mineral that was mined and used extensively by Australian industry in a wide range of products, manufactured between the 1940’s to the 1980’s. Asbestos was used because of its abundance, low cost, strength, flexibility, fire resistance and insulating qualities. It was sometimes added into other materials to enhance their performance. Materials or products that contain some type of asbestos are referred to as Asbestos- Containing Material or ACM. You can see some examples of ACM here in the vinyl floor tiles, debris appearing in soil, toilet partitioning and external wall sheeting. There are many more products that could contain asbestos including: adhesives Fire doors pipes underlay for carpet sprayed wall & ceiling coatings. In Australia, the manufacture and importation of most products containing asbestos was phased out in the 1980s. A nationwide ban, on importing and using all forms of asbestos, took effect on 31 December 2003. Doctor Keith Adam Senior Occupational Physician & Chief of Professional Services – Health Services Australia Practising as a specialist in occupational medicine for over 20 years. He has been a consultant to a number of organisations regarding asbestos related matters. He has also advised the department in relation to health matters relating to asbestos. 7 Policy for the management of asbestos-containing material in department-owned facilities
TITLE SLIDE: Policy for the management of asbestos-containing material in department-owned facilities Messages Now we have a clear understanding of what is asbestos and the term ACM, let’s look at the policy and the procedures that are in place to help us risk manage asbestos in our facilities. This training will take you through the policy document and an overview of the procedure document that is called the Asbestos Management Plan (AMP). The AMP is a comprehensive document that is a complete manual of how to manage anything related to ACM in department-owned facilities. Our focus for today is to pull out 4 critical areas from this document and give you a level of awareness around them and to ask you to go away and review both documents post this training to provide the additional detail and tools to support you. So let’s start with the policy. The policy provides an overview of the management of ACM in department- owned facilities The detailed management, responsibilities and procedures are outlined in the AMP Facilitator’s Tip Have a hard copy of the policy available to display to your audience Policy

The policy and procedures must be implemented within all department-owned facilities where assumed and/or confirmed ACM is present including: Schools; Early Childhood Education & Care Centres; Environmental Education Centres; All Regional and Central Offices. The policy must be adhered to by: All departmental staff; Parents & Citizens Associations (P&C) and volunteers; All service providers including Building & Asset Services (BAS); and Department engaged service providers and contractors. It is important that you read this document in full. The application of this policy is articulated in the Asbestos Management Plan (AMP), which is discussed shortly. Therefore, the Policy MUST ALWAYS be used in conjunction with the Asbestos Management Plan. Policy

SLIDE: Statement of Intent Messages Statement of Intent - Outlines the Queensland Government’s intention around the management of ACM in their facilities Appropriate measures are needed to ensure that ACM is managed and potential asbestos-related risks are controlled. The following measures have been developed and adopted by DET based on the requirements of: the Work Health and Safety Legislation; and the Queensland Government Asbestos Management Policy for its Assets. Facilitator’s tip: Discuss each of these giving an example or where it fits Initial identification & registration of ACM – the Department of Housing & Public Works (DHPW) have done this and created asbestos registers for all government buildings classified as workplaces built up until 31 December 2003. Managing asbestos in-situ & periodic inspections of ACM – Building and Asset Services (BAS) manage this as part of annual condition assessments and DET’s Asbestos Audit Program. Asbestos warning signage – Awareness Safe business procedures & work practices – Policy for the management of asbestos-containing material in department-owned facilities & DET’s AMP. Progressive removal of ACM (based on risk) – BAS do this as requested by DET – ARP program. Work Area Access Permit (WAAP) process to control maintenance, installation, construction or refurbishments related work – (permit to work) – No work is done on site without this. being created approved and issued to the service provider (exception can apply for emergent out of hours repairs where BAS has coordinated the work). DET has detailed procedures for the management of asbestos in DET Facilities. These procedures have been included in: the department’s Asbestos Management Plan for DET Facilities and must be read in conjunction with the Policy for the management of asbestos- containing material in department-owned facilities. Queensland Government’s management authority for ACM Advise DET on asbestos management Building and Asset Services (BAS) manage in-situ ACM Corrective actions – repair or replace Updating of Asbestos Register (removals, condition and scores) Annually – Condition assessment of facilities and high risk ACM Includes the inspection of building components known or suspected of containing asbestos. 1 in 3 year Asbestos Audit Program inspection & review of existing assumed & confirmed ACM Identification & recording of new ACM SLIDE: Department of Housing & Public Works Messages The policy clearly identifies DHPW Building and Asset Services (BAS) as the primary Service Provider in the management of in-situ ACM (in-situ – in its original place). They have a range of responsibilities which include: Make safe Corrective action – repair or replace Updating of Asbestos Register – BEMIR to reflect current condition and score for ACM including current status levels of ACM Annually – Condition assessment of facilities and high risk ACM – state schools, early childhood, education & care facilities. Includes the inspection of building components known or suspected of containing asbestos. Where required make safe, repair and or programmed for replacement 1 in 3 year Asbestos Audit Program inspection & review of existing assumed & confirmed ACM Identification & recording of new ACM Policy

12 Built Environment Materials Information Register (BEMIR)
Electronic environmental management system Designed and managed by DHPW Building Managers – compulsory use of BEMIR when any work is undertaken on the facility: Maintenance Refurbishment Installation Construction SLIDE: BEMIR Messages The policy talks about the use of BEMIR - the Built Environment Materials Information Register. The electronic system manages most of the information relating to ACM in department-owned facilities Supports the Building Manager or Nominated Officer to manage all building-related works undertaken at the facility including work area access permits and incident management. We will be covering these further in the training as BEMIR is an important part of how we manage asbestos risk. Policy

BEMIR is an electronic environmental management system designed and managed by DHPW to assist government agencies with the management of environmentally significant matters within Government controlled facilities. Q: Why do you think that mandatory compliance around these 3 areas is critical? Possible answers Critical to capture all data associated with the management of asbestos-related issues in Government agencies. The Government has introduced BEMIR to ensure compliance with current legislation. Using BEMIR to manage environmental matters ensures consistent procedures are implemented across government agencies. BEMIR allows agencies to efficiently monitor and report environmental management issues and provide appropriate resources and support. Need to maintain a comprehensive database to reduce the risk of injury or illness. Policy

TITLE SLIDE: Asbestos Management Plan for DET Facilities Messages This section outlines the contents of the Asbestos Management Plan (AMP) for DET Facilities There will be an emphasis on these priority areas: Responsibilities WAAPs Asbestos Registers Incident Management & Response – dealing with the situation and the completion of the IMR There will be a case study activity/discussion at the end of this section. Explain to participants that even though we will go through this document in detail it is their responsibility to read this document in full. The Asbestos Management Plan (AMP) for DET Facilities The AMP contains A detailed reference guide on the procedures to be followed Essential information on responsibilities Flow diagrams to guide users through the required processes and procedures SLIDE: Asbestos Management Plan Messages The Asbestos Management Plan (AMP) details the procedures for the management of asbestos-containing material in department-owned facilities. It includes: Procedures to ensure legislative compliance around the ongoing management of ACM; as well as Flow charts for the management of incidents involving assumed or confirmed ACM. Some of the critical sections covered in the AMP include: Responsibilities and roles, specific to the management of ACM within department- owned facilities; The Built Environment Materials Information Register (BEMIR) – the Department of Housing and Public Works’ (DHPW) online environmental management system; Asbestos Registers – what they are and how to read them; The Work Area Access Permit (WAAP) Process – details when they are required and the work flow required, to manage a WAAP from creation to closure; and Incident Management Reporting – how to report an incident within required timelines. Remember, the Asbestos Management Plan must be used in conjunction with the policy. The AMP must be used in conjunction with the Policy. Plan

17 Why have the AMP? Plan Minimise risk Meet legislative requirements
Health, safety & well-being of students and staff is the highest priority of DET Meet legislative requirements In the vast majority of cases, ACM is safe and does not pose a health risk if: Undisturbed In sound condition SLIDE: Why have the AMP? Messages The department’s committed to ensuring that any ACM found in DET facilities is managed in such a way as to minimise the risk to students, staff, service providers, parents/caregivers and other visitors on site. Over time the condition of ACM may change and there are situations from time to time where these materials may be inadvertently disturbed as part of day-to-day use or incorrect work methods used by service providers. Also the condition of ACM can deteriorate over time depending on conditions, exposure etc... So the aim of the AMP is to MINIMISE RISK to everyone involved and to take care, record and schedule ACM for replacement where the condition changes to poor or a high risk. It is important for those processes to be standardised, communicated and implemented so that health and safety are ensured in every facility with assumed and/or confirmed ACM. Plan

The Asbestos Management Plan (AMP) identifies these roles and their responsibilities. This is the complete list of people that need to have a level of awareness around Asbestos Management. We will go though the key roles and responsibilities today, so for those roles not discussed, or for the full list of responsibilities for all roles, you will need to go to the AMP. DET Staff – any person working for DET. Building Managers – School Principals, Regional and Central Office personnel who manage their facilities. Nominated officers – the Building Manager can delegate some of their responsibilities to a departmental officer who holds a position at a level in the public service award A03 and above, or a promotional teaching position in a Head of Program or School Leader position. Please ensure that you read in full, the sections that relate to your role. Building Managers at a department workplace may include: At Schools, the Principal or Executive Principal; At Early Childhood Education and Care (ECEC), the Centre Director; and At Regional Offices, the Office Manager. Building Managers can provide formal delegations to the Nominated Officer to undertake their roles in relation to asbestos management. Take a moment to review this list. Responsibilities

20 Not to undertake make safe repairs
DET Staff Notify a member of the Asbestos Management Team (AMT) of any concerns regarding the disturbance of building materials Not allow access to service providers to carry out work unless specifically authorised to do so by the BM or NO Adhere to departmental policies and procedures for the management of ACM Not to undertake any work, however minor, without explicit approval of the BM or NO Attend the Asbestos Awareness – annual presentation facilitated by the Building Manager SLIDE: Responsibilities – DET Staff Messages Section 5.1 AMP DET Staff at locations where facilities have assumed and/or confirmed ACM are required to: Adhere to departmental policies and procedures for the management of ACM. Notify a member of the Asbestos Management Team (AMT) of any concerns regarding the disturbance of building materials. Not allow access to Service Providers to carry out work unless specifically authorised to do so by the Building Manager or Nominated Officer (must be in receipt of a WAAP). Not to undertake any facilities work, however minor, without Building Manager or Nominated Officer approval e.g. hanging pictures on walls, installing new curtains, etc. (must be in receipt of a WAAP). Not to undertake make safe repairs (leave it to BAS, or BAS engaged service provider). Participate in asbestos awareness – annual presentation in Schools and Regional Offices. Inform the BM, NO or WHSO (where applicable) with any concerns in relation to health or asbestos management processes. Staff must not allow maintenance or construction work to be undertaken in the presence or vicinity of students, other staff or visitors. Remember, if you see any damage or disturbance to the facilities including buildings or grounds, do not handle the material but report it immediately to a member of the Asbestos Management Team (AMT), i.e. Building Manager, Nominated Officer or Administrative Officer so it can be managed in accordance with DET’s procedures. 21 Responsibilities DET Building Managers (BMs) (AMP section 5.2)
1of 7 Accountable for the management of any asbestos-related matters. Required to adhere to departmental policies & procedures in asbestos management. Use BEMIR to create, authorise and close Work Area Access Permits (WAAPs). Provide formal delegations to the Nominated Officer in relation to asbestos management. The Nominated Officer’s role can only be delegated to a classified officer position of A03 or above, or a promotional teaching or school leader position. Use the ‘Poster - Asbestos Management, your team’ template (available from the website) to confirm delegations and display in a clearly visible location in staffrooms. Ensure that all Nominated Officers (permanent or acting) with an approved delegation attend Asbestos Management Team (AMT) Training prior to commencement in the role. Ensure that Nominated Officers know their responsibilities in ACM management & comply. SLIDE: Responsibilities – DET Building Managers (1 of 7) Facilitator’s tips Make sure each dot point is discussed. As you go through the responsibility slides, on each slide ask the group for either An example of how they do one of the points - E.g. might be we have a warning sign at the reception area an a portable sign that is used by the work area. For a story/example situation. - E.g. Might be we had an incident last year and we were all in a state as to where to find information on what to do. Because of that we have all been shown where to find information. Messages Building Managers at locations where facilities have assumed and/or confirmed ACM are required to: Be accountable for the management of any asbestos-related matters. Adhere to departmental policies & procedures in asbestos management. Use BEMIR to create, authorise and close Work Area Access Permits (WAAPs). Provide formal delegations to the Nominated Officer to undertake their roles in relation to asbestos management. The Nominated Officer’s role can only be delegated to a classified officer position of A03 or above, or a promotional teaching or school leader position Delegation is provided through written confirmation and use of the ‘Poster - Asbestos management, your team’ template from the Asbestos Management website This template needs to be retained for audit purposes and should be displayed in staffrooms Ensure that Nominated Officers (permanent or acting) with an approved delegation by the Building Manager attend Asbestos Management Team (AMT) Training prior to commencement in role. Ensure that all Nominated Officers know their responsibilities and comply with DET’s asbestos management policies and procedures. Responsibilities

2 of 7 Ensure staff and P&C attend an Asbestos Awareness – annual presentation at locations where facilities are assumed and/or confirmed to have ACM Keep the attendance register for audit purposes. Ensure that all relevant school staff have online access to BEMIR and when those staff cease employment at the centre then the system access is deleted. Ensure that the asbestos register & AMP are readily available to all staff, P&C, visitors & service providers. Ensure at least 1 asbestos warning sign is publically visible & meets size specifications. Ensure that under no circumstances is DET equipment to be provided to service providers for their use during or after works. SLIDE: Responsibilities – DET Building Managers (2 of 7) Messages Ensure that all staff (permanent and casual) and P&C attend the Asbestos Awareness - Annual Presentation each year where facilities are known to have assumed and/or confirmed ACM and keep the attendance registers for audit purposes. Ensure that all relevant school staff have online access to BEMIR and when those staff cease employment at the centre then the system access is deleted. Ensure that the asbestos register and the asbestos management plan are readily available to all staff, P&C, visitors and service providers. Ensure that at least one publicly visible Asbestos – warning sign (notice to all contractors – asbestos register) example in section 6.5 of the AMP, should be located at the facility’s central control point (e.g. reception, front counter etc.) as a minimum. Ensure that under no circumstances is DET equipment to be provided to service providers for their use during or after works. Responsibilities

Advise the Infrastructure Manager of any WHSQ Improvement or Infringement Notices Including required & implemented remedial actions (schools only) Record in MyHR WH&S Review asbestos-related incidents and internal asbestos management procedures annually with the site’s WHSO (where applicable). Adhere to the department’s policy and procedures for the management of assumed or confirmed asbestos-related incidents. Record incident details in BEMIR within 1 hour of discovery Individuals directly involved in an incident should have an injury/illness record added to MyHR WH&S Provide support and advice to employees where concerns are raised. Schools Officers are reminded not to undertake any work on assumed or confirmed ACM including make safe repairs. All corrective actions must be undertaken by BAS. Special Requirement when period WAAPs are issued to employees. If the building was constructed up to 31 December 1994 and something is not listed in BEMIR, then it should be treated as assumed ACM until proven otherwise. For buildings constructed up to 31 December 2003, assume ACM for plant and equipment only. If you are unsure if a material contains asbestos then you should assume that ACM is present until sample testing is conducted. Read and understand the “General Conditions of Access” and Special Conditions of Access (Asbestos) or any other special conditions imposed by the Building Manager or Project Manager Principal Contractor/Service Provider must sign page 1 of the WAAP, the Before the Work Commences section and all employees & subcontractors MUST sign the “List of Subcontractors” section or addendum. 38 Asbestos Register Managing Risks
April 17, 2017 Asbestos Register Work Health and Safety Regulation 2011, previously required asbestos registers for all buildings classified as workplaces constructed up to 31 December 2003. Schools constructed post-2003 have registers created for the purpose of creating & issuing WAAPs. The ‘central asbestos register’ is maintained by Building & Asset Services (BAS). Identifies assumed, confirmed, removed or not present (tested or not tested) status of asbestos-containing material (ACM) within department-owned sites. Following the 16 May 2014 amendments to Queensland’s Work Health and Safety legislation, only buildings constructed up to 31 December 1989 are assumed to have asbestos-containing material used in their construction, unless proven otherwise. DET has adopted DHPW’s risk based approach as follows - if the room or specific area is not listed in BEMIR, then: For buildings constructed up to 31 December 1989, assume ACM For buildings constructed post-1989 to 31 December 2003, assume ACM for plant and equipment only SLIDE: Asbestos Register Messages Work Health and Safety Regulation 2011, requires asbestos registers for all buildings classified as workplaces constructed up to 31 December 2003. All schools constructed post-2003, will have registers created for the purpose of creating & issuing WAAPs. Details include: the location and type of ACMs; The physical state based on the level of its encapsulation, its condition and its stability; and A BEMIR score between which can be used to help prioritise any remedial actions by ranking the items of ACM from highest to lowest risk. Based on the likelihood of extensive disturbance to friable ACM, the need for excessive control measures to mitigate risk and cost as part of the refurbishment works, consideration will be given to the removal of all identified friable ACM in the work area. Where renovation, refurbishment, demolition or maintenance works are to occur, existing ACM is not to be enclosed, encapsulated or sealed. All removal work must be done outside of school operating hours. The employee must have ready access to, and understand the facility’s current BEMIR Asbestos Register. The employee must not undertake any work on ACM including make safe repairs. It should not be issued for periods extending over 12 months. A period WAAP can be considered for: Routine Day-to-day Tasks (Schools Officer/Facilities Maintenance Staff) Minor tasks not involving any ACM such as hanging a picture, drilling holes to put up a simple shelf, relocating a noticeboard or preparing surfaces for minor paint touch-ups. April 17, 2017 Multiple Buildings One or several Work Area Access Permits (WAAPs) may need to be produced depending on the scope and staging of work. The service provider takes control of the work area until they sign-off the WAAP indicating that the work area is available for re-use, so multiple WAAPs may be needed to support day to day functioning or stages of a project. Asbestos Vinyl removal in several buildings – all work completed in one weekend 1 WAAP Classroom renewal projects affecting 5 blocks – work scheduled over 10 weeks with 2 weeks/building 5 WAAPs SLIDE: Issuing WAAPs – Multiple buildings Messages Depending on the scope of the work involved and number of buildings, it may be necessary to create an individual WAAP for various stages of the works which cover more than one building. The service provider takes possession of the specific work area in a facility identified on the WAAP. The area remains under their control until the service provider signs off the ‘service provider’ section of the WAAP which then provides ‘clearance’ for the school to again reoccupy the space. BEMIR has the capability of copying details from a previous permit to assist in streamlining this process. When copying an existing WAAP, the exact same details are transferred to the new WAAP however the service provider details may be altered. This functionality may be useful for issuing Period WAAPs or for issuing a WAAP for routine maintenance. Managing Risks

Once the BEMIR update occurs, the corresponding facility site map is also uploaded into BEMIR. The above activities are completed sequentially, ensuring relevant confirmations are obtained from school Principals in relation to site map updates. This ensures a high level of data integrity for site maps that are also used as a reference for updating BEMIR. The Building Manager or Nominated officer must follow the procedures for managing an asbestos-related incident including advising parents and caregivers. BAS will inspect the area and take appropriate remedial action which may include the development of an Asbestos in Soil Site Management Plan. To ensure the effectiveness of an Asbestos in Soil Site Management Plan, the identified area should be visually inspected at regular intervals, after high traffic events or after a period of prolonged rain or drought. The Building Manager or Nominated Officer is responsible for ensuring that BAS undertake reinspections. See attachment 5 of the AMP for the required procedures or refer to Section 12 of the Asbestos Management Plan for further detail. Service Providers undertaking building-related works where an Asbestos in Soil Site Management Plan (ASMP) is available, must use Safe Work Method procedures when excavating. If assumed/confirmed ACM is excavated during building-related work and appropriate Safe Work Method procedures (SWMP) are utilised for this type of event, work can continue as per the SWMP. The service provider must inform the Building Manager (BM) or Nominated Officer (NO).  The BM or NO must follow the procedures for managing an asbestos-related incident/discovery including contacting BAS and advising parents and caregivers for the “initial discovery only” of asbestos debris in soil for the project. BAS will inspect the site, undertake remedial action if required and review the Service Providers’ asbestos in soil SWMP. If an Asbestos in Soil Site Management Plan (ASMP) is not available at the time of discovery, the DET project coordinator/manager will request BAS to arrange for the development of an ASMP for project. The BM or NO should be kept informed by the service provider, BAS or the DET project coordinator/manager if engaged. If an Asbestos in Soil Site Management Plan is not available at the time of discovery, then the DET project coordinator/manager will liaise with BAS for the development of an Asbestos in Soil Site Management Plan. The Building Manager or Nominated Officer should be kept informed by the service provider, BAS or the DET project coordinator/manager if engaged. NOTE: Where BAS has managed the (inspection, clearance and ASMP development) following the initial discovery of debris in soil for the project. If further asbestos in soil is discovered and the required Asbestos in Soil Safe Work Method procedures (SWMPs) is being utilised during the excavation activities, this is not considered to be a new incident/discovery. The BM is not required to engage BAS for subsequent inspections/clearances as the service provider is required to follow their endorsed SWMP (this is to occur when the ASMP is developed by the independent hygienist for the project upon initial discovery) and legislative requirements for this situation. April 17, 2017 Creating an Incident Management Report (IMR) Within 1 hour of discovery, the Building Manager, Nominated Officer or Administrative Officer must create the IMR in BEMIR for all assumed or confirmed asbestos-related incidents. SLIDE: BEMIR – Creating an Incident Management Report (IMR) Messages The Incident Management Report must be managed by the Building Manager, Nominated Officer or Administrative Officer at the location. An incident management report is required for all assumed or confirmed asbestos-related incidents and must be created in BEMIR within 1 hour of discovery. Both the Incident Details and Initial Response Action Taken sections of the IMR must be completed. When creating the IMR: Be clear and concise; Record the facts only; and Ensure each field is completed. Facilitator’s tip: Review the required fields discussing appropriate factual responses. April 17, 2017 Parent/Caregiver Letter Within 24 hours of a confirmed or assumed incident, the Building Manager must provide parents & caregivers with a written letter on school letterhead advising them of: The cause of the incident (known/suspected) If ACM is confirmed or assumed The intention of planned remedial works Which area(s) is restricted until a clearance for reuse is provided Template available from the Asbestos Management website or the AMP. School creates the draft letter Parent/Caregiver Proforma School sends draft letter to Regional Director (RD) or their delegate RD approves then returns letter to meet 24hr requirement School issues parents/caregivers letter within 24hrs* * Date letter issued recorded in the IMR. SLIDE: IMR – Parents/Caregivers Letter Messages The asbestos-related incident parent/caregiver letter must be sent to all parents and caregivers of students in the school where restricted access has occurred. The flowchart here identifies the process to be undertaken. The Asbestos-related Incident Parent/Caregiver letter template is available from the Asbestos Management website. The letter must be authorised by the Regional Director or their delegate and then distributed to parents and caregivers within 24hrs of the incident. The Building Manager/ Nominated Officer needs to record the date the letter was issued to parents/caregivers in the IMR.  Note: Any follow up communication of an asbestos incident can be done via the school newsletter Incident Management

April 17, 2017 Updating and closing an IMR An IMR cannot be closed until the asbestos-related incident has been resolved and the record updated. SLIDE: BEMIR – Updating and closing an Incident Management Report (IMR) Messages An IMR in BEMIR cannot be closed until the incident has been resolved and the record updated. Select Incident Management from the Navigation Bar. Use the Incident Management Search selecting the ‘Active’ status and then click on ‘Search’. Alternatively, you can refine the search by specifying a date range. Click on the Report No. to open the required Incident Management Report (IMR). To edit the IMR, select ‘Edit’ at the bottom of the report. If the Testing and Results field is not accessible in edit mode, any results available will need to be entered in the Corrective Action Taken field. Locate the Related Work Area Access Permits section and select the drop down box to view available WAAPs issued for all rectification work including decontamination resulting from the incident. The date of the WAAP must be the same date or a future date as the IMR date. If a WAAP is created with a date prior to the IMR date the WAAP will not appear in the 'attach'. If the WAAP is not available from the drop down list, then scroll down to the Corrective Action Taken field and record the WAAP number and Principal Contractor/Service Provider’s details. To locate a specific WAAP, select Access Permits from the Navigation Bar. The latest ten WAAPs will appear in the Search Results field. To locate a specific permit use the Access Permit Search specifying the status and the date range then select ‘Search’. Locate the required permit and click on the Permit Number to open the permit. *Note: if the incident is as a result of ‘a potential work method issue’ from approved works, then the initiating Work Area Access Permit details (WAAP number & service provider information) should be recorded within the Incident Details – Additional Information field. Ensure all external correspondence including the parent/caregiver letter is recorded in the External Correspondence Notification field. Update the Corrective Action Taken field to include: Actions undertaken by stakeholders during the course of the incident including BAS’s make safe repairs. Test results if the ‘Testing and Results’ section is unavailable. Complete the Asbestos Register – Selection Criteria fields identifying the preferred Output Format. Excel: to add the file to your desktop. Use Excel filters to locate required improvements rather than print out all improvements at the school or facility. Adobe PDF: to keep a hard-copy on file. Select All Improvements and then Generate Report. Select to Open or Save the register. Only keep the current asbestos register on file (PDF) or on your desktop (Excel version). Replace in January and then in July each year. The hard-copy should be updated every six months and all previous versions destroyed or the saved files deleted.
