Presentation of of Project management on PROJECT CONTROL Presented By:- Arpana

Project Management Initiation Process Planning Process Implementation Process Controlling Process Closing Process

Project Controls are tools developed to diagnose the system for deviation from the actual plan and reset them back with the actual plan/schedule.

Project Control: last element in the plan-implementation- monitor-control cycle Control: the act of reducing the difference between plan and reality Uses the information from the monitoring process to get and keep a project on track Monitoring and Controlling includes:- Measuring the ongoing project Monitoring the project variables against the project management plan and the project performance baseline Identify corrective actions to address issues and risk properly Influencing the factors that could circumvent integrated change control so only approved changes are implemented

Three Objectives:- 1)Primary Objective: Regulation 2)Secondary Objective: Conservation of resources Physical resources Human resources Financial resources 3)Tertiary Objective: Facilitate Decision-Making :- Contains several reports that helps in decision making like, Report comprising Plan, schedule and budget Data consisting of comparison between the resources spent in achieving the delivered output and scheduled output Estimate of the resource required

Cybernetic Control: Steering control Key feature is Automatic Operation Go/No-Go Control: Most common project control Test the predetermined specifications have been met Post Performance Control: After the completion of the project or the task George Santayan says…”those who cannot remember the past are condemned to repeat it”…….

1.Characteristics of the project Large Project Complex Project Involves many people and organization 2.People Problem lack of :- Experience Training Competition Inclination to control the project 3. Poor Control and Information System Delay in reporting performance Inappropriate level of details Unreliable information

1)Variance Analysis  Evaluation of difference (variation) between a Planned result and an Actual result  Deviation from plan are also called ‘Exception’  Source of variance:-  Scheduled Start Vs. Actual Start  Scheduled Finish Vs. Actual Finish  Scheduled Time for an Activity Vs. Actual Time  Scheduled Achievement Time for a output Vs. Actual time  Budgeted Cost Vs. Actual Cost  Measured Value Vs. Actual Cost  Budgeted Man- hours Vs. Actual Man-hours  Budgeted Unit Cost Vs. Actual Unit Cost  Budgeted Percentage Complete Vs. Actual Percentage Complete

2) Performance Analysis  Provides the project manager and project team with analytical indications of Project Progress and Project Status  Methods of Project Analysis:- BCWS BCWS (Budgeted Cost for Work Scheduled) a)Budgets for all work packages, scheduled to be completed b)Budgets for the portion of in-process work, scheduled to be accomplished and c)Budgets for the overheads for the period BCWP BCWP (Budgeted Cost for Work Performed) a)Budgets for work packages actually completed b)Budgets applicable to the completed in-process work, and c)Overheads budgets ACWP ACWP (Actual Cost of Work Performed) BCTW BCTW (Budgeted Cost for Total Work) ACC ACC (Additional Cost for Completion)

Taking Action Comparing Plan against Actual Measuring Progress and Performance Setting a Baseline Plan
