Let’s take a look at a real life example –
Many people think we are just about pretty documents, well, we do that some companies but we also do a whole lot more.
Here is an business process in an actual large pharmaceutical distributor.
This company has 30 distribution centers around the country, this process was the same for each DC.
Data is formatted from a variety of back end systems on the left, printed at the DC, and then all of the orange symbols represent manual processes required to sort, assemble and provide the driver with all of the documents needed for the route
In this company’s case, they started examining their document distribution process when they decided to replace line printers in their 30 DCs with new laser technology, eliminating continuous forms.
These documents were generated from SAP as well as their Warehouse Management System, and they required 2 people across three shifts per Distribution Center to print, burst, sort and prepare all the documents needed for delivery by route, stop and customer order.

If we look at the impact of electronically synchronizing all of the delivery paperwork, note the number of manual steps (represented by the orange symbols) eliminated using StreamServe.

StreamServe receives the input from various applications, stores the input in a central repository. 14. The Invoice Document
Invoices are important for business reasons, but they are also critical tax compliance documents.
An example: for most tax systems the invoice is the pivotal information piece for VAT payment and deduction. Therefore, companies must take public law constraints into account when they change their invoicing processes.

15. Electronic is it Legal?
In the past, the question of whether invoice automation was permitted -- and if it was, under what conditions -- could only be answered on a per-country basis.
The European Union Invoice Directive* has since mandated that tax authorities in all EU member states accept electronic invoices for VAT purposes. This clarity has boosted business enthusiasm for Internet-based invoicing processes.
* = COUNCIL DIRECTIVE 2001/115/EC of 20 December 2001 amending Directive 7/388/EEC
with a view to simplifying, modernising and harmonising the conditions laid down for invoicing
in respect of value added tax

16. Background - Conditions
Since the Directive went into force in January 2004, there has been a growing trend of e-invoicing use in most EU member states. However, the acceptance of e-invoices by EU governments is subject to a certain conditions:
First, the customer must agree to receive invoices in electronic format
Secondly, the integrity and authenticity of the electronic invoices must be guaranteed in both transport and storage.

17. Background – Authenticity and Integrity
The EU Authenticity and Integrity requirements can be met in two ways:
Through Electronic Signatures The Invoicing Directive allows member states to choose from two e-signature options; the advanced or qualified level.
Advanced Electronic Signatures are commonly viewed as “policy-based PKI digital signatures”
Qualified Electronic Signatures are Advanced Electronic Signatures based on EU-wide standards.
Through EDI (typically EDIFACT or ANSI x.12) with sufficient security processes

Member states can also accept “other means” to fulfill the authenticity and integrity requirements; however, these alternative means (such as private intra-bank networks) are only valid for in-country transactions and are not sanctioned for use outside of the host country

How does this work from a technological view?
The Business System generates the raw invoice data and send this to the E-invoices Sender.
E-invoice sender queries the E-invoice Manager on how to distribute the invoice.
Depending on the Companies VAT number and the Customers VAT number E-invoice Sender applies the correct Advanced Electronic Signatures or Qualified Electronic Signatures by querying the CA / Signature Switch.
With the information gathered from E-invoice Manager the preferred invoice format is distributed to the customer. Paper based if the customer has not accepted the agreement and electronic if the customer has accepted the agreement.
