Receiving a Foreign Guest Instructions
With the following activities, you will practice business conversation in a bit more complicated context. The way of introducing and greeting a business partner is the same with what you do in the earlier practices. The activities will help you further develop your ability of receiving foreign guests in business communication context.

Receiving a Guest Study the following procedure of Receiving a Guest:
Picking up the guest at the airport/hotel or in the reception area: Introducing yourself and greeting Checking the guest’s needs before leaving Giving directions to the guest Arriving at the office: Inviting the guest to have a seat Offering drinks Advising the following schedule Introducing the guest to other colleagues

Situation 1 - Instructions
Form a group of three to do this exercise. Students A, B, C play the roles of Sales Representative, Client and Colleague. XYZ company’s Sales Representative (Student A) picks up a foreign Client (Student B) at the airport to the office. After arriving the office, the Representative invites the Client to sit and offers drinks. Then, he/she explains that the meeting will take place in 10 minutes and the Marketing Director will join the meeting. Then, the Client is introduced to the Sales Representative’s colleague (Student C) from Production Department. This colleague will also attend the meeting for his technical expertise and advices. End: It’s about time for the meeting. The Representative leads everyone to the conference room.

Situation 2 - Instructions
Form a group of three to do this exercise. Students A, B, C play the roles of Assistant, Guest and Manager. An Assistant (Student A) of XYZ Company receives a foreign Guest (Student B) from ABC Company in the reception area and leads the Guest to the office. The Assistant invites the guest to sit and offers drinks. Then, the Assistant explains that the Manager is answering an international phone call and will come in to join them very soon. Later, the Manager meets the Guest. They talked on the phone twice but have never seen each other in person. They introduce themselves and greet each other. End: It’s about time for the meeting. The Assistant leads everyone to the conference room.
