2
Legal Services: Key Concerns For legal firms, client communications translate to billable hours—every phone call can generate potential revenue Accurate client billing requires reliable call tracking and reviewing capabilities Effective collaboration across the organization is vital to firm image and client satisfaction Evidentiary call recordings must be securely stored and easily accessible Converting from paper-based to electronic records has greatly benefited law firms—but what about phone- based interactions?
3
The Talkument Solution Captures an accurate historical record of all communications Provides firm staff with the ability to store, organize, annotate and share phone conversations Use voice documents to verify details, share information and collaborate with others Intended for all phone users across the organization PBX LAN PSTN Talkument Client User Administrative Staff Paralegal Staff Talkument Client User Attorneys
4
Why Voice Documentation? Productivity! Share information more quickly Share all information, not just a summary Eliminate time required to transcribe Review a document instead of repeating a conversation when verifying details Easily share call records between offices or facilities Improve relationships by focusing on client interactions instead of note taking and archival
5
Why Voice Documentation? Accuracy! Document important oral agreements, authorizations and evidentiary recordings Ensure precise client invoicing for all billable phone activities and resolve billing disputes Capture the full communication, tone of voice, pauses and all Seamlessly transfer the exact conversation, not just a paraphrase Verify exactly what was said and by whom Eliminate uncertainty and miscommunication
6
Why Voice Documentation? Security! Highlight only the portions of a call which should be shared with others Maintain call recording confidentiality through password secured access to user personal archives Portable Voice Document (PVD) technology centrally controls voice document while making it securely accessible over data networks Voice document is never transferred – only streamed using encryption – with access rights set to expire after a designated period of time

Making the Case A client calls to schedule an appointment and inquires about basic fees and payment programs for a bankruptcy filing. Payment plan options are outlined and services are rendered. When billed, the client disputes the legal fees that were originally outlined over the phone. With Talkument, the original call is automatically archived to a folder specific to the client based on the client’s phone number. The call is easily retrieved in the search folder, replayed to verify payment quotes provided in the conversation, and shared with the client via a link to the voice document. Manage Billing Disputes
8
Making the Case A staff member contacts the court to verify a client’s scheduled court date. The confirmed appointment is added to the attorney’s calendar and the client is also notified of the court date and location. Upon arrival, it is discovered that the date was incorrectly communicated by the court, resulting in lost time for both the attorney and client. Using Talkument, an office staff member can retrieve the voice document of the original scheduling call to confirm the date. The scheduling error can be quickly communicated by sharing the voice document with the court scheduling staff. The court administration remedies the error by adding the client to the court docket for that day. Resolve Miscommunication Errors
9
Making the Case An attorney from your office calls the representing attorney of the other party involved in a lawsuit to discuss terms of a potential out-of-court settlement. Both attorneys come to a mutual agreement over the phone. The other attorney’s paralegal staff calls days later on behalf of their client with questions regarding the settlement terms. The client’s attorney is in court and unavailable for contact. Using Talkument, a staff member from your office can easily retrieve the voice document of the original conversation and share it with their attorney’s paralegal assistant, who can then explain to their client what was agreed upon. The possibility of miscommunication has been eliminated as the original terms of agreement have been accurately conveyed. Document Verbal Agreements
10
Making the Case An attorney takes notes by hand on phone interactions conducted with her client, and then passes these handwritten timesheets to a secretary for recording. A week later, she receives a typed statement of her billable hours for confirmation. Remembering how time was spent days earlier proved challenging, as did remembering to “start the clock” for billable conversations. Talkument allows the attorney to effortlessly track the amount of time spent interacting with individual clients over the phone, and also provides a voice document of the conversation. Now, it becomes easy to fully and accurately capture billable time without relying on handwritten notes or after-the-fact memories of phone- based client interactions.
