Co-Operative Education and Career Services Unit (CECS) Part 6 – What is Co-Op? Co-Operative Education is implemented to formally integrate classroom learning with workplace training in co- operative employer organizations Students are required to complete a co-operative module comprising two months work experience in each year of their degree, beginning in Year One right through to the final year (please refer to your Faculty). Each co-operative module is worth three credits and students are graded based on a written assignment and employers’ evaluation upon completion of each co- operative module

Co-Operative Education and Career Services Unit (CECS) Part 7 – Pre-requisites (Academic & Non Academic) 7.1Academic Pre-requisites Completed 80% course work in each Year/Level Obtained a minimum cumulative overall average (CGPA) of 2.0 (i.e. 50-59%) at the end each Academic Session [Note: Most employers require a minimum GPA of 2.5 (65%) or more] A student who has not met the Academic pre-requisites is not eligible for the Co-Op attachment of that session and has to defer the Co-Op term to the following year/whilst Academic pre-requisites are met

Co-Operative Education and Career Services Unit (CECS) Part 7 – Pre-requisites (Academic & Non-Academic) 7.2 Non-Academic Pre-requisites Course selection for Co-Op, approved by the Co-Op Supervisor and payment of necessary fee(s). Register in myCo-Op by completing and submitting the online Curriculum Vitae (CV). Attend the CV Verification Exercise: presented supporting documents (e.g. academic certificates, extracurricular activities, letters of reference, etc). Attend all compulsory Co-Op Workshops organized by CECS / UCSI University. Please refer to Student Co-Op Policy and myCo-Op Portal for the procedures

Co-Operative Education and Career Services Unit (CECS) Part 8 – Placement Process (Con’t…) Check students’ email /myCo- Op constantly for any job interviews / offer Submit your Job Evaluation and remind your employer about your Student Evaluation Form Obtain verification letter from CECS Responds to the email within 3 working days to indicate your attendance to any interviews if the employer requires If you do not respond in 3 working days, you are consider as *rejecting the job interview Responds to email pertaining job offer within 3 working days if the employer does not require interview Collection of Student Evaluation Form Obtain offer letter from employer Download Co-Op Job Approval Form via myCo-Op or get it from CECS If you do not respond in 3 working days, you are consider as *rejecting the job offer Photocopy the offer letter and get approval from your Co-Op supervisor before coming to CECS * - Please refer to Co-Op policy for further information further information

Co-Operative Education and Career Services Unit (CECS) Part 8 – Placement Process (Con’t…) Students may obtain a Co-Op Job overseas but… If the Co-Op Employer is not bona fide and/or the students are found not undergoing Co-Op or the Co-Op job is fake/non-existent, students will immediately be given a FAIL grade for their Co- Op module.

Co-Operative Education and Career Services Unit (CECS) If students reject the interview with reasons deemed unacceptable*, these student must then find their own Co- Op job. Ultimately, if they are unable to find a Co-Op Supervisor approved job, they may be awarded a Fail grade for the Co-Op module. A student who has not actively looked for his/her own job and receives a Co-Op job placement from CECS but rejects the offer must give his/her reasons in writing for doing so to CECS within three days of receiving the job placement/offer. If a student’s given reasons are deemed unacceptable* then, he/she must accept the CECS given job placement or face the possibility of failure for that Co-Op module. *Unacceptable reasons: Distance of workplace, amount or lack of salary, parents’ preference, personal preference etc. Part 8 – Placement Process (Con’t…)

Co-Operative Education and Career Services Unit (CECS) Part 9 – While at your Co-Op Job - Dos and Don’ts Terms of Employment, Confidentiality Terms of employment and confidentiality of employer’s information must be STRICTLY MAINTAINED Handling Workplace Issues Address Issues when arise (to CECS staff or Co-Op Supervisor) Speak directly to (NOT via family/friends) with immediate Work Supervisor, Co-op Supervisor and CECS staff Resigning or Taking Leave Resigning or taking leave/time off is STRICTLY PROHIBITED Medical Leave All medical leave must be substantiated with a legitimate doctor’s medical certificate. Students must contact their employer immediately if they must be absent because of illness or an emergency. If the absence is for two or more days, CECS must also be notified.

Co-Operative Education and Career Services Unit (CECS) Part 9 – While at your Co-Op Job - Dos and Don’ts (Con’t…) Termination & Layoffs A Co-Op student who is terminated by an employer for any reason including those that fault the student (such as incompetence, unsatisfactory performance, irregular attendance/tardiness or unacceptable behavior/attitude etc) must report this to the CECS immediately. In the event of termination, the CECS and/or Co-Op Supervisor will carry out an investigation of the situation. Student not at fault Student at fault - disciplinary action will be taken and/or a fail grade may be given for that Co-Op module.

Co-Operative Education and Career Services Unit (CECS) Part 10 – Upon Completing the Co-Op Job It is the Co-Op student’s responsibility to complete and submit the following forms to CECS prior to the last day of work-term: Online Co-Op Job Evaluation Form Co-Op Student Evaluation Form (to be collected from CECS prior to commencement of work term) Written Report/Assignment given by the student’s School (and approved by the student’s employer, where required) Please note that it is YOUR RESPONSIBILITY to: Ensure the employer completes and submits the Co-Op Student Evaluation Form to the CECS Office only Do the necessary follow-up with the respective Co-Op Employer to ensure that all is done in a timely manner

(You are required to visit CECS according to your Faculty as assigned by CECS) CECS/Co-Op Supervisor 15 June22 June 6Visit CECS according to CV Verification Appointment List. Students are to bring the following: Original certificates of all academic and non- academic transcripts/ certificates/ letter of recommendations (if any). (Clearly separates the academic and non-academic documents before visiting CECS) Students are to get CVs ‘Approved’ by CECS staff according to faculty as assigned by CECS. Co-Operative Education and Career Services Unit (CECS) Part 11 – Co-Op Planner (Con’t…) What you have to do as a StudentWhere to go/ Who to see Start dateDeadline 8Co-Op Job via CECS If the Co-Op Employer is a non-registered user of myCo-Op, collect your Appointment Letter from CECS when you are informed. If the Co-Op Employer is a registered user of myCo-Op, you will receive your Appointment Letter online. Own Co-Op Job Download the Co-Op Job Approval Form via myCo-Op and submit: - the completed Co-Op Job Approval Form and; - hardcopy of your Appointment Letter to your Co-Op Supervisor and CECS. (You must submit the above mentioned documents BEFORE you commence your Co-Op Job) CECS myCo-Op myCo- Op/CECS & Co- Op Supervisor Email notification 30 Oct

Submit the Co-Op Student Evaluation Form to your Co-Op employer and inform him/her of the deadline for evaluating you and returning the form. (You should submit the Form to your Co-Op Employer 2 weeks prior to the deadline) MyCo-Op14 Dec31 Dec 2Inform CECS and your Co-Op Supervisor should the following occur: You are facing any workplace problems You have to take leave (e.g. MC/time off). This is subject to the conditions in the Co-Op student Policy CECS and Co-Op Supervisor As soon as possible 3Appeal for change of Co-Op job / withdrawal from Co- Op. This is generally NOT allowed unless due to extenuating circumstances. See the Co-Op Student Policy CECS and Co-Op Supervisor As soon as possible

Abide by the Co-Op Student Policy and all UCSI policies, rules and regulations at all times. 2. Regularly check myCo-Op, your UCSI student email account, the CECS notice board, eBoard, and eAdvantage for updates/notifications.
