2 2 05-05 Mass Case Assignment How to Use This Presentation The graphics below are designed to help you navigate through each presentation. The navigational guides require a single mouse click and are located on the left side of each slide. There is a Contents slide with hyperlinks to topics covered in each presentation that may be helpful if a review of a specific topic is desired. To print the PowerPoint presentation, right click anywhere on the slide and choose “Print”. To view a full-screen slideshow, right click anywhere on the slide, scroll down to the line that says “Full Screen,” and left click to choose that option. To return to the original view, right click on the slide and choose “End Show” or hit the Escape key (Esc) on your keyboard. 4 4 Currently when a case or cases need to be assigned, transferred, or reassigned to a Team Leader or case manager, the TNKids system requires the user to move between many windows. The changes described here will provide the user with the means to assign, reassign, or transfer one to many cases at the same time and complete the entire assignment, reassignment, or transfer process in one screen. 05-05 Mass Case Assignment Overview The user will be able to assign multiple intakes, including CPS referrals, to a single team leader in one assignment action. The user will be able to assign multiple intakes in a status of “Pending Reassignment” to a single case manager. The user will be able to reassign a case manager’s entire caseload in a single reassignment action. The user will be able to reassign multiple intakes of a single case manager’s caseload to another single case manager within the same team. The user will be able to transfer multiple intakes, including CPS investigations, to a single case manager in one transfer action. This excludes CPS referrals since each victim in CPS intakes can be assigned to a different case manager.

6 6 The user then double clicks on the Team Assignment folder and then the Unassigned folder for the county he or she wishes to view. 05-05 Mass Case Assignment Assigning Cases

8 8 As you can see in this slide, a pop up window will be displayed and the user will then select the case type he or she wants to assign. NOTE: The user can only assign cases of the same case type at the same time. 05-05 Mass Case Assignment Assigning Cases to Team Leaders

9 9 In this slide, the user has selected the intake type of court and four cases to be assigned. To select more than one case the user will select the first case by clicking on it while holding down the Ctrl key. The user can select and deselect other cases. Only cases that are “Pending Reassignment” may be assigned all the way to the case manager. 05-05 Mass Case Assignment Assigning Cases to Team Leaders

10 The user will then select the Team Leader to whom the cases are being assigned. After selecting a Team Leader from the drop-down list, the user will click on the Assign button. 11 A new pop up window that asks, “Are you sure you want to assign the selected case(s)?” will appear. The user will click on Yes to proceed or No to cancel. 05-05 Mass Case Assignment Assigning Cases to Team Leaders

18 A pop up window that asks, “Are you sure you want to assign the selected Case(s)?” will appear. If the user selects Yes then the cases will be assigned.
