HELPFUL HINTS Submitting Your SPA Report Online in the Program Review Submission (PRS) System

Use Available Resources Easy-to-follow, short videos on NCATE website www.ncate.org Click on Institutions at top of page On next page, under Program Review heading, click on NEW-Instructions for Submitting a SPA/Program Review Report. Brief instructional videos for each area of PRS. Other resources under Program Review heading include examples of program reports and specific sections.

Keep Your Report Safe Save any MS Word or Excel files created for program report not only to your computer but to a central location Use department shared drive, if available Use flash drive Save to a CD-ROM

Some Items to Note You can cut and paste from a Word document into PRS. Some users have indicated that it is helpful to have both documents open on the screen at the same time. You will be able to print out a draft version of your report. Click on the “draft” icon or button and a pdf version of your current document will be created.

Other helpful hints… PRS does not have spell check. Spell check your document in Word before copying and pasting it. The floating navigation bar allows you to easily move to different parts of the document and save the document. Do NOT use the arrows on your browser to navigate through PRS. Only one person at a time can work on a particular program report.

All graphics and tables MUST be in an attachment. This includes bullets and even text you want to show as bold or underlined. Do NOT include any hyperlinks in your entries or attachments. Attached files are accepted in doc, xls, pdf, and txt formats. Documents created with Word 2007 or 2008 in a.docx format cannot be accepted. Hints on attachments

Attachments Combine attachments into single documents whenever possible Only 20 attachments TOTAL are allowed PER REPORT Attached files can be deleted BEFORE they are submitted if you need to make changes. You can then re-attach the file.

Attachments Name your attached files using the names that the reviewers and Board of Examiners can easily relate to a specific section of your program report and that also easily identifies the file’s contents.

What happens after submission? Review Process Submitted report reviewed by a team of three individuals one of whom is an experienced reviewer and who is the team leader. Their report reviewed by an audit team Recommendation sent to NCATE When can you expect a response? Submitted 9/15/09 Response 2/1/10
