1. Northcote Hall (NH), Robert Black Hall (RBH), & Jockey Club Student Quarters (JCSQ) Estates Office Briefing session on 24 March 2015 Summer Vacation Programme 2015

2. Objective To facilitate educational activities/ programmes and institutional events to be held on campus during summer break by providing accommodation services in student hostels

3. Vacation Booking Period —15 June to 14 August 2015 Any requests go beyond the abovementioned period shall seek special prior approval from Director of Estates. No request for rooms during semester terms will be entertained.

4. Application Internal application: 25 March to 8 April 2015 External application: 9 April 2015 onwards Applications submitted after internal application period will be considered together with external ones on a first-come- first-served basis. Only group booking is accepted

5. Internal Booking Faculties, departments, centres, offices and student organizations that organize activities/ programmes during summer are eligible to apply for vacation booking. Activities or programmes shall be solely organized/ held by faculties /departments /centres/ student Organizations Departmental/ project account code is required for internal booking as payment will only be settled by internal charging via FO. Activities or programmes that are jointly organized with external organizations will be treated as external bookings

6. External Booking As per the Hotel and Guesthouse Accommodation Ordinance, a mere room booking requested by external organization shall not be entertained. External booking requests will only be accepted if external organizations: a) join a summer programme held by faculties /departments /centres of the Institute; or b) co-organize an educational activity/ programme with faculties /departments /centres of the Institute.

7. Booking Procedure The completed booking form has to be submitted to Estates Office. Booking will be processed upon receipt of a completed booking form. Booking will be confirmed upon receipt of the down payment within 2 weeks from issuance of payment notice. The balance should be settled 2 weeks before check-in day.

8. Group Leader/ Contact Person It is very important for us to have the contact number of the Group Leaders and Contact Person for liaison purpose. The Organizer is required to provide us the contact number of a. the contact person of the corresponding internal departments b. the group leader / contact person of the external parties

9. Room Rate There are internal (departmental) rate and external (collaboration) rate Room rates for summer vacation programme 2015 is being reviewed at the moment and will be announced in due course*. Please refer to room rates of summer vacation programme 2014 for reference. * Upon receipt of confirmation from the Hostel Financial Committee
