5 Library volunteers are VIPS! Your interactions with the students and staff of Pershing will be a rewarding experience.

6  Always sign in and out at the front office.  Always wear your computer printed volunteer sticker in the building.  Always sign in and out of the library volunteer notebook to record your hours. SIGN-IN

7 You are very important to us, please.. Let us know We’ll get worried about you and it also helps to know if a volunteer won’t be available. Get a substitute You will all be given a list of library volunteers that you can call. Switch with another volunteer Sick? Sick Child? Emergency come up? Help!

8 With your help, the librarian can offer more individualized and small group instruction and give better assistance to students and staff. You will get to know the students, staff and other parent volunteers. You will be able to learn new skills and gain a better understanding of your child's/grandchild's school. Objectives

9 Volunteers are most valuable facilitators  Straighten shelves  Run the circulation desk (check-in/check-out)  Shelve books  Help the librarian with special projects Volunteers make the library a better place!

10 The number of books a student checks out depends upon grade: If returned ALLMissing books Kindergarten 2 books1 book First Grade 3 books 1 book Second Grade 3 books 1 book Third Grade 3 books 3 - number due Fourth Grade 4 books 4 - number due Fifth Grade 4 books 4 – number due The librarian asks students not to check out more than one book from the same series at a time. Students with severely overdue books – (highlighted in red) may only check out 1 book. If multiple books are overdue, please notify the librarian.

11 Teachers may check out as many books as they need. If any book shows up as overdue, please renew the books. Professional and CUR books are for teachers only. The reference books are to be used for research in the library only. However, teachers may check out the reference books to use in their classrooms. As a volunteer, you may also check out books.

12 Self Check Out Watch the Screen Carefully Sometimes students make mistakes typing in their number, please verify the student’s name on screen is correct.

13 We do not want to check out a book to the wrong student. If their name does not show, it may be that they forgot to press enter, they may need to re-enter their number … or the screen is not in checkout.

14 Next, the student scans the barcode on each book. Please watch the computer screen and listen for the two-tone beep to confirm the book has checked out properly. Error messages may appear. Refer to the Error Message page for volunteers to determine what to do.

15 Error Messages Item in transit. Item in transit & should be relocated to another school. Item should be on hold shelf. Item is checked out to current borrower. Item is checked out to another. Overdue limit reached/ Fines past due

16 Books may be renewed 2 times. After the first renewal, students may not check out another book until the first one is returned. Renewing Books

17 The student will type in their ID Watch for the student ’ s name Scan the book Error Message – Book is checked out to current borrower. Renew? Enter Override code to renew the book.

18 Student helpers bring the books to the library for check-in. Mrs. McDonald or a volunteer checks in the books first thing in the morning. Sometimes students bring books during class. Each barcode is scanned in the “ check in ” screen on the computer. We must watch the screen closely when checking in books. If you don’t see the book title appear on the screen, check that there is a cursor in the entry box. Then books are grouped and placed on the shelving carts for volunteers to shelve. Check-In Procedure Always watch to be sure An item “checks-in”

19 Shelving Carts 3 carts to hold books until re-shelved –Non-fiction (large gray cart) –Easy (large brown cart) –Fiction (small brown cart) Sort books in numerical or alphabetical order on the cart Re-shelve books in small sections until complete.

20 Shelving Procedures Sorted into collections and call numbers before shelving. Shelve according to the call number on the spine label. Pay close attention to any special shelf locations If the spine label or a portion of it is missing, or the book needs repair, please leave book in the back work room on the “repair” shelf or “label” shelf with a sticky note. A book incorrectly shelved is the same as lost ….unavailable when needed.

21 Nonfiction books numbers on the spine, then last name on the spine label Example 1 917.3 HAL 1. Dewey Decimal Number Ex: 917, 917.01, 917.1, 917.109, 917.2, 917.21, 917.3. 2. Author last name 3. Title ignore A, An THE Example 2 FIC AND Fiction books have FIC and author ’ s last name on the spine label. These books are shelved as follows: 1. Author last name 2. Title Ignore articles: A, AN, THE

22 Example 3 E BER Everybody books are shelved the same as fiction only in the E (everybody) section. Example 4 921 LIN Biography or autobiography books are shelved by who the book is about. Ex: Christopher Columbus Call no: 921 Columbus

23 Example 5 PROF 372.4 POL Example 6 VHS 811 SIL Books with VHS or DVD on the spine are for teachers only. Professional books are a special collection for teachers only.

24 Straightening and Reading Shelves As you re-shelve books, you will find some books that are mis-shelved. Please correct this as much as you can. If you run out of time, pull the mis-shelved books and place them on the shelving cart. Also, try to straighten the books and the magazines as needed. Students like to push the books to the back of the shelves. Pull the books to the edge of the shelf and use book ends when you need them. Keeping the shelves straight and organized helps everyone find books easily.

25 When everyone lends a hand, the library is beautiful!

26  Assist Students in Locating Materials You will frequently be asked, "Do you know where this book is?" Don't panic! You can use the OPAC station (Online Public Access Catalog) There are also picture guides for subject areas  Assist with Inventory- we will have a lot of clean up and weeding  Pull Books for Curriculum Needs Other Volunteer Tasks
