File Formats and Extensions © Copyright William Rowan 2007

Objectives By the end of this lesson you will be able to: Use and understand the various file formats and images associated with CAD and related ICT software

File Formats What are file formats/ extensions? A file format/ extension relates to the last three/ four letters at the end of a file name e.g. image_transfer.doc It is possible that you cannot see them as your computer may be set to hide them

File Formats To show the file extensions you need to: Select the “Tools” menu in a folder Select “Folder Options” A new dialog box will appear Click on the “View” tab along the top of the dialog box Scroll down the list of options and uncheck the box beside “Hide extensions for known file types”

File Formats

What it the purpose of file formats/ extensions? File formats/ extensions are there so that your computer knows what programme to use to open the file As you may already know it is not possible to open a music file (.wma) in Microsoft Word (.doc) and so on

File Formats Why would you use different file formats? The reason for using a different file format when saving a document is that each format will have different properties that may be required for your document This is particularly important when saving graphics e.g. The GIF format is used for still images and simple animations and a JPEG will only store static photographic images

File Formats These are some of the file formats/ extensions that are related with the ICT applications on your computer:.doc – Microsoft Word.ppt – Microsoft PowerPoint.xls – Microsoft Excel

File Formats These are some of the most common file formats/ extensions that are related with SolidWorks:.SLDPRT – SW Part file.SLDASM – SW Assembly file.SLDDRW – SW Drawing file

File Formats Here is another CAD related file type that you may come across:.dwg – AutoCAD drawing

Image file formats Below are some of the file formats/ extensions that are related with image files on your computer:.JPEG - Joint Photographic Experts Group.GIF - Graphics Interchange Format.TIFF – Tag Image File.PNG – Portable Network Graphics

File Formats When saving files it is possible to save it in a different format if you want Each programme will have a list of different file formats that can be opened using that programme

File Formats When the “Save As” dialog box is open click on the drop down menu for “Save as Type”

File Formats A list of the file formats that the programme supports is shown and you can now save your document in a format you want

PDF Format What is a PDF? PDF stands for “Portable Document Format” It is used for creating electronic documents The file extension is.pdf

PDF Format Advantages of PDF PDF files are compact. It helps to minimise the size of a file and keep it at a minimum Once a file is created using PDF it cannot be edited by any third parties PDF can contain multimedia elements like movies and sound as well as links to webpage's

PDF Format How to create a PDF? To do this you will need to have specific software that will create a PDF for you on your computer such as CutePDF Writer which can be downloaded free from the internet http://www.cutepdf.com/Products/CutePDF /writer.asphttp://www.cutepdf.com/Products/CutePDF /writer.asp

PDF Format The method for saving a document as a PDF is not the same as described earlier on in the presentation using the “Save as Type” approach You will not find the PDF file extension in the list of file formats

PDF Format To save a file as a PDF you must select “Print” (Ctrl +P) from the “File” menu This will open a new dialog box In this you need to select the drop down menu for the name of the printer and select the PDF writer

PDF Format

Now click OK This will now open another dialog box in which you can select where you want to save the file Once you have selected the location click on “Save”

PDF Format

Your PDF document in now in this location

Now you try! See how many different file extensions Microsoft Word, Excel can open or save and using the “Help” menu find out more about these Repeat the same for SolidWorks When you have being introduced to “Web research” you can try this again if you want further information!

Now you try! Create a PDF for a Microsoft Excel document and for a SolidWorks part drawing
