Metadata Directories Management (S. Iona) –Introduction –Management of EDMO, EDMERP –On line Practice (1 hr) Afternoon Session –On line Practice (continuation) (app.45 min) 3. Management of EDIOS Metadata (L. Rickards) 2

sdn-userdesk@seadatanet.org – www.seadatanet.org Introduction Management of EDMO, EDMERP Options to submit new records, available tools Format basis: What are the formats, where to find the latest schema‘s and examples. On-line practice Overview

sdn-userdesk@seadatanet.org – www.seadatanet.org Introduction Management of EDMO, EDMERP Options to submit new records, available tools Format basis: What are the formats, where to find the latest schema‘s and examples. On-line practice

sdn-userdesk@seadatanet.org – www.seadatanet.org General outline of SDN directory management NODC chooses (if needed) a provided method of maintenance: XML files via MIKADO or other tool, or via CMS Role NODC: => National focal point-coordinate the overall mngt activities –Providing assistance in metadata preparation –Collating new records –Quality control of new metadata descriptions –Distributing to portal in case of XML files –Contact with central directory managers Role Institutes: => Support activities –Providing new entries –Complete the information –Update existing information. Cooperation NODC national partners:

sdn-userdesk@seadatanet.org – www.seadatanet.org Available tools to submit/create new and update existing records Online maintenance by NODCs via Content Management System => EDMERP, EDMO, CSR XML export from a partner to the pan-European directory –Mikado manual => EDMED, EDMERP, CSR (,EDIOS) –Mikado automatic for XML export from local system => Most relevant for CDI

sdn-userdesk@seadatanet.org – www.seadatanet.org General maintenance workflow & available tools

sdn-userdesk@seadatanet.org – www.seadatanet.org Metadata maintenance modalities & governance

sdn-userdesk@seadatanet.org – www.seadatanet.org Metadata Format The ISO 19115 content model is the basis for the XML formats and related schema (XSD). Use of codes from the Common Vocabularies Use of organization codes from EDMO Vocabularies Use of SeaDataNet common vocabularies for platform types, parameters, instruments etc. in all directories Use of EDMO as organization vocabulary EDMERP as „project vocabulary“ All available as webservices to enable constant accessibility of latest version SDN Vocab Service : http://seadatanet.maris2.nl/v_bodc_vocab/welcome.aspx / http://seadatanet.maris2.nl/v_bodc_vocab/welcome.aspx

sdn-userdesk@seadatanet.org – www.seadatanet.org Management of record identifiers All systems have to generate unique record identifiers For the vocabularies uniqueness is very important for reference to correct terms. No changes of codes allowed. For CDI records the local id is the communication link between portal and local system. Ordering system works on this. For the other directories, when updated via Mikado-XML, the local identifier is important. It is the key for the central system to recognize updates of the same record. => Local systems have to take this into account and store local id‘s!

sdn-userdesk@seadatanet.org – www.seadatanet.org Introduction Management of EDMO, EDMERP Options to submit new records, available tools Format basis: What are the formats, where to find the latest schema‘s and examples. On-line practice

sdn-userdesk@seadatanet.org – www.seadatanet.org Management of EDMO Maintenance Updating via CMS forms: http://seadatanet.maris2.nl/vu_organisations/we lcome.asp Access only for NODC‘s New records only to be created via request from NODC to MARIS (governance is strict, because EDMO is vocabulary) When national institute misses organisation in EDMO during work => request to NODC Available as webservice (export only) for use in local systems and Mikado org NODC MARIS EDMO Question/request Add new CMS Confirm Update

sdn-userdesk@seadatanet.org – www.seadatanet.org Management of EDMO Maintenance options and tools

sdn-userdesk@seadatanet.org – www.seadatanet.org Management of EDMO Mandatory fields (all entered when created) –National collator –Country –Name Vocabularies applied –Country

sdn-userdesk@seadatanet.org – www.seadatanet.org Management of EDMERP Maintenance Option 1: Editing via CMS forms Access for NODC‘s with national master account NODC may create sub-accounts for other institutes in their country (EDMO) New records to be created directly in CMS by NODC Sub-accounts can also edit/create new, but this will have to be checked by NODC before activating org NODC EDMERP CMS Update via CMS Create subaccounts Final edit/check

sdn-userdesk@seadatanet.org – www.seadatanet.org Management of EDMERP Maintenance Option 2: Via creating and supplying XML V1 files via NODC to central directory. Identical to EDMED => But, only one of the options per country! org NODC EDMERP XML files Update with local id Send out current records => first time only! Governed by MARIS

sdn-userdesk@seadatanet.org – www.seadatanet.org Management of EDMERP Mandatory Fields edmerp-identifier (set by system) collate-centre (edmo ref) creation-date research project name research project acronym revision-date responsible party (edmo ref) summary sea-areas data-themes language used within the dataset main theme of the project Project start date

sdn-userdesk@seadatanet.org – www.seadatanet.org Management of EDMERP Vocabularies used EDMO L231 (SeaDataNet metadata entities) C16 (SeaDataNet Sea Areas) P081 (Parameter disciplines) => Complete format (XML, XSD and Mapping XLS) can be found at SeaDataNet website: http://www.seadatanet.org/Standards-Software/Metadata-formats http://www.seadatanet.org/Standards-Software/Metadata-formats

sdn-userdesk@seadatanet.org – www.seadatanet.org Use of EDMO CMS (for NODC’s) Practice

sdn-userdesk@seadatanet.org – www.seadatanet.org Practice EDMO For NODC: Webpage: http://seadatanet.maris2.nl/vu_organisations/pwelcome.asphttp://seadatanet.maris2.nl/vu_organisations/pwelcome.asp Check the list of marine institutes from your country: –If records not complete (Location, URL, etc!) => add information –If you find some institutes not listed in EDMO => Request new record to be added (MARIS) For other partners: Go to current EDMO collection of your country via: http://www.seadatanet.org/Metadata/EDMO Look up details of organisations (your own and others) and if needed request edit of the EDMO record at NODC Use of EDMO CMS

sdn-userdesk@seadatanet.org – www.seadatanet.org Oostene workshop 26-29 October 2009  Page 21 Use of EDMERP CMS Practice

sdn-userdesk@seadatanet.org – www.seadatanet.org Practice EDMERP- Use of EDMERP CMS Webpage CMS: http://seadatanet.maris2.nl/vu_edmerp/pwelcome.asphttp://seadatanet.maris2.nl/vu_edmerp/pwelcome.asp Discovery: http://seadatanet.maris2.nl/v_edmerp/search.asphttp://seadatanet.maris2.nl/v_edmerp/search.asp Exercise: Log in to CMS Create new (international) project coordinated by an organisation from your country Edit all fields as well as possible Add partner organisations (also from other countries!) IF needed: Request new EDMO record to be added (MARIS) Add details to new EDMO records Alternative: Look up current collection of projects Check if project really is coordinated by an institute from your country Look up other details for the project and add all partner organisations IF needed: Request new EDMO record to be added (MARIS) Add details to new EDMO records
