4 Overview

5 KnowledgeLake Connect is a configurable desktop application that provides an efficient and intuitive method of saving content from a user’s computer to a SharePoint document library. Connect increases the usability of SharePoint by enabling users to find and view existing SharePoint content or save and index new content to a SharePoint document library, from an easy to use desktop application.

6 When used in conjunction with KnowledgeLake Imaging for SharePoint (not included with Connect), Connect can leverage KnowledgeLake Behaviors such as database lookups, alternate required columns, and validation lists. With Office integration Connect can Save content from Word, Excel and PowerPoint to SharePoint. Connect provides direct Outlook integration to save Outlook messages and attachments to SharePoint.

13 Installation

14 While logged in as a local administrator, run Connect.exe.

15 Leave this window up in order to quickly Install Office Add-Ins later! Click on Install Connect Click Next on the Welcome screen.

16 Accept the End-User Software License Agreement and click Next.

17 Select your preferred installation options then click Next. We recommend selecting Install Office integration Find out more about Connect Installation Options in the Connect 5 Administrator Guide on pages 2-5.

18 Connect performs a series of Prerequisites and Installs Components. Simply click next after success status achieved.

19 The installation process runs and is completed in the usual manner.

20 After completing the Connect Install click on Install Office Add-ins Click Next on the Welcome screen. Select Your version of Office and which users have access

21 Initial Launch

22 Start Connect after the installation is complete. The installation process will place a Connect program icon in the Windows Start menu. In the usual manner, you will also find a KnowledgeLake program group in the All Programs menu.

23 When Connect starts for the first time, you will be prompted for your registration key.

24 KnowledgeLake products requires that you enter a valid registration key before the product is usable. The registration key should be obtained from KnowledgeLake or your software reseller. A software registration key is tied to your company and the specific software products that have been purchased and registered by you.

25 On initial launch, Connect will not have any SharePoint sites configured.

26 Add SharePoint Site by entering the URL. Click on “Use this location and continue.” Unless you reconfigure, Connect utilizes your Windows Credentials

27 Name your new connection Determine if you would like Connect create automatic folders for your content Select the dropdown and choose the sites you want displayed by clicking on the white boxes and turning them blue

29 Once you have completed your site selections you may proceed to Connect by clicking the This arrow will take you to the Explore screen in Connect

30 Explore

31 KnowledgeLake Connect’s Explore mode allows you to view the contents of your SharePoint sites and libraries. You can upload, open, and manage documents as you would when exploring your Share-Point sites in a web browser.

33 Expand sites to reveal subsites and libraries that each site contains. When you have a location selected in the navigation pane, the documents pane displays the documents and folders contained in that location.

34 Create a Favorite in the Navigation Pane Right click on the location you want to make a favorite Create Favorite sends a copy of the link into the Favorites section of the Navigation Pane

35 Sort your documents Click column headings to sort the documents Shift-Click column headings to sort by more than one column.

36 Filter your Documents Click on the filter icon on the desired column Choose the filter criteria Select values to explicitly include. If any value is selected, documents that do not contain any of the selected values in the filter column will be excluded. Click Select All to quickly include or exclude all values.

37 Upload a Document Select the location that you want to upload the document to Click on Documents then Upload Document Select a file and then click Open

38 Choose a content type and then specify the document’s properties in the Properties Panel.

39 Create a new folder Select the location where you want to create a folder. Name your new folder Once completed your new folder shows up in the document pane, not the Navigation Pane In order to see your folder you must select “show items inside folders” from your SharePoint Library View

40 Right clicking on a document gives you multiple options for viewing and indexing Connect View – opens the document in the Connect Viewer Imaging Viewer – Opens the document in the Imaging Viewer Open – opens the document in it’s native viewer View Properties – Edit, Index, and release to SharePoint Check In/Out – leverages SharePoint’s ability for document collaboration

41 Delete – Remove the document from the SharePoint Library Email – Send a document as an attachment Email Link – Send a link in an email message Download – Download a copy of the document to your machine Copy URL – Creates a copy of the URL onto your Clipboard Scan Document – If you have a scanner selected and enabled you can scan into SharePoint using Connect

42 Upload

43 KnowledgeLake Connect’s Upload mode allows you to upload documents to SharePoint. You can select a SharePoint site or library, choose a content type, specify the document’s properties, and release the document to SharePoint. Click the Upload button on the mode selector to switch to Upload mode. The mode selector is located on the left side of the Connect window, at the top of the navigation pane.

45 To upload a document click on the Upload Document button Select the document from your file system Document is added to File Queue and the Properties Panel opens up The File Queue has a strict first come – first serve rule Select a Content Type and Index

46 Drag a directly to the File Queue or to a Content Type

47 When a document is opened with Connect you will have the opportunity to edit the document properties. Select the appropriate content type. Apply metadata. Click Save to release the document to SharePoint.

48 Send To  KnowledgeLake Connect is a frequently- used method of sending content to SharePoint using KnowledgeLake Connect. You must have created a Drop Folder in the Backstage of Connect for this functionality You must also enable the “Send-To Connect” option

49 Use Windows Explorer and navigate to a file you want saved to SharePoint. Right-click the file to display the Windows submenu. Click Send To  KnowledgeLake Connect.  This action copies the file to the Drop Folder.

50 Search

51 KnowledgeLake Connect’s Upload mode allows you to upload documents to SharePoint. You can select a SharePoint site or library, choose a content type, specify the document’s properties, and release the document to SharePoint. Click the Upload button on the mode selector to switch to Upload mode. The mode selector is located on the left side of the Connect window, at the top of the navigation pane.

53 Create new Search Click the New tab to open a new search. Configure your search by Adding Properties Changing Scopes Selecting Column Results

54 Create new Search Select either My Saved Searches or Server Saved Searches on your desired Site Click the New tab to open a new search.

55 Configure your search by Adding Properties by clicking on “Add Property” Select the sites you want to search by editing Scopes Select the Columns you would like to see in Results

56 Create a Saved Search Once you have your search configured the way you want click the Save button Saved Searches, created in Connect, will show up in your My Saved Searches in the Navigation Pane Saved Searches, created in the KnowledgeLake Search Center, will be visible in the Sever Saved Searches in the Navigation Pane You can also right click on a Saved Search and make it a Favorite!

57 After a search has been successful you can do the following Sort documents – by clicking on the column name Filter documents – by configuring the filter options Group search results by column – by dragging the column into the header

58 Office Add-Ins

59 KnowledgeLake Connect’s allows users to install Office Add-Ins capability This integration gives users the ability to export documents directly from MS Office applications. In addition, users can drag and drop documents from the Explore mode directly on or into open Microsoft Office documents such as Word, Excel, PowerPoint and Outlook

60 From any application, you can save a document to the Drop Folder. Simply select File  Save As, then select the created Drop Folder Path

61 Using Windows Explorer, you can drag a document directly to your created Connect Drop folder. Best practice would be to right-drag the file then copy it, to avoid inadvertently moving the file.

62 While in Explore Mode, you can drag a document from the View Pane directly to an open MS Office document as an Item Link Best practice would be to drag the file and place it into the desired location in the application

63 While in Explore Mode, you can drag a document from the View Pane directly to a new and open email The item will come in as an attachment with the File Name as the name of the attachment

64 If Office integration is installed, a new KnowledgeLake menu group is added to the Microsoft Outlook 2010 menu bar. 1.Highlight the mail message(s) you want saved. 2.From the KnowledgeLake menu group, choose how you want the message and attachments saved.

65 If Office integration is installed, Word, Excel and PowerPoint 2010 will have a KnowledgeLake menu group added to the ribbon bar.

66 Save the document in the Office application. Choose one of the following from the KnowledgeLake menu group: Export Export as PDF Export as XPS The ability to Export or Index as PDF or XPS requires the 2010 Microsoft Office Add-in Microsoft Save as PDF or XPS.
