September 2008SIS – Materials – RA42 Breakout Cargo & Misc10 Correspondence – With IS Correspondence can include an “authority to bill” flag which identifies when the authority to bill has been issued Not tied to settlement periods like transactions in Integrated Settlement – real-time and similar to e-mail but via IS-WEB interface Validation ensures no “cross-over” – correspondence can only be in reply to another correspondence (or 3 rd - stage RM) and cannot be out-of-order

September 2008SIS – Materials – RA42 Breakout Cargo & Misc12 Audit Trail & Rejection History (Cargo) With operational data being stored: Future records (e.g. rejections) don’t need supporting documents re-attached IS-WEB can be used to search and take action on previous billings: Search & browse through all records for which your carrier billed or was billed View audit trail of linked correspondences, rejections, and original billings Find outgoing correspondences that haven’t been responded to Go directly to appropriate action

September 2008SIS – Materials – RA42 Breakout Cargo & Misc14 Cargo & IATA e-freight Currently all cargo attachments are “electronic presentation” (scanned images or other visual representations) When IATA e-freight is fully implemented: Most records will be “e-electronic” (a structured, machine-readable format) and the format will be required by IS Both the billed and billing carriers will have digital copies of some records, which will no longer need to be attached in IS Before e-freight is fully implemented, carriers may bilaterally choose to send the e-electronic records or to not send any records

September 2008SIS – Materials – RA42 Breakout Cargo & Misc18 Charge Categories & Charge Codes Miscellaneous submissions to be based on the IATA Aviation Invoice Standard, which includes Charge Categories and Codes Charge Categories and Charge Codes uniquely categorise the Miscellaneous billings and allow them to be sent to the correct person/department and posted automatically to the correct account

September 2008SIS – Materials – RA42 Breakout Cargo & Misc20 Miscellaneous Supporting Documents As with Pax and Cargo, Miscellaneous has two types of supporting documents: Electronic Presentation - Supporting document that is digital but not in a defined and structured format. The document might be a PDF file or an image that a computer can read but not extract data from. E-Electronic Document – Supporting document that is in a defined and structured format which can be parsed by a computer. Example formats are IDEC, XML, or CSV.

September 2008SIS – Materials – RA42 Breakout Cargo & Misc21 E-Invoicing WG Through November Will finalise the definition of Charge Categories and Charge Codes and the associated record structures Will decide which supporting documents should be “e- electronic” and will define those formats. The decision to require e-electronic supporting documents will be based on volume and the ease of conversion into the “e- electronic” format. (Some supporting documents can never be “e-electronic”.) Will define a mechanism for “Central Control” A carrier will be able to see a report of all outgoing billings for all input types a given period.
