So why shouldn’t opening a bank account be as easy as buying a book online? In the past, a bank would have dismissed it as something that didn’t apply to them. Clearly opening a bank account or buying insurance was a more complex task that had longer term consequences than the one-off transaction of buying a book. Yet today, customers expect the same level of simple and easy-to-use service that they expect from their favorite online retailer, even on more complex high-value transactions. Consumer expectations are now far reaching and experiences apply across industries. 22 Expedite time to success with BPM on Cloud
The University Library leadership team had conducted a comprehensive workflow analysis and documentation effort. The leadership team was challenged by inefficiency, lack of visibility and flexibility and duplication of work, all adversely affecting customer service levels for their academic community. The procurement of databases and digital resources, was the workflow chosen for IBM’s Quick Win Project (QWP). The existing process was documented in s on different systems that were not connected. Some of the key issues with the current procurement process of database and digital resource procurement included lack of visibility into the process. The library staff was unaware of how many trials and where the trials within this university were taking place. In addition, the staff was unaware of the workload of subject librarians. Other key issues included a decentralized environment that lead to missing information and difficulty in the communication of database trial information. The University Library's goals included a highly automated workflow for licensing data from trial to production, a team-based approach for handling database and digital resource procurement throughout the entire lifecycle and on-demand visibility into process performance metrics. This library’s goals also included providing status of individual database and digital resource procurement, reducing inefficiencies and improving user experience. To achieve success, the QWP team had to reduce the reliance on human memory and , automate hands-off work and notifications and reduce the risk of lost data. Other requirements for success included promoting accessibility to and faster retrieval of existing information and improving visibility of the entire database procurement lifecycle. Solution After an evaluation of vendor solutions, the University staff selected IBM’s cloud-based Business Process Management (BPM) platform, which includes comprehensive tooling for process design, implementation, monitoring and optimization. Based on this platform’s capabilities to model workflows and provide near-real-time visibility into process performance metrics, BPM methodology was determined to be appropriate for the procurement workflow of database and digital resources. Business value The Database Procurement Workflow solution provides the University Library's service staff visibility into the process that keeps users updated with their tasks and provides the staff with more in-depth, near-real-time process metrics. With this solution, University staff can acquire the flexibility to operate in a dynamic and changing environment, the ability to adapt to the school's schedule by changing or adding users of the process and the ability to update dynamic database information. This solution is designed to optimize the university’s database procurement process and enhance the user experience of subject librarians.
