3
Basic Skills Benefits of Adobe Acrobat and PDFs How to Update Set up for signing IEPs Passwording Shortcuts Ways to make a PDF Ways to send a PDF
4
Benefits of Adobe, PDFs Free Reader: ANYONE can open these docs EVERYONE can open these things! No compatibility issues with opening these docs (did I make my point?)
5
Which Version of Adobe Acrobat do I Have? Open Adobe Acrobat (NOT READER) Open Help Select “About Adobe Acrobat…” Your version # will be listed at the top If you have 10 (X) please contact your supervisor for the updated version This presentation is using 11, only.
6
Signing IEPs Setup Disregard the Signature Tool. It takes forever. THIS only needs to be done ONCE Open Adobe Acrobat 11 Open any document Go to Comments Tab Open Drawing Markups
7
RIGHT click on Pencil Tool Select “Add to Quick Tools Toolbar Do likewise for the Text Box
8
Those tools should show up along the top now for every PDF you open. Easy access for in-meeting Just a few clicks for signing (Click, Hold, Drag) (still have to give permission to everyone individually)
9
Ways to Make a PDF You can make any document a PDF by: Print Select Printer Adobe PDF Or Print as PDF
10
In another program…
11
From Office Suite Tools (Powerpoint, Word, etc) File Save as Adobe PDF
12
When you print a PDF as a PDF… Flattening a PDF document is condensing all the formatting layers into one image layer. To “flatten” a PDF, you will need to print your current PDF as a PDF. This makes it so all IEP signatures are still visible across computers and systems. It will also save the data inside forms as you see it. (see previous 3 slides for steps)
13
How to send a PDF Document At any point, save your document and select the Mail Icon This will attach your current PDF to your default email (Mine is Outlook) This only works for 1 file at a time.
14
Advanced Skills How to combine How to create your own forms How to export data from forms How to use PDFs / Forms in instruction
15
Combine, Create Forms Open Adobe Acrobat
16
Combining Files After hitting “Combine Files into PDF” you simple select the files you need. From there you can reorder as needed. You can even insert pages in the middle of other PDF files. Just hit the + to expand.
17
Creating Forms This can be done from documents you already have been working on (worksheet, scanned form, word doc) This can also be done from Adobe itself, from scratch or using a template. Acrobat> File> Create > Create Form
18
Creating Forms from Document Choose your option – From current doc, other file, etc. Acrobat will assume some spaces for you, but you can add in lots more. Use the edit tools to format your boxes. Handy options include “Required Fields” Renaming fields are useful if you ever need to export the data.
19
Creating Forms from Template Creating a form from a template will pull up an Acrobat Template Database. All templates are editable to your needs User Friendly I’ve made a job application, check register, etc all that I can use and distribute in class to students.
20
Export Data from Completed Forms You can easily export mass amounts of data from forms to spreadsheet files! Tools> Forms> More Form Options Merge Data Files into Spreadsheet From there you can choose multiple files from which to pull responses.
21
Once Exported… You can use your mad Excel Skillz to interpret the data. I will be using this for Job Application practice. Other uses could be alternate assignments, independent practice worksheets, quick forms for parents that only respond to emails, etc.
