Why is the topic important? Why should the audience be interested? What is in it for the audience? What do you expect the audience to do after your presentation? What are their attitudes toward your topic? What do they know about the topic? What are the constraints? Are they political? Financial? Knowledge-based? How will they use the information you present? 9 Develop presentation content Text in a presentation should be edited to include only the main points or key terms. Avoid complete sentences. Graphics are used to summarize, demonstrate, inject humor, clarify, and reinforce your ideas. Use anecdotes and quotations to grab audience attention. 11 Create a presentation from a template PowerPoint templates enable you to focus on the content of your presentation by providing professional-looking designs. Templates contain slide backgrounds, color schemes, and font selections. Can also contain sample content or unique slide layouts. 12 Create a presentation from a template To create a presentation with a template: Click the File tab, and then click the New tab. Click Sample Templates. Select a template and then click Create. Review selection for applicability by clicking the Slideshow tab and then clicking From Beginning. Click each slide in the Slides tab and review the notes provided. 14 Use slide footers, slide numbers, and special symbols Custom slide footers can be displayed on slides. Footers often contain the name of the company, a company slogan, or copyright notices. Slide numbers can also be displayed in the footer of slides. To insert slide footers: Click the Insert tab and click Header & Footer. 16 Use slide footers, slide numbers, and special symbols Special symbols, from various fonts, are characters not available on a standard keyboard which can be inserted into text placeholders in PowerPoint. The Insert function enables you to add symbols to your presentation that do not appear on your keyboard. Symbols recently used are displayed at the bottom of the dialog box. 18 Use Outline view and reuse slide content The Outline tab displays the titles and bullet points of the slides in the presentation. It is easy to add, modify, and delete text content in this view. Deleting slides. Adding and manipulating bulleted text. Moving slides by dragging. Adding a new slide. Choosing a layout. Increasing and decreasing list levels. 20 Use Outline view and reuse slide content To reuse slides: Click the Slides tab in the left pane. On the Slides tab, select a slide, and then click the New Slide arrow. Click Reuse Slides. Click Browse and then click Browse File. Open the file containing the slides to be reused. Slide thumbnails are displayed in the Reuse Slides pane. Select the desired thumbnail. 22 Insert and modify clip art, photos, and WordArt for slide content and backgrounds Graphics convey information visually and can evoke greater understanding of a concept. When choosing a graphic keep these points in mind: Make sure they support the message. They should be consistent with the presentation. Make them appropriate for the audience. 23 Insert and modify clip art, photos, and WordArt for slide content and backgrounds There are two types of graphics, vector graphics and bit- mapped graphics. Bit-mapped images are stored as pixels, in individual dots of color arranged in a grid to represent the image. Photographs are an example of bit-mapped images. Vector graphics are made up of shapes. Objects can be resized, making it fit the slide. Crop unwanted portions from photographs. Graphics can also be rotated or flipped to improve the design of the slide. Options include frames, shadows, and unusual shapes. Keep the styles consistent throughout the presentation. To apply a picture style: Select slide and graphic. Click the Picture Tools Format tab. 33 Create shapes and lines Text can be enhanced with the use of WordArt which is text that had been enhanced with color, outlines, shadows, and special effects. Use for small amounts of text. WordArt adds color and interest to your presentation. To insert WordArt: Click the Insert tab. Click WordArt in the Text group. Click on the desired thumbnail. Type text in the text box. 34 Create a table in a presentation Tables relate bit of information together in a way that is meaningful to audiences. Organized grids arranged in rows and columns. Graphics can be placed in the cells. To insert a table: Click the Insert tab. Click Table in the Tables group. Click Insert Table. Specify the number of rows and columns and click OK. 36 Create a chart in a presentation Charts of numeric data assist your audience in grasping the message. Can give your audience the essence of a problem and solution. Charts distill large amounts of number and describe the real meaning of the data. To insert a chart: Click the Home tab and then click New Slide. Click Insert Chart in the body content placeholder.
