axiUm 5.10 Security Roles and Levels Tim Ericson, Sr. Systems Analyst, Willamette Dental

But first... a little info about Willamette Dental Kristen Simmons, COO

Thanks, Kristen!

Security Levels before 5.10 Each level defines a set of users Individual users are assigned to a level Security Levels are configured in PowerAdmin Remove unneeded privileges as needed

The PowerAdmin program Access is configured in PowerAdmin......and determines what appears in axiUm

Willamette Dental’s approach Identify unique job functions – Each dental office may have 5 different ones – Administration has 13 – 18 total Give each appropriate access to axiUm modules Keep it Simple & Trust them to do their jobs

18 Job functions: Clinicians: – Doctors – Dental Assistants – Dental Hygienists Practice Manager Patient Service Representatives --------------------------------------------- Accounting Appointment Center Appointment Center ER Operator Executives Fee Manager Human Resources Insurance Department Dental Lab Member Services Patient Accounts Provider Scheduling Scheduling Manager axiUm Administrator

Give them access to what? List axiUm modules, their icons, tabs, buttons, etc. Create worksheet to help determine which job functions have what type of access to each item Get input from project team Start building security levels

The modules in axiUm... Rolodex Patient Care Scheduler Transactions Electronic Health Record Perio Chart Ortho Manager Patient Attachments Personal Planner Chart Tracking Info Manager Maintenance

The Rolodex, for example

and the Patient Card

Making a list Rolodex Module: Patient Information Box (top left) Search Criteria Box Add Patient Icon Edit Patient Icon Delete Patient Icon Patient Copy Icon Patient (Family) Appointments Icon Patient Card Icon Workstation Options Icon Patient List (bottom left) Patient Photograph (upper right) Patient Selection Box (right column) Patient Card: Patient Name and Type Patient Attachments Icon Contact Notes Icon Add Sticky Note Icon Preventive Care Icon Recall Icon Patient (Family) Appointments Icon (Is) Ortho Icon Print Patient Label Icon Print Patient Information Icon Workstation Options Icon Personal Information...

A very detailed worksheet...

Now with colors!

The problem with 18 levels Each level must be maintained separately Initial setup is going to be tedious (copy level does help) A change to one window, field, or button may mean 18 separate updates

Security Levels in 5.10 Each level defines a set of users Each has one or more security roles Individual users are assigned to a level Security Roles and Levels are configured in PowerAdmin

What are Security Roles? Security roles grant access to modules, windows, icons, fields, buttons, etc. Access is read/write (green), read-only (yellow), and none (red). “Green always wins” when roles are combined

Revising the list 01. Rolodex Module 02. Patient Card & Patient Info window 03. Patient Care Module 04. Scheduler Module, Family Appointments Window & Appointment Expert Window 05. Transactions Module 06. Electronic Health Record & Patient Attachments Module 07. Perio Chart Module 08. Ortho Module 09. Personal Planner Module 10. Chart Tracking Module 11. Info Manager Module 12. Maintenance Module 13. Miscellaneous (Actions, Tools, Links, Patient, Window, and Help Menus) 14. “Add-Ons”

Why “Add-Ons”? Roles are applied in broad strokes, but don’t allow for all possibilities “Add-Ons” allow for the rule-breakers – where one job function needs a specific field or button that no one else does “Green always wins” still applies

Back to the Spreadsheet

Willamette Dental’s solution One read-only role for each Module One read/write role for each Module Combinations of none, read-only, or read/write roles determine the access for each Level
