2015 China Trip Pre-Departure Meeting Tuesday 17 March 2015

Eric * Passport with visas * Insurance * air tickets * Anything else?

What to bring * For the flight: a coat, something to do during flight, passport, itinerary, emergency contact list * For accommodation: towels, toothbrushes, make-ups, slippers, pajamas, enough under-wears for change * For touring: layered clothes (long sleeve shirts, short sleeve shirts, coat/jacket, jumper, shorts, long pants, etc.), toilet paper, camera, money pouch * Shopping: bargaining in the markets * ??? * Laundry * Bedtime: at 9:30pm the supervising staff will check if everyone goes to bed

Risk Assessment * Risk Assessment has been approved * Supervising teachers: Mrs Yin Yang, Ms Renee Galea * Emergency Contact List * Groups and room arrangements * A First Aid Kit will be carried by the supervising staff * 2 supervising staff have CPR and First Aid Certificates * Email group has been set up; photos can be sent through emails * Parents call the supervising teachers first if there is any issue

Issues * Be on time: breakfast, meeting on the tour sites * Always wait for your supervising teacher to dismiss you before going shopping * Always double check the meeting time and venue * Daily meetings at breakfast and returning to hotel to raise issues * Medical Consent forms will be carried by the staff * Always remain seated on the bus * 4/5 star hotels * The group has been registered with DFAT

Documents * All travelling documents (hardcopy) will be carried by the staff * All documents are saved in Box and shared with member of senior leadership * Passports and tickets will be stored in hotel safe

Money Management * Excursion planned to ensure minimal money is required on tour * Majority of excursion related costs are pre-paid * Money is to be carried in money belts at all times * Travel Monday Account with 2 cards—recommend parents deposit $200 only * $200 AU personal sending money * Must have money belt/pouch hidden on their person for daily excursions

Touring * Insurance * Buddy up with 3 or 4 students * Attending toilet together a minimum of three with no exception * Remain together or split into buddy groups of tour * Not accepting parcels from anybody outside the cohort * Stay where you are

Luggage * 20 kilogram each person * No food or seeds or plants back into Australia * Tea * Chinese medicine * One suitcase to go * If more suitcases needed, buy them in China

Mobile Phones * In event of an emergency, parents must contact staff first and discuss how to deal with news with students * Staff will have the mobile phone at all times * Parents have number for emergencies * Parents advised to phone their daughters at the hotel in the morning on specific, agreed days during the tour * iPods only to be used on flights and at night * No iPods while sightseeing / walking around * No shared earphones * No laptops

Environment / Weather * Appropriate clothing to be stipulated * Each day students have a water bottle on them * 15-25 degrees * The first day’s visit to the Great Wall * Yunnan and Shangri-la

Food * Food sourced from reputable outlets * No food being brought by student without consent * Eat what you know * Drink bottled water * Drink boiled water

Shopping * Be aware of the value of foreign currency * Keep separate money locations (on body and in bag) * Never display valuable items in public * Never display large amounts of currency notes in public * Buddy system * Boundaries and meeting time will be established each time the students are given an opportunity to shop * Roll call checks

Accommodation * Students have itinerary and emergency contact list with hotel numbers and names * Students are not permitted to leave a hotel unless under the supervision of a staff member * Staff to familiarize themselves with emergency exits and evacuation procedures of all accommodation places * Staff to identify a roll call location and inform students * All staff to know room allocations of all students at all venues and all students to know where staff are each night * Doors locked every night * Never open door to strangers * No room service

Transport * Appropriate qualified drivers/transport contractors pre-booked by China Best Tours * Students seated at all times * Take First Aid Kit, contents developed for trip to China in consultation with School Nurse * Close supervision by staff getting on/off transport * Students advised not to rush, push and watch what they are doing * Have minimal luggage * Wear appropriate footwear * Students to be careful of footing

Emergency Management Procedures * Any serious student misadventure will result in the student returning to Australia with a teacher on the next available flight. * Teachers to manage emergency information directly with students as well as informing parents * In the event of having to relay a sensitive matter to a student about an incident at home, a member of senior leadership will contact the student
