1 Vendor Connect Warehouse Manager
Vendor Connect provides a set of computerised stock control procedures for managing inventory within your warehouse. Procedures to control the movement and storage of goods within a warehouse, tracking inventory item quantities, storage, and movements by warehouse location. Wireless terminal scanning functions include receipting, put away, stock transfer, stock take, stock enquiry and adjustments, replenishment, and picking. Plus, enabling the GS1 System for users to trade with major retailers supporting GS1 best practices, including bar coding and EDI.

3 Product Barcodes, the Foundation
From the concept of a new product there are several things that need to be taken into consideration. The physical size of the product The sale unit that the item is to be sold in The carton size of the product A barcode is allocated to the product at this time as well, if the item is packaged into inner packs inside the outer shipper, a barcode is also applied to this level as well as the outer carton and pallet. Item Barcode The barcode on the sale item is an EAN13 barcode This barcode is made up of 4 elements - Digits 1 & 2, The country of origin where the barcode was created (AUS=93) - Digits 3 to 7, The company manufacture id from GS1 - Digits 8 to 12, The item serial number, the number you assign to identify the product - Digit 13, the item check digit, this is an algorithm of the above numbers, the reason for this number is to verify the content of the barcode, the scanner calculates the check digit from the data scanner, if the check digit it generates is the same as read in the barcode, the data is passed as a successful scan. 4 Trade Units and logical grouping of product
Trade Unit Barcodes Barcode item identification should be applied to all packaging levels of a product, this aids in the accuracy of receipting stock, stock takes, packing orders and moving stock around the warehouse. This is done by using the first 12 digit of the item barcode and applying a tare level, the tare or trade level can be a number from 0 to 9, for best practice, always use the same number for same level type, a new check digit has to be created for each tare level, the two main barcode types used for Tare Level Barcode are EAN14(EAN128) or ITF14 Inner package tare level = 1 Outer package tare level = 2 Pallet package tare level = 5 Example: Item Barcode: Inner of 6 items : Outer of 24 items(4 inners of 6) : Pallet of 1152 items(48 cartons of 24) : Vendor Connect Warehouse Manager

5 Procurement Linking your supplier orders
When an order is placed on your supplier, include all barcode details and the packaging quantities applied to that barcode. Barcodes for all levels are loaded into the Vendor Connect System. There are 3 methods for Vendor Connect to receipt the goods: On creation of the Supplier Purchase Order, the Accounting system provides Vendor Connect an electronic copy of the order User enters the Receipt directly into Vendor Connect PC Warehouse user receipts product against no reference Options 1 and 2 are the preferred methods, in these two methods, the warehouse is receiving against an order, if there is an over or under supply, the system will notify you, if the item being receipted was not on the original order, the system will notify the user. The system can be configured to allow or not allow over receipts or not allow items to be receipted that where not on the Supplier Purchase Order. Option 1: The Business system creates an electronic copy of the order for Vendor Connect to import. There will be a paper receipt document printed, this will contain references from the business system and the contents of the receipt. Option 2: The Receipt is created in Vendor Connect Directly Vendor Connect Warehouse Manager

6 Before Put Away On receipting and put away of new product, a few thing have to be considered: Expected sales for the item and the physical size of the product. When these are known, the pick face can be set up. The pick face for the product may change through it’s life cycle as sales increase or decline for the product. The pick face does not need to be setup before the product is put away. When the pick face has been chosen, and the number of cartons that will fit in the location has been calculated, the minimum and maximum refill point can be determined. Example: 4 carton of 24 items for the pick face, the minimum you want to keep in the location is 1 carton, the minimum refill quantity would be 24 units, and the maximum would be 96 units. Not all items require a pick face. i.e. If the item is sold in bulk lots only. Some item might be suited to 2 pick faces, one pallet location for full carton picking and an inner carton pick in another location . Vendor Connect Warehouse Manager

7 Before You Pick n Pack RF scan packing improve the picking accuracy of stock leaving the premises, the order is scan picked and packed directly into the shipping container. At the time of picking an order the SSCC (Serial Shipping Container Code) is created, in short a serial number for each carton. This label contains the customers order number and shipping address, the sales order number and other retailer, freight and/or company information. The pick path is sorted by either Bin Location sort or Sequence Number sort, refer to the next page for warehouse layout. Careful setup of the item master can aid in the picking process. The scanning terminal can display the quantity and level type or just the unit pick quantity. The scanner can display either Pick of 24, or Outer of 1. This is useful when the picker is not familiar with the product, often if your company uses a lot of casual staff for peak periods While picking, if the picker arrives at a bin location where the stock has been depleted, he can choose to do a stock transfer at that time and continue on with the pick, or move to the next pick item and continue on with picking. At the end of the pick sequence they will be guided back to the un-picked location to complete the pick. The pick can be stopped part the way through and resumed at a later stage if required. In larger warehouses, it might be time consuming to go back to the printer and pick your next SSCC carton label. This is overcome by pre-printing a series of SSCC labels. These labels do not contain any of the customers order or addressing details. When the pick is finished in the staging area, the SSCC labels are scanned and the correct addressing label is produced. This bin numbering sequence is very flexible, starting all rows at numbering at one end makes it easy to train new staff, but more difficult sorting the picking path if you are using bin numbers only. Sequence numbers also allow you to guide the picker in a path where he picks all full cartons first, then all of the loose item, this is useful for stacking full pallets picks. 10 Laying Out Your Pick Area
Future proof you warehouse layout, Start you first row at C or D, this allow you to add additional rows on in the future without having to change the existing numbering system, this is particularly useful if you are planning on moving warehouses at a later stage, start the first number at the closest point at the front of the warehouse even if there is no racking there, measure back to where the first rack starts and remove the number of potential bays and start the first bay number after that, this allows you to add additional bays after the layout without changing the whole numbering system. Start your bulk bins level identifier at a letter higher than your pick bins, you might have your pick bins at A~F and your bulk bins from Q~. Avoid using I or O as a bin or level identifier, it becomes difficult to differentiate between numbers and letters If you are setting a picking path by sequence, I recommend incrementing by 10 for each bin, this allows you to change the sequence of some bins in the future without effecting the existing bins Isle Bay Level Bin A~Z 01~99 Vendor Connect Warehouse Manager

13 Goods Receipt at the PC The receipt entry screen allows you to enter the internal reference and the receipt type and the warehouse, then select the stock item and enter the receipt qty. Vendor Connect Warehouse Manager

14 Goods Receipt on the Scanning Terminal
After scanning the receipt print or entering the receipt number, you are ready to start receipting When the first item is scanned, the item details are displayed and the total and receipted quantities are displayed On scanning of all items on the Receipt, the system prompts you the Receipt is complete Note: Any item on the receipt can be scanned in any order, the items can be scanned as they are being removed from the container, any tare level or combination of tare levels can be used on receipting. As the item have been receipted, they are in the receive bin location, they can be put away while the rest of the container is being un-packed At the completion of receipting, an electronic file can be sent back to the accounting system to update stock on hand Vendor Connect Warehouse Manager

15 Goods Receipt Report A receipt report providing a reference for the in-bound goods is always available. The receipt entry can be used for Receipts or Returns. Vendor Connect Warehouse Manager

16 Post Receipt PC Product Enquiry
From the PC or scanning terminal, a product or bin enquiry can be preformed, the product enquiry will show details of the product, the Tare Levels and the Location Stock In History, all transaction can been seen for the product. Vendor Connect Warehouse Manager

17 Post Receipt PC Bin Enquiry
As well as the product enquiry, you can perform a bin enquiry. This is particularly useful for monitoring how much stock is left to put away. Vendor Connect Warehouse Manager

18 Post Receipt PC Product Movement History
Receipt transaction is displayed in product movement history. History for all transaction types can be printed. Vendor Connect Warehouse Manager

19 Put Away on the Scanning Terminal
4 options in Put Away menu. Scan the item to put away, after scanning the item you can see the remaining bin quantity. When you have the desired quantity to put away, press enter. After scanning the bin, the details are displayed of the stock movement. Multiple items can be picked from the receive bin, then put away in pick face location. Vendor Connect Warehouse Manager

20 Replenishment – Create Job at PC
Stock replenishment is the function to refill the pick face based on Minimum and Maximum pick face levels. The oldest bulk stock will be used for the replenishment based on SOH less allocated pick quantities. A job is created for the scanner to pick and refill. Vendor Connect Warehouse Manager

21 Replenishment on the Scanning Terminal
The system will direct you to the first bin in the sequence of Replenishments. Scan the bin to continue. Scan the product displayed. At the completion of that product you will then be prompted to scan the next pick bin. If you want to put the first item away, Press the F7 key to put away. The refill is the same as the pick. Scan the bin and scan the item. At the completion of that item put away, you will then be prompted to pick the next item. If that was the last item, the system will tell you that the job is complete. 22 Pick n Pack The Job menu on the scanner allow you to enter or scan the desired job to pack From the Job Menu, you can check what has been pack and the remaining balance left to pack, from this menu you would normally go into Packing The Pack Run Menu allows you to create a new pack or open and existing pack, the Store ID is displayed and the pick count is displayed Vendor Connect Warehouse Manager

23 Pick n Pack The packing screen will guide you through the pick process, Displayed is Job Number Customer Order Number Store ID SSCC Number and either Suggested Pack Size or Remaining Volume On filling of the Pack, a function key is press that closes the pack, the pack quantity is displayed for verification After confirming the Closed Pack, you are returned to the Pack Run Menu, this allows you to either re-open another existing pack or create a new pack, note, the Next Store Count is decremented from what was in the first pack Product Code Description Barcode of Level to Pick Level=OUT, INN, PIC TOT, total pack on order PCK, Pack in current carton BIN, Location to pick stock. 24 Pick n Pack On Creating or re-opening the pack, the pick sequence is returned to the last un-picked item, note to TOT is on 3, this item was partially picked in the last carton On scanning the last item in the pick, the system displays there is no more to pack, the carton count is displayed, the following screen will show you the item count on the last pack After confirming the pack count, you are returned to the Job Menu, from this screen, we need to complete the job At this stage, the system will sent back to the accounting system the pack information, allowing for invoicing Vendor Connect Warehouse Manager

25 Stock Take The system allows you carry out stock takes in a few different ways Full Warehouse Stock take The whole warehouse is counted, no picking can take place during the count. This is useful when first going to warehouse control as we get a full map of where the stock resides Product Stock Take Where you choose a product or a series of product to stock take, A scan job is created, staff will be guided by bin location to count the stock, normal picking can be carried out while this process is being carried out, the system bin quantity is capture when they scan the bin and the item, this is not displayed on the scanner, the count is entered and both values are stored for reconciliation later. 26 Stock Take From the Create Stock Take function, you can choose to load either products or bins, you can tag the selected items to stock take and transfer, on selecting process, the system expands out the selected product and create a stock take line for each location where the stock resides. 27 RF Scanner Stock Take After selecting the stock take job, it will prompt you to scan the first bin location After scanning the bin location, you will be prompted to scan the product After scanning the product for the first time, you can either scan each item in the bin, or enter the total quantity of the bin Repeat the above process for all items in the stock take, after the last bin is counted, you will be prompted that the job is complete Vendor Connect Warehouse Manager

29 Stock Take Verification
Variation reports can be printed in both summary and detail, you may need to re-count some item due to variations, the count can be adjusted, when you are happy the final result, you can process the update, this will add or subtract stock from the locations. If you are stock taking by bin and not product, if you see a variation on a product, you might want to do a full count on that product for all locations. Vendor Connect Warehouse Manager

30 Stock Adjustment Stock Adjustment are need to be made from time to time, you select the product, select the bin you need to adjust, enter the adjustment quantity, there needs to be a comment added before the transaction can be completed. Vendor Connect Warehouse Manager

31 Stock Transfer After selecting the stock transfer function on the scanner, you are prompted to scan the bin, then the product, you can either scan each item or enter the quantity When you select to put away, you first scan the item, then you are prompted to scan the bin After scanning the bin, you receive a confirmation of the screen of the transfer Note: Multiple items can be picked before being put away, this is why you are prompted to scan the item again on putting away Vendor Connect Warehouse Manager

32 Bin Maintenance Bin Maintenance allow you clean up all empty bulk locations, a bulk location will be left empty when an order is picked from that location, all stock movements remove empty bulk locations. You can generate report and export to excel (CSV) for empty locations in the warehouse or apply a filter to select specific location, this can be done for either pick or bulk, you can also export a report with all location stock Vendor Connect Warehouse Manager

33 Product Maintenance Product Maintenance allows you to setup Tare Levels, Stock Minimum and Maximum for Replenishment, create a pick face for a product, you can adjust quantities in hear, I prefer it is adjusted in stock adjustment, all transactions that are made in these screens are logged with the data before the change and after the change, with the user id attached To adjust the product, select Maintenance Vendor Connect Warehouse Manager

36 Production Orders You can generate production order in the system, you first define the kit, you generate the Production order, there are 2 parts to a Production Order, first is a stock transfer, the warehouse is instructed of the raw materials to pick, they may be sent offsite, on return of the items, the warehouse has a finished goods receipt for the production order, at the completion of the receipt, the raw materials are removed from the production bin Vendor Connect Warehouse Manager
