Word processor a computer program that allows you to manipulate text What is?

Wordwrap when you reach the end of a line, the word processor automatically moves on to the next line so that no words are split Alter Text Alignment text can be centred, left justified, right justified and fully justified

Alter Text Style eg font, size of text, bold, italics

Setting margins indenting first line, changing left and right margins Tabulation tabs can be positioned on the ruler to produce tables Table a table can be inserted into a document by entering the number of rows or columns.

Alter page size The page size can be altered to suit the size of the paper in the printer Alter layout Can include: orientation headers and footers vertical alignment of the page sections

Page Break used to force text onto a new page Cut and paste allows the order of paragraphs to be changed. A piece of text is removed (cut) and held on the electronic clipboard. It can then be placed (pasted) somewhere else in the document

Search and replace this allows you to instruct the word processor to replace one word with another wherever it occurs in the document

Global Search And Replace – every occurrence of the word is replaced throughout the whole document. NOTE: you must be careful when using global search and replace as the word processor may replace part of a word with the new word Eg Find: “he” Replace: “she” “the” could become “tshe” Improvement : Find: “ he “ (ie: include spaces) Selective Search And Replace – this method shows you each word before changing it and asks you to confirm that you want it replaced

Spellchecker this has a very large dictionary of correctly spelt words on disk; it compares all the words in a document with words in the dictionary and highlights any it cannot find. These words might be wrongly spelled – they could be proper names or words it does not know. It is possible to add new words to the dictionary e.g. technical and scientific words note : a spell checker will not spot errors in grammar eg using “their” instead of “there”

Grammar Checker Part of a word processor that checks text for errors in the way the sentence is constructed, and highlights them for correction.

Word Count counts the number of words in a document. (and…) Standard Paragraph a piece of text stored on disk that can be combined with others like it to make up a complete document

Standard Letter – a general letter with spaces for personal details; used in mail shots Mail Merge – the process of automatically loading a person’s details from a separate mailing list (held in a spreadsheet or database) and placing them in the correct places in a standard letter note : with mail merge the blanks in the standard letter must be replaced with codes to indicate where details should be inserted

Mail Shots – letters made by mail merging which are then sent out to people on a mailing list (junk mail)

Create Template a template determines the basic structure for a document and contains settings such as fonts, styles and page layouts

Scanned text Input text can be scanned into a word processed document using OCR (Optical Character Recognition) software

Speech input a microphone and voice recognition software can be used to input sound which can be converted into text Handwriting Input a pen and pad (or screen) are used along with handwriting recognition software to input text.
