Creating the Category Part 2.Associating the Category to the Browser Part 3. Inputting Data to a Category List Part 4. Using Filter by Category Categories is one of the features of Integrator that sets it apart from other programmes. It enables Users to add Data which is specific to their particular needs, yet maintains functionality. The Tutorial, lasting about 15 minutes, has been split up into 5 sections. The Bespoke forms are designed to store Data that will be required by the User for the Module. (In many instances, the User may choose not to use all of these Fields, particularly in the early stages.) Nevertheless, due to the varying needs of Businesses in general, there will be instances when Users find that a particular requirement they have is not offered by these Forms. Categories is Integrator’s mechanism for coping with these varying requirements – furthermore, they are capable of maintaining the Functionality whilst still being diverse. Return to Main Menu

For example, suppose a Business had a requirement to store details of Employee’s Roles – capturing Data such as First Aid Responsibilities, Fire Fighting Skills, etc. It would be relatively easy to incorporate that type of diverse Data by providing ‘Open Text’ fields on the Forms. This would seriously compromise Integrator’s ability to summarise Data to the User… For example “Show me all the First Aiders with Fork Lift Licences – I need someone for the weekend overtime.” Unfortunately, Data stored in that Format would not enable the User to benefit from the Filter Functions offered by Integrator. Create the Category. (Employee Roles in this example.) 2. Associate it to the Module. (Employees in this example.) 3. Input Data to the Records. (Tick the Relevant Boxes.) 4. Use the ‘Filter by Categories’ Function. The following section of this Tutorial will show how Categories are created within Integrator and then associated with the relevant Module. Creating the Category This Browser shows all of the Categories already created. It functions in exactly the same manner as all other Browsers, with icons for Adding New Categories, Deleting, Duplicating, etc. When access to a Category is required for Modification, its Detail Screen may be launched in the usual manner… Return to Main Menu

This will be a new Category, launched from the Create New Record icon… The first Tab (General) enables the User to create the Name for the Category – in this example Employee Roles… The second Tab enables the User to create the Items within the Category… Return to Main Menu

ALL RIGHTS RESERVED CATEGORY FUNCTION USE CATEGORIES Keyboard ‘Down Arrow’ = Go forward Keyboard ‘Up Arrow’ = Go back Keyboard ‘ESC’ = Exit this Help Demo Creating the Items is simple, using the Add New Tree icon for the Main Items… …and the Add New Leaf icon for any Sub-Items associated with the Main Items… Clicking the Add New Tree launches the Template Category Details form… The first input is for the Name of the Item as it is to appear in the List – in this case First Aider… This is all that is necessary to begin compiling the Items within the Category. (The other parameters are for more advanced use, unlikely to be required by most Users without specific training.) Click OK and the first Item will have been created in the Category List. (‘Leaf’ or ‘Child’ Items.) If the List needs to be amended (either now or in the future)… …or have their sort order amended… Clicking OK completes the process and the Category List will appear in the Browser and be available for use. …Items may be highlighted and Deleted… Return to Main Menu

Associating the Category to the Browser Right Mouse click in the bottom section of the Browser screen to gain access to the Print Options, Properties and the Help Options… Select Properties, this will launch the Form Properties screen… This gives access to the Settings associated to the Browser - which Tabs appear on the Details Screen, which Planners and Category Lists are associated, etc… Return to Main Menu

Return to Main Menu

Inputting Data to a Category List Selecting the Categories Tab takes the User to the Category Lists which have been assigned to the Browser… This Tutorial will demonstrate how to Input Data to a Category – in this example demonstrating Employee Roles associated with an Employee… Return to Main Menu

ALL RIGHTS RESERVED CATEGORY FUNCTION USE CATEGORIES Going back to the example of the Category named ‘Employee Roles’… The Record we are currently working with is that for the Employee ‘Andy Divers’… If Andy is an First Aider and is also Member of the Emergency Response Team, then the relevant boxes in the Category List should be Ticked and the Record updated by clicking OK. Keyboard ‘Down Arrow’ = Go forward Keyboard ‘Up Arrow’ = Go back Keyboard ‘ESC’ = Exit this Help Demo Once all of the Browser’s other Records have been updated in this manner, the User will be able to determine which Records appear in the Browser view using the Filter by Category Function. Records will be filtered to show any that match at least one of the Criteria. Match All. Records will be filtered to show any that match all of the of the Criteria (& possibly more). Match Only Specified. Records will be filtered to show only those that match the Criteria exactly. Not Be In Any. Records will be filtered to show only those that do not match any of the criteria.
