4 CLIENT STORY – PART 1  Our customer was implementing Preactor in a manufacturing company in Oxfordshire  Many Works Order operations are just a person at a bench assembling items  Lots of run times of less than 1 hour  Therefore they needed real time SFDC to inform management of progress against the plan  And of course to track labour  DefCapture WIP Start / Stop for barcode scanner devices / screens  With an interface to Preactor

5 CLIENT STORY – PART 2  Complex multi level Bills Of Material (BoM)  Not running MRP  Considering “Works Orderless” to make things easier in the factory  But this went against their need to give fast and accurate answers to customer enquiries – they needed WO to do this  Planning 1 sales order could take 11 hours!  Which is why they went for Preactor

6 BUSINESS SCENARIO’S  Quote Raised by Customer Services – When can we deliver?  Sales Order Received – When can we deliver?  Single or Multi Line  Single Product Ad-hoc Enquiry – Sales Director out to lunch with Key Client  Single Product Ad-hoc Enquiry – If we order today when can you deliver?  Factory managers want to know what’s happening on the shop floor – are we sticking to the plan

7 IN THE DEMO  We’ll show fast creation of works orders to aid planning  We’ll show operators signing on to their shift and booking works orders  Collecting time and quantity

8 CUSTOMER ENQUIRY PROCESS - TRADITIONAL Traditionally Preactor / ERP integrations had a process flow like this:  Customer Requests 500 of X by July 30 th  Or multi-line orders / quotations for multiple products or multiple dates added to Sage  Create WO(s) in Sage, manually or via MRP (could be multi-level complex BoMs!)  Import WO to Preactor  Schedule them  Find the end dates  Inform customer services

9 ? How long did that take? So we invented the “PRO” system “PRoduction Orders” Where we START the process in Preactor…….

10 CUSTOMER ENQUIRY PROCESS – PRO SYSTEM  Customer Requests 500 of X by July 30 th etc  Create PRO in Preactor, takes minutes (or seconds!) to look at multi-level complex BoMs  PRO considers Lead Time of Buy items that are short (! Doing some MRP here!)  Schedule PRO (but note that they only exist in Preactor)  Publish the end dates via auto-email to inform customer services  Manually create WO in Sage

11 CUSTOMER ENQUIRY PROCESS – PRO SYSTEM WITH DEFACTO UI ….this bit is the same as the previous slide…  Customer Requests 500 of X by July 30 th etc  Create PRO in Preactor, takes minutes to look at multi-level complex BoMs  Considers Lead Time of Buy items that are short (??MRP)  Schedule PRO  Publish the end dates via email to inform customer services ….but now we create the WO as well…..  Automatically create the PRO as WO in Sage

13 Demonstration images: Operator uses DefCapture to sign on to their shift and to start their Works Order (or can resume the order they were on yesterday)

15 … which starts the clock ticking on the job they signed on to. In Preactor this is shown in the Active Jobs window:

16 … and the status shows as “Running”. The yellow bar shows that 160 out of 200 have been made so far

17 Here’s how we quickly found a promise date for a new sales order / quotation…. The SO Planning window finds a new quotation with 2 product lines….. The “Create PRO” button creates production orders for all levels of the BoM, and for both lines on the quote….

18 Preactor understands the BoM structure and works out when the PRO order can start, based on the supply from other WO or Purchase Orders or Initial Stock (IS-) In this case the bought item 07LNB99 will not arrive until June 4 th, meaning that production starts on the 9 th and ends on the 10 th

20 And the SO Planning window can be used to summarise the available dates for the quotation……… and to publish it via email

22 Lastly, because we asked for the PRO to be automatically created as WO in the ERP system we can see new Works Orders in Sage…. … these are lower level WO that were generated to cover shortages of dishes for the final assembly

23 SUMMARY  Two integration points between Defacto and Sl-ect to enhance the use of Preactor and Sage  DefCapture used to provide real time updates to the plan  Defacto Universal Interface (UI) module used to create WO in Sage  Preactor PRO system and the underlying scheduling tools quickly get an accurate answer to customer enquiries  Planning a sales order now takes minutes!
