Out of the Box: Project Reporting and Intelligence in 11i Brett Ford fordbw@hotmail.com

Introduction Over the last ten years, there has been a steady and continual ramping up of the “out of the box” reporting functionality for Oracle Projects. What was once very limited functionality has evolved into a diverse, complex, and robust array of reporting and intelligence options. This presentation will attempt to clarify what is available and to provide tips to help maximize usage of the various options.

Overview The evolution of Projects Reporting An array of new features and options Tips on how to best utilize –PSI –BIS –DBI

The Evolution of PA Reporting (or “How we got to where we are today”) Pre-Release 10.7 –Standard Reports only Release 10.7 –Project Status Inquiry (PSI) + GUI Release 11, 11i –Business Intelligence System (BIS) Release 11.5.9 –Daily Business Intelligence (DBI) –Project Intelligence –Project Status Reporting

PSI Aka “Project Summarization” Aka “Project Performance Reporting” (11i.9) PSI is based on concurrent processes which summarize Project Costs, Revenues, and Budgets for reporting purposes.

PSI (cont’d)

PSI On-Line Inquiry

PSI Views via Discoverer

Business Intelligence System (BIS) Introduced in release 11 (BIS 1.2) Enhanced/Expanded in release 11i (BIS.11i) Major Components –Personal Homepage –Performance Management Framework (KPI’s) –Web-based Intelligence Reports –Discoverer Workbooks and integrated End User Layer (EUL)

Project Intelligence in BIS.11i Not it’s own “Intelligence Area” yet –A subcomponent of “Financial Intelligence” Personal Homepage  Available KPI’s  None for Projects Reports/Workbooks  4 Discoverer Business Area  Available Business Views  52

Personal Homepage

Discoverer Workbooks

Discoverer Workbooks (cont’d)

PA Business Views Look for view names beginning with PABV (base views) or PAFV (full views) or PA%SUMMARY% Approx 1,000 PA views exist in 11i. Most of these are not included in the BIS EUL but many are useful.

Daily Business Intelligence (DBI) Not to be confused with BIS DBI is a quantum leap from BIS in terms of technical architecture and functionality Requires apps 11.5.9 and rdbms 9iR2 –Utilizes role based “portals” –Uses materialized views on top of base level summaries –Batch programs collect incremental data changes so that reports reflect current information

DBI Portal

DBI Key Features Portal (replace Personal Homepage) Role based intelligence Flexible parameters Pre-Built Portals and Portlets Unified Dashboards Drill down to specific details

Project Intelligence in DBI Project Intelligence has broken free from “Financial Intelligence” and is now it’s own intelligence area Available pages: –Projects Profitability Management –Projects Operations management –Capital Projects Cost Management –Contract Projects Cost Management

Project Intelligence, cont’d 19 KPI’s across the business cycle 41 html reports with drill down capabilities Data security by org and by operating unit Multiple dimensional analysis Enterprise, Fiscal, and Project calendars Enterprise and Functional Currency Reporting… no more multi-org constraints!

Project Intelligence KPI’s RevenueCostMargin Margin % Capital Projects Cost Capital Cost % Expense Contract Projects Cost Contract Projects Cost % of Budget Billable Cost Billable Cost % of Total Cost Non Billable Cost BookingsBacklog Book to Bill Ratio Total Utilization % Billable Utilization % Available Resource Capacity Hours

HTML Reports Projects Profitability –Actual Profitability –Forecast Profitability –Profitability Overview –Profitability Trend –Profitability Cumulative Detail –Profitability Detail Projects Cost –Summary –Trend –Cumulative Trend –Detail Capital Projects Cost –Summary –Trend –Cumulative Trend –Detail Contract Projects Cost –Summary –Trend –Cumulative Trend –Detail Projects Resource Availability –Available Time Summary –Availability Trend –Current Available Resources –Available Resources Duration –Availabe Resources Detail

HTML Reports (cont’d) Projects Utilization –Resource Utilization and Availability –Utilization Summary –Utilization Trend –Actual Utilization –Actual Utilization Detail –Scheduled Utilization –Scheduled Utilization Detail –Expected Utilization –Expected Utilization Detail Project Bookings and Backlog –Summary –Detail –Activity –Activity Detail –Source Trend

Project Status Reporting Part of the “Project Management” product New in PJ_PF.K (~11i.8) Enables Project Status Reporting and distribution/approval to project stakeholders Not to be confused with PSI, which is being rebranded “Project Performance Reporting” Confused yet?

Project Status Reporting

Reporting Ramp Up… DBI BIS PSI SR 1010.711/11i11i.9

PSI Tips Incorporate running of the summarization process (PRC: Update Project Summary Amounts) into the PA period processing cycles. If runtime is too long, consider breaking up into multiple jobs (by range of project no’s) Train project managers to monitor projects via the PSI forms or Discoverer Reports

PSI Tips (cont’d) PSI provides 30+ columns by default. This can often be too much information. Enhance user experience by eliminating unnecessary columns and re-naming columns. Add calculations (i.e. Margin) Remember that PSI Client Extension only applies to on-line inquiries, not Discoverer.

Useful PSI views for Discoverer Super Views –PA_STATUS_PROJ_V –PA_STATUS_TASK_V –PA_STATUS_RSRC_V WBS Summarization Views –PA_ACCUM_WBS_ACT_V –PA_ACCUM_WBS_REV_BGT_V –PA_ACCUM_WBS_COST_BGT_V –PA_ACCUM_WBS_CMT_V Resource Summarization Views –PA_ACCUM_RSRC_ACT_V –PA_ACCUM_RSRC_REV_BGT_V –PA_ACCUM_RSRC_COST_BGT_V –PA_ACCUM_RSRC_CMT_V

BIS Tips If you are on R11 or higher, BIS is available… use it! Map (via Profile Options) up to three class categories, three role types, and four budget types for Project Analysis workbooks. Once the up-front DBA work is completed (generating the Discoverer EUL, etc) there are very few “functional” setup which must be performed.

BIS Tips (cont’d) Project Performance report requires two Project Performance report requires two concurrent requests to be run –PRC: Update Project Summary Amounts –PRC: Refresh OBIS Summary Amounts Create and schedule a report set to run these processes at an ideal time.

DBI Tips DBI requires 11.5.9 and RDBMS 9iR2. For most current 11i customers, this is a significant upgrade. DBI Project Intelligence is significantly more robust than BIS and requires more functional setup considerations. Implementing of PJI is a project unto itself!

DBI Tips cont’d Project Intelligence allows users to summarize data based on multiple period types and calendars. Be aware that enabling summarization of multiple period types and/or calendars can impact performance of the summarization process.
