2 Today’s Goals zA 30 minute demonstration on how to prepare a PowerPoint presentation using the Institute’s template. zCovers the basic elements of a PowerPoint Presentation. zHow to deliver an interactive presentation. zHow to convert the presentation to a HTML web presentation.

3 How to Get Started zFollow the instructions given in the previous presentation. zFor example: Start the PowerPoint application from the Start menu.

5 PowerPoint’s Views Slide View allows you to add both text and art on a slide-by-slide basis. You can see the whole slide or change the zoom to magnify a portion of the slide. Outline View is the best view in which to organize ideas for your presentation. You can see how your main points flow from slide to slide. Use the buttons on the Outlining toolbar to move slides or text, show only slide titles, and change the indent level of titles and text. Slide Sorter View allows you to see the entire presentation so you can easily add, delete, and move slides. You can use the buttons on the Slide Sorter toolbar to set timings for a slide show and to select animated transitions for moving from slide to slide. Notes Page View lets you type speaker notes to use during your presentation. You also can print a copy of your notes for reference.

6 Creating a New Presentation zWhen you start PowerPoint, a dialog box appears with four options: yAutoContent Wizard walks you through creating a new presentation. yTemplate offers a choice of design templates to apply to your presentation. yBlank Presentation opens a presentation with no design elements. yOpen an Existing Presentation lets you browse for a previously created presentation.

7 Selecting a Template zFrom the Presentation Designs tab, select the STScI template. zYou can also change the template on an existing presentation. To change the template, choose Apply Design from the Format menu, or click on the Apply Design entry in the Common Tasks window.

8 Adding Text zYou can add any text in any text box available on the slide. zYou can also add new text boxes anywhere on the slides. zTo add new text box, select Text Box under the Insert menu.

9 Moving Through a Presentation zThe left end of the status bar displays the current slide number. zTo move to the next or previous slide, click the double- arrow keys on the bottom of the vertical scroll bar, or press the PgUp and PgDn keys on the keyboard. zYou can move to a specific slide by dragging the box in the vertical scroll bar up and down (the slide number is displayed as you drag the box). zOr, switch to the slide sorter view and double-click the slide you want to view.

10 Adding a New Slide zChoose from 24 different slide layouts, including text, graphics, charts, organizational charts, tables, clipart, media clips, and blank. zYou can also apply a different layout to an existing slide (Format menu, Slide Layout). zTo add a new slide: yClick New Slide from the Common Tasks toolbar. yOr, select New Slide from the Insert menu

11 Moving and Deleting Slides zTo move a slide yGo to Slide Sorter View. xHold down the RIGHT mouse button over a slide and drag it to a new location. xWhen you release the right mouse button at the new location, a shortcut menu will appear offering options to cut, copy or cancel. zTo delete a slide yGo to Slide Sorter View. xSelect a slide by clicking it, then hit the Back Space or the Del key on the keyboard. TO SELECT MULTIPLE SLIDES: hold down the Shift key on the keyboard while clicking with the mouse button the slides you want to select.

12 Adding Date, Time, Page Number zFrom the View menu, choose Header and Footer. zFrom the Header and Footer dialog box, select the features you want to appear on each slide. zOr, turn off all the features and on the Master Slide, create whatever text or graphics you want to appear on each slide.

13 Slide Show — Transitions, Timing, Sound zYou can add different effects to your slide show. zSwitch to Slide Sorter View. zSelect the slide(s) you want to apply the transition. zClick the Slide Transition icon on the Slide View toolbar. zSelect the effects you would like to apply to the slide.

14 Time for the Slide Show zTo start the slide show, click on the Slide Show button, or select Slide Show under the View menu. zClick left mouse button to advance, right mouse button to go back, and hit the esc key to stop the presentation

15 Printing zFrom the File menu, choose Print. zYou can select different types of printout: ySlides yHandouts yNotes Pages yOutline View

16 Create HTML Web Presentation zYou can also convert your presentation into a HTML Web Presentation. zSelect Save as HTML under the File menu. zFollow the steps provided by the wizard.
