PLS Annual Open Meeting Burlington House 1 st July 2015 www.pls.org.uk @PLSlicensing #PLS2015

A practical guide to your new PLSe Account Tom West, Head of Operations, PLS www.pls.org.uk @PLSlicensing #PLS2015

Why is it a “new” account? New PLS agreement We are asking all of our publishers to sign a new PLS Account Form. Your PLSe account has been updated to reflect the introduction of the new agreement. Makes your online PLSe account integral to your agreement with PLS. …why “integral”? Enabling rights holders to exercise choice more easily. Changing realities: collective licensing increasingly administered online making title information and licensing settings key to the collective licensing process. Your PLSe account is where this information comes from.

Licensees (users) Publishers Licensing settings Payment and reporting Repertoire and licensing instructions Licensing revenue and data Licence fees Access to licensed repertoire Payment and reporting The bigger picture: where does your PLSe account fit in?

The three core components Titles Licensing Settings Licensing Revenue

Titles

These are the titles identified as ‘yours’ for the purposes of collective licensing, including backlists. Covers Books, Serials and Websites. Revenue allocated to any title linked to your account - identified by ISBN, ISSN, URL - will be paid to you. Titles

Inclusion of your Titles in CLA licences works at publisher level… As such, inclusion in a licence is a blanket instruction covering all Titles identified as published by your company, even if they are not currently listed on your account. If a title is recorded as having been used but not yet on your account, we will use bibliographic sources such as Nielsen Bookdata to identify the publisher and link the title to your account. …so why do we ask you to provide a list of your Titles? Titles

…because users want clarity: they don’t want to be told that a title might be covered by their licence… Titles

…they want to be told that it is covered… Titles Any uncertainty discourages re-use of your content  no share of revenue. Uploading your full title list ensures it is properly promoted to the end user.

Add titles individually… Titles

Set up an automated ONIX feed for your Books… Titles

….or add Books and Serials ad hoc using our excel template with built-in upload tool Titles

Add ISBN/ISSN, title and upload… Titles Titles are uploaded. …and save time by saving the template to your desktop to use whenever you need to upload new titles

Go to Upload Books/Serials for step by step instructions Titles

What happens if a title in your upload is on another publisher’s account? PLSe Assist will notify you and the publisher concerned Titles The title moves to your account.

Two tools to help you manage your Titles more efficiently: Multiple search Tagging Titles

Multiple search Search titles on your account by pasting their ISBN/ISSN/URL into the search box… Titles

Tagging Identify groups of titles e.g. by subject category, division, author, new list acquired etc. Once tagged, there are various applications in your account e.g. applying licensing settings, revenue reporting. s Titles

Adding tags is easiest using multiple title search and then selecting titles to tag s Titles Tag added.

s Tags are displayed in top right hand corner with full information about who created them and any comments attached Titles

Click on title to add additional information such as if title is available under an open access licence… Titles

A new Alerts feature will notify you when any action is required or there is an update to your account. Titles

Websites Add any websites that you own that you consider to be relevant to collective licensing. Only top level URLs e.g. www.website.co.uk should be added.www.website.co.uk Titles

Recap on Titles Covers Books, Serials and Websites. For effective licensing it is important that your account holds as comprehensive list of your titles as you are able to provide, including backlists. Titles can be added individually, via ONIX feed, via excel. PLSe Assist handles Title transfers between publisher accounts. Multiple title search and Tagging are essential tools for managing your titles. Titles

Licensing Settings

Licensing Settings consists of three main sections: CLA Licences: UK licensing administered by CLA. Overseas Licensing: licensing by overseas licensing bodies administered through CLA. NLA Licences: UK licensing of magazines in Business and Government by NLA media access Licensing Settings

The new PLS agreement handles Print and Digital repertoire equally. For most licences your Digital titles are automatically included and no longer operates on an opt-in basis. Licence inclusion is represented as a traffic light system: : your titles are fully included : your titles are included but with some exceptions  : your titles are not included Licensing Settings UK licensing administered by CLA We encourage you to ensure that your titles are fully included.

Licensing Settings UK licensing administered by CLA

Transactional (pay per use) licensing… Licensing Settings UK licensing administered by CLA We encourage all publishers that have not yet done so to set your own pricing

You can set title specific pricing by Tag, select a Tag and choose which Titles you want to set pricing for… Licensing Settings UK licensing administered by CLA

….Set your price and click Apply. Licensing Settings UK licensing administered by CLA Pricing updated.

Licensing Settings Your PLS agreement covers you for licensing by equivalent collective licensing organisations (RROs) outside the UK. This is facilitated by way of bilateral agreements that CLA has established with these organisations. Overseas licensing revenue accounted for almost 20% of total distributable PLS revenue in 2014-15. Your PLSe account now features a full detailed overview of your organisation’s inclusion. Overseas licensing administered through CLA

Licensing Settings Overseas licensing administered through CLA

Licensing Settings Overseas licensing administered through CLA …and more to come…

NLA licences apply only to Business and Government sectors. And only to magazine titles specified by publishers that have explicitly asked to transfer licensing from CLA to NLA. Publishers signed up for NLA licensing need to proactively manage title lists. Licensing Settings UK licensing administered by NLA media access

Recap on Licensing Settings “Licensing Settings” means your organisation’s inclusion in CLA, overseas and (if applicable) NLA media access. The new PLS agreement no longer separates Print and Digital at the outset. Your digital Titles are taken to be included. We encourage you to include your Titles in all licensing options. Amber ticks and red crosses  are a signal that action may be required. We encourage you to set your own pricing for transactional licensing. Overseas Licensing page now shows a comprehensive picture of all RROs/territories covered by your PLS agreement, with further options and functionality to come. Licensing Settings
