Self-paced study guide for Online Performance Evaluations – Detailed steps for Employee Self-evaluation

Details This presentation provides a screen-by-screen view of the process for creating an employee self-evaluation. The following steps are to be performed by the Evaluator and the employee being evaluated.

Logging into the Application From MySite you will select the Performance Evaluation System from the menu. Enter your MySite User Name and Password

Change Your User Type Click on “CHANGE USER TYPE” Choose “Evaluating Supervisor” Click “CHANGE GROUP”. Depending upon what other responsibilities or roles you have, you will need to select the appropriate User Type.

Start the Evaluation On the left-hand menu select “START EVALUATION” Now click on the “Start Action” link under the “Academic Administrator/ Manager Performance Evaluation” or under the “Classified Confidential Performance Evaluation” evaluation type.

Pick the employee to evaluate A list of employees that are associated to you are displayed. Select the one you want by clicking on the associated “Start Action” link. Last Name 1 Last Name 2 Last Name 3

Evaluation Details (first screen) Pick the Evaluation Period, start and end dates. Everything else should already be correct. Click on the “Continue to Next Page” button.

Current Goals For each of the existing current goals click on the ADD NEW ENTRY button.

Add New Entry for Current Goals The Goal ID and Goal will be filled in if there was a previous evaluation with Future Goals entered otherwise, fill in. Goal ID (e.g. 1,2,3,etc.) Goal (description) Completion%/Comment. Your Comments And a rating. Click the ADD ENTRY Repeat for each goal.

Save and Send Evaluation to Employee Select “Send to Employee for Self Evaluation”. Click the “CONTINUE” Button to save and send. The employee will now receive an e-mail with instruction to log in and update their evaluation, then send it back to you.

Receive back the Self-evaluation You will receive an email acknowledging the status change. Log back into the system, select the correct User Type and select the “Active Evaluations” menu item. Click on the correct “View” link. If you want to add additional comments then click on the “Edit” link and make the change.

Standard Evaluation Competencies Here is where most of the work is done. For each of the items, 1-10, review, edit and rate the content that the employee entered as part of their self- evaluation. Add any comments.

Future Goals You can now Edit each of the Current Goals by clicking on the associated Edit link. When you are done Click on the “CONTINUE TO NEXT PAGE” Button

Add New Entry for Future Goals Enter the Goal ID (usually just a sequential number, e.g. 1,2,3,4,etc.) The Future Goal. Click the “ADD ENTRY” button. Repeat for each goal.

Attach Documents You can attach up to three (3) supporting documents.

Overall Rating Comments Enter your Overall Ratings for Competencies and Goals. If there were any ratings of 3 then enter a narrative in the Exceptional Contributions field. If there were any ratings of 1 then enter work plans for improvements in the Area for Improvement field. Enter any other comments you may have.

You can now review the Evaluation. If you need to make any changes click on the Edit link. Select the “Save Without Submitting” status. Click on the “CONTINUE” button. Save the Evaluation

Discuss Evaluation with Employee and Send Final Evaluation. If any final changes need to be made: Click on the Active Evaluations menu item. Select View for the evaluation Click on the Edit link and make any changes. Click on the PREVIEW EVALUATOIN button at the bottom of the page Select the “Send to Employee for Review” status. Click on the CONTINUE button. You should now discuss the evaluation with the employee.

Employee Returns Evaluation The employee will receive an e-mail with instructions to log into the application to review and approve the evaluation. They have two choices: to Disagree or to Agree. They may also add their own comments at this time by clicking on the Edit link.

Send Evaluation to Approver You will receive an email acknowledging the status change. Log back into the system, select the correct User Type and select the “Active Evaluations” menu item. Click on the correct “View” link. If you want to add additional comments then click on the “Edit” link and make the change. Select the “Send to Evaluating Approver” status. Click on the “CONTINUE” button.
