2 About employee performance reviews Villanova has a documented employee performance review process. In practice we have found that due to varying job descriptions, performance review policies vary from organization to organization. Typically, one component of an employee performance review focuses on the employee’s attendance record. A suggested activity for all supervisory personnel who have employees with recurring and/or abusive attendance patterns is to periodically have performance reviews with a focus on attendance (Topic End) Prepare attendance data for employee performance reviews Reviewing attendance data

3 About Workforce Attendance reports Workforce Attendance reports provide information that you may find helpful when gathering and preparing employee attendance data for performance reviews. To generate data over a specific length of time, use the Range of Dates option in the Time Period drop down menu. Reports that you may find especially helpful for this task include: Attendance Incident Detail report Attendance Calendar report (Continued) Prepare attendance data for employee performance reviews Reviewing attendance data

5 The following table explains the types of information in the Attendance Incident Detail report. Field NameDescription DateThe date on which the attendance event, pattern or action occurred. Event/Pattern/ActionThe display name of the attendance event, pattern or action. Example: Tardy > 60 CodeThe abbreviation for the attendance event, pattern or action. Example: Tdy>60 Actual AmountIf the attendance event is an infraction against a scheduled start or end time, the exact number of hours/minutes the employee was late or left early. Example: 0:10 ChangeThe change in the point balance that was caused by the attendance event. Example: 1.50 TotalThe total point balance that the employee incurred on the associated date. Example: 3.00 Balance TypeSome attendance policies measure balances in points. Other attendance policies measure balances as “marks” or “occurrences.” The unit that is used to measure the balance is identified as the balance type. Example: Points Example: Missed time Source Policy/Source Perfect Attendance Definition Refers to different attendance policies that have been configured in Workforce Attendance. If you have a question about an event, pattern or action, your manager or system administrator can probably answer your question by looking at the source policy. Example: SickNN Actual AmountIf the attendance event is an infraction against a scheduled start or end time, the exact number of hours/minutes the employee was late or left early. A legend appears at the end of the report. It lists each code used in the report and the related display name or actual name. 8 Procedure: Running Workforce Attendance reports StepAction 1.From a Genie, select the employee(s) for whom you want to run the report. Select the Reports quick link. 2.Expand the Attendance category. 3.Select the report that you want to run. 4.From the Time Period drop down menu, specify the time period. 5.Click the Run Report menu item. 6.After clicking on Run Report, you will be taken to the Check Run Status screen. Click Refresh periodically until the report you generated shows a status of Complete. 7.When the report is complete, double-click it to view the report in Adobe Viewer or select the View Report menu item. 9 About absence trends Your manager may ask you to periodically review employee attendance data to identify patterns of absence. Sometimes these patterns may indicate that an employee is attempting to take advantage of the attendance program. You may be able to detect these patterns and determine whether the employee is abusing attendance policy rules. 10 About the Attendance calendar To quickly identify absence patterns and trends, use the Attendance Editor Calendar; depending on how it has been set up, it may have visual effects that help you quickly identify patterns and trends. For example, sick infractions may be color-coded in blue font, while tardy infractions are color-coded in red font. By glancing through the calendar, you may notice absence trends. To see details for a specific day, click to highlight the day and then click Day Detail. (Topic End) Prepare attendance data for employee performance reviews Reviewing attendance data

11 StepAction 1.From a Genie, select the employee(s) you want to work with. Select Attendance > Attendance Editor. 2.Click the Calendar tab. 3.From the Time Period drop-down menu, specify the time period. 4.Use the View Width option to review attendance events in varying amounts of detail; for example, to see how many attendance events the employee has triggered over the year, select Multiple Months. For a more detailed view, select the Week or Month option. To use the Attendance Editor Calendar tab to identify absence trends, take the following steps.
