FIP Registration & ID Training FoundationIP Overview FoundationIP (FIP) is an intellectual property management system (patents, trademarks & copyrights) that integrates several IP databases into one web-based system. FIP allows three main components of IP management to work together in a single application.

FIP Registration & ID Training FIP tightly integrates three essential components: –Information One easy to use web interface allows access all of information including case history, documents, scanned copies of office actions, drafts, and invention disclosures. –Automation Streamline IP workflow with automation tools; provides sophisticated tools to automate the creation of standard and custom forms and letters, generate reports, track and propagate references, view patent families and create and track docket dates. –People Provide greater satisfaction by sharing information and facilitating collaboration. All stakeholders, from inventors to service providers internal and external to UTC, can be given access to view authorized information and perform tasks as collaborators in the IP processes.

Logging on to FIP To log in to FIP, go to www.utcip.comwww.utcip.com Click on “Register”

Enter Work Email Address Clicking on will bring you to the following page: You will need to enter the email address of your workplace, which has been previously associated with your name in FIP Contacts. Click when done.

Confirmation Page You will receive an e-mail from FIP in your work e-mail inbox. If your email address is not recognized, please contact you business unit admin listed on www.utcip.com

Invalid Email Address If your email address is not recognized, please contact you business unit admin listed on www.utcip.com

Email Invitation The e-mail will contain a link and an “invitation code”

Enter Invitation Code Clicking on or typing in the link provided in the email will bring you to the following screen, where you will enter in your invitation code: 70cea876a17d787d6d41eb35302eca17 Copying and pasting this number from the invitation email helps make sure you don’t make an error entering the code.

Create User Name & Password Once you have entered in your code, you will be asked to create a user name and password. The password must adhere to FIP rules as stated on the screen. Your user name should be something where people can identify who the user is like firstnamelastname. User name is not case sensitive, but the password is.

Contact Information After creating your username and password, you will be brought to your personal entry in Contacts. Verify that the information is accurate – correct anything that is incorrect. Click when done.

Invention Disclosure Process E-Mail Workflow Process All Inventors must electronically sign-off before invention is automatically “submitted” Status information available to all Inventors, including filing decision. Online communication and review of application drafts

Invention Disclosure Wizard All new invention disclosures are submitted through the ID Wizard - NEW INVENTION DISCLOSURE Click on “Create a New Invention Disclosure” to begin

Welcome Screen Click on “Begin Invention Disclosure”

Description Page The first page you will come to is the Description Page. Before you can go any further, a Title must be entered. At that point, you can save the ID as a draft to continue working on later or you may click the button to go to the next page. If Under Export Control: MUST SELECT “YES” Hover over any underlined area within the wizard for additional information.

Saving Your Work Send for Review: Click this button when you have entered in all the required information to begin the signing process (see Slide XX) Save and Continue: lets you save the Invention Disclosure and continue working on the same page. Use the arrows to navigate to the next page Save and Close: Save the Invention Disclosure and go to the Home Page.

Contract Information If no contracts are involved, you must still click NO for questions 1 and 2. To meet Government Reporting Requirements, Government Contract Number MUST be entered ASAP. Failure to meet reporting requirements may result in lost of IP rights.

Disclosure or Use The primary purpose of this section is to determine if any bar date has occurred. Each question must be answered before the ID can be sent off for review. If a question is answered yes, then a date and explanation must be provided. Unlimited text may be entered into the explanation fields Perform due diligence on the facts, and answer Yes or No to all Questions

Technical Details Unlimited text can be entered into the fields. Use the Add Document link in the lower right hand corner to attach documents. Documents may be removed only while the ID is in drafting mode.

Add Document/Attachment When the Add Document link is clicked, a new window will open up where you can enter in details regarding the attachment. Use the Browse button to open a Windows Explorer screen where you can search for the file on your computer. Click Save when you are done. Description of the attached document is strongly recommended

Invention Categories The Invention Categories screen allows you to perform two functions. Pick one or more patent review committees to review the Invention Disclosure Categorize your invention into one or more technical or program groups The review committee is determined by the category you select in the second drop-down list. Each list is specific to an individual BU. Disclosure Categories help categorize disclosures into groups (e.g., product, program)

Inventors Each inventor listed should also have a supervisor or program manager listed. If more than one inventor has the same supervisor, only list that supervisor once. Click Add Inventor or Add Supervisor to add more people to the ID. Add lead inventor and co-inventor using the magnifying glass. Only the person entering the disclosure into the system and the lead inventor will be allowed to modify the disclosure.

Selecting Inventors Type in the inventor name; use asterisks if you don’t know exactly how the name is listed in the address book. Then Click “Search” to search for the name When the list appears, click on the name of the person you wish to assign as a co-inventor

Send for Review Once you have entered in the necessary information, click on the Send for Review button. If there is no missing information, the system will return to the Home page. Clicking on the Send for Review button will cause the system to generate emails to the Co-inventors. All inventors will receive an e-mail in their Outlook inbox that will indicate a message is waiting in their FIP Inbox.

Email Link Details After clicking the email link to FIP, you will be taken to your home page where you will click on the “new message” link Click on the text under Subject to read your message.

Navigating to the Matter Click on the Matter Number and Title link to be brought directly to the matter.

Verifying Disclosures (cont.) Click the button on each page. Use the scroll buttons to navigate to the next page. Only the lead inventor is allowed to edit the disclosure. If you are a co-inventor, you must contact the lead inventor to make changes.

Checking Verification Status Any inventor can see who has signed off by looking for a check next to the names. Once all inventors have signed off, the ID will automatically become “submitted”.

Signatures Each co-inventor will need to log on and either verify every page by click on the button on each page. When a page has been verified, a green check mark will appear. Once everyone has logged on and clicked on the appropriate button(s), the system will automatically “submit” the Invention Disclosure. The status of the Invention Disclosure will change to “submitted” and it will be ready for review at the next patent review committee meeting. When an Invention Disclosure is submitted, any co-inventors (and supervisors) will be notified via email. All inventors will receive an e-mail in their Outlook inbox that will indicate a message is waiting in their FIP Inbox.
