1 There are 3 E’s in Excitement: Eligibility, Enrollment & Exiting

2 Paper File For our program, everything starts and ends with our member file organization system. All eligibility, selection, enrollment and exiting documentation is accounted for in the paper file (even if it is also completed electronically).

3 Each file has 4 subsections: A, B, C, D. As each required document arrives, we clip it to the appropriate section and check it off.

4 Embedding For each CNCS/MSA expectation, we embed a mechanism for complying within the tools of each system.

5 Tool(s) to Comply Application; Contract; Enrollment Form Eligibility Expectation (one example) US Citizen, US National or Lawful Permanent Resident (Demonstrated by state ID/Birth Certificate or Passport)

6 By the time a member is enrolled in Egrants, the member’s eligibility should have been certified, signed and checked up the wazoo.

7 Selection To conduct a consistent and fair selection process, we have program-specific application that includes/requires:  Completed Application (with questions)  Background Check Policy & Certification Sign Off  Resume  Two written reference forms Once we have received the above materials: 1.We review the materials against our “RISE General Position Description” – If they meet our basic expectations, we 2.Invite them for an interview. (Asking uniform questions) 3.We offer them the opportunity to interview at available sites. (We ask sites to make their selection on the basis of the site’s position.) 4.If both sides are on board, a match is made. 5.Background Check Immediately Initiated

8 The materials of the selection process are included in the member file to ensure each member completed the same process.

9 Background Check Process As soon as a member is matched, we mail them a background check package that includes  Acceptance Letter/Admissions Response  Instructions: What Goes Where? And How to do FBI Prints, etc.  National Service Background Check Policy and Release  MA CORI Form (with Photo ID request)  Out-of-State Check Forms (as needed)  Stamped Envelope to return to our program  Stamped FBI Fingerprint Check Initial Postcard  In manila envelope addressed and stamped to FBI: $18 Money Order Two FBI Fingerprint Cards (we ask for two sets) Applicant Information Sheet Once we receive the return envelop with the release, we immediately run the NSOPW check and the CORI once.

13 Health Care Before orientation, we send members a welcome package that includes information about benefits, including health care. We ask them to come to orientation ready to make a choice. If they’re opting out of AmeriCorps- provided insurance, we ask them to provide proof of their current provider and to sign a waiver. We assure them the waiver can be revoked at any time.

16 Enrolling and Exiting Enrolling and exiting members in Egrants within 30 days. Paper Forms – Enables program staff to enroll/exit on member behalf If you chose to fill it out for the member, remember there are two parts!! memberprogram staff
